[1:46] when you oriented them so are there
[1:49] separate pages that we can actually get
[1:51] to put as appendix to our commission
[1:54] book could save paper if you want I
[1:56] don't oh no definitely um all of these
[1:59] all of this information is um in the
[2:02] current handbook I don't believe any
[2:04] changes have been
[2:07] um the pairs and everything it's all in
[2:09] there I believe so yes if um and the one
[2:12] that you may have gotten you might not
[2:15] have the most recent so I can make sure
[2:17] to um send that to the full commission
[2:20] but the newer Commissioners um which
[2:22] would be um commissioner traal
[2:24] commissioner um correct correct so I can
[2:28] send that out to the full commission
[2:32] all right so I'm going to be providing
[2:35] um an update and I thought that this
[2:37] would be all of the commissions are
[2:39] actually receiving um this update um
[2:42] some received it um at their meeting in
[2:45] November but this was not ready by the
[2:47] time that we met because we met the
[2:49] first meeting uh first Monday of
[2:51] November so which is why uh senior
[2:54] commission is getting this update um for
[2:56] our meeting in January since there was
[2:58] no meeting in December
[3:00] um but I will go ahead and continue so
[3:04] um this is just a basic background on
[3:06] the senior commission it is joint
[3:09] between Los Altos and Los Altos Hills
[3:12] and they are an advisory body to both
[3:15] councils um in regards to matters
[3:18] relating to senior interests and
[3:21] Comm um and coming up and that'll
[3:24] actually be part of the conversation
[3:26] when we talk about the work plan um
[3:28] they'll submit they they're calling it
[3:30] an annual report but it is basically a
[3:33] report on how the last work plan went
[3:36] what your um new work plan will be um
[3:39] and your joint meeting um will be
[3:42] actually in February and I'll go over
[3:44] that um in one of the upcoming items in
[3:46] this
[3:48] meeting um so breakdown of what is
[3:52] expected of the commission obviously
[3:55] performing tasks that are requested by
[3:57] city council um serves as a public forum
[4:00] for Community input and engagement um
[4:03] and quite a bit of that was done when we
[4:06] did the agef friendly action plan um
[4:09] submit an annual report so they want to
[4:11] see um through the work plan what has
[4:13] been accomplished or what is planned for
[4:15] the upcoming year and then there may be
[4:18] other tasks and duties that Council May
[4:21] assign depending on what projects might
[4:23] potentially come
[4:25] up um we've already done this the uh
[4:29] because we did this this actually in
[4:31] October um but in October we appoint a
[4:34] chair and a vice chair chair annually um
[4:37] each year and they serve through um from
[4:40] October through September that is the
[4:43] term and this was slightly new from last
[4:47] year but the expectation is that there
[4:50] is a rotation so um an individual cannot
[4:53] serve as chair um two years in a row so
[4:57] that must ad um adjust each year
[5:00] so one year ter correct but not cons
[5:04] correct and that is specifically for the
[5:06] chair
[5:08] position um so specifically for
[5:11] attendance and
[5:12] participation um expect expectation is
[5:15] that a majority of the members are
[5:17] present for the in-person meeting so for
[5:20] us we have seven um members uh for the
[5:24] commission uh for us to reach Quorum we
[5:27] do need to have at least four which is
[5:30] what um one more than half of the
[5:34] commission um so in order for us to hold
[5:36] a meeting we have to have four which
[5:38] today we have
[5:40] five um Commissioners are expected to
[5:43] attend 75% of regularly scheduled
[5:47] meetings now the commission has 10
[5:50] regular meetings scheduled um normally
[5:54] within a calendar year there's no
[5:56] meeting in July no meeting in December
[5:59] so that that's 10 total in the calendar
[6:01] year with the way that our schedule
[6:04] Falls um we do have I believe two kind
[6:08] of special meetings sometimes um which
[6:11] actually this year I think there's only
[6:12] one the one that usually occurs is uh
[6:16] September because of the Labor Day
[6:18] holiday it's adjusted to the following
[6:20] Monday that's actually considered a
[6:23] special meeting so anything that's not
[6:25] on the regular schedule which is the
[6:27] first Monday of the month um at 3:30 um
[6:31] so it's those regular meetings that you
[6:33] have to be in attendance of
[6:35] 75% um or more um would which would
[6:38] obviously be
[6:40] great
[6:42] correct seven and yes in the
[6:48] middle um so that's uh hope is that
[6:52] you're here um for a majority of that
[6:55] you can um attend uh virtually but there
[7:00] are some specific uh requirements that
[7:03] must be followed if you're going to
[7:05] attend virtually that is a possibility
[7:08] but we usually like to know in advance
[7:11] at least a week in advance so that we
[7:13] could work with the city clerk because
[7:15] there's special um circumstances um that
[7:18] would allow you to um attend remotely
[7:22] and then specific requirements like
[7:23] posting the agenda we have to list where
[7:26] you're going to be and going to be um
[7:29] taking meeting virtually so if you are
[7:32] planning or know in advance and would
[7:34] like to attend virtually um let us know
[7:37] as soon as possible and then we could
[7:38] work through those um
[7:42] requirements um and no more than 20% of
[7:46] the meetings can be attended remotely so
[7:48] the hope is that a majority is attended
[7:51] in
[7:54] person all right so
[7:56] reporting um work plan which is the
[7:59] agenda later on in this meeting um
[8:03] essentially we want to the council wants
[8:07] to look at uh the work plan within the
[8:09] first quarter of the calendar year so
[8:11] that is planned for the meeting in
[8:15] February and they want to know what has
[8:19] been planned what are you planning to
[8:20] work on for the uh the term and again
[8:24] the term for the work plan is October
[8:26] through
[8:27] September um in add addtion to that um
[8:31] that is always the joint meeting is a
[8:33] good time to talk about what had been
[8:35] accomplished in the past year as
[8:37] well this is slightly um new um for this
[8:41] upcoming work plan uh they've added a
[8:44] few uh columns which I mentioned um when
[8:48] I introduced the work plan in November
[8:51] uh uh which was our last meeting um goal
[8:54] Still Remains the Same that's the
[8:56] overarching goal um that can rep
[8:59] represent an any number of projects um
[9:02] and what the senior commission has
[9:04] decided is to base the goals upon the uh
[9:07] the domains um from the World Health
[9:10] Organization for the age friendly action
[9:13] plan the name of the project so what
[9:15] specifically the commission is working
[9:17] on anticipated completion so that the
[9:20] commission has an estimated timeline of
[9:23] maybe how long the project may take to
[9:26] complete priority Source where did the
[9:29] project come was it assigned from city
[9:31] council was it a part of the age
[9:34] friendly action plan was it a suggestion
[9:36] from a Community member um or Community
[9:39] Feed input that was received status is
[9:43] it in progress has it been completed um
[9:46] assignment um so this could be an
[9:49] example of whether an ad hoc
[9:51] subcommittee was assigned or a working
[9:53] pair was assigned and then notes um at
[9:58] the very end if there is anything else
[10:02] that would be helpful to decipher um
[10:05] what the project or goal or any of those
[10:08] other pieces would
[10:10] be and then this is slightly new as well
[10:13] a calendar so the intent behind here is
[10:17] to help the commission plan accordingly
[10:20] and the reason why I say that is because
[10:23] you don't want all of your projects to
[10:25] happen in the same month that would be
[10:27] too much for any individual or group to
[10:32] take on so the intent behind this
[10:34] calendar is to help the commission plan
[10:37] so that different projects um can be
[10:40] spread out over the course of the
[10:43] calendar year and term year and again it
[10:46] is highlighted there are no meetings um
[10:48] in July and December and so this could
[10:51] be when the commission needs to discuss
[10:53] something or needs to decide
[10:57] something so here we get into the fun
[11:00] stuff um ad hoc subcommittees and our
[11:03] working pairs um so a commission can
[11:06] appoint an ad hoc subcommittee it has to
[11:09] be less than a majority so majority for
[11:12] us is four and ad hoc subcommittee has
[11:15] to be three or less um and it should be
[11:20] focused on a specific topic and should
[11:23] not last more than one year and it
[11:26] should not be a standing committee so
[11:29] the best example I can give is something
[11:32] as generic as
[11:33] marketing um you shouldn't have that it
[11:37] should be more specific to it could be
[11:41] um
[11:43] electronic uh communication or
[11:45] electronic marketing and then even more
[11:47] specific what is it about it is it the
[11:50] newsletter that goes out or is it an
[11:52] email blast that goes out or is it a
[11:55] distribution that you're trying to build
[11:58] again the idea is that the task should
[12:00] be more specific and not so broad that
[12:04] it could be seen as a standing uh
[12:08] category um it doesn't ad hoc committees
[12:12] um have to comply with a brown act but
[12:16] it doesn't require um obviously our
[12:19] commission meetings are posted um the uh
[12:23] agenda is posted at the front of the
[12:25] meeting it's posted on the website so
[12:28] that the public knows
[12:29] ad hoc committees and one of the
[12:31] benefits of that is that you can meet
[12:33] outside of those so that you can start
[12:35] working without needing to post
[12:38] information in that way um which the
[12:41] full commission usually
[12:47] does and as I mentioned specific topic
[12:50] specific time frames so it can't just be
[12:53] General there should be an end date or a
[12:56] completion date to what you're looking
[12:58] to achieve
[13:01] um what they mean by continuing
[13:03] jurisdiction again something as general
[13:06] as marketing um it should be again more
[13:11] specific and it should not be
[13:13] established in multiple years so it is
[13:15] talking specifically what is the
[13:17] specific project or
[13:20] topic um and then again in that annual
[13:23] report that you provide to city council
[13:26] you're going to share uh
[13:29] um twofold um obviously bring the final
[13:34] information back to the commission and
[13:36] then that will be something that you
[13:37] will report out to your uh the city
[13:40] council when you meet jointly as
[13:42] well multiple years on the calendar from
[13:46] work our major project the action plan
[13:49] is over multiple years so it's a four or
[13:52] five year project and if we lay out the
[13:54] task and go forward I mean we can do it
[13:57] we'll do it year by year but I'm just
[13:58] saying people can Envision a bigger
[14:00] project than a one-year project
[14:02] potentially yes but um in that way um
[14:07] you will have some of these smaller
[14:10] projects that will build up into
[14:13] eventually um achieving a lot of the
[14:16] tasks or um things that were called out
[14:18] in the action plan but um I think the at
[14:23] least for the annual work plan you'll
[14:26] want to be a little bit more specific in
[14:28] maybe what could be a accomplished
[14:29] within that year there will be some
[14:31] projects that will be longer standing um
[14:34] but you can take smaller
[14:37] components yeah correct
[14:43] corrects I mean including emergency
[14:45] preparedness yep that pretty much you
[14:48] know there is absolutely a lot and um
[14:51] that's where we can be a little bit more
[14:53] granular um when we get to the work plan
[14:56] oh absolutely oh and uh one other thing
[15:00] um for ad hoc this is where you can only
[15:04] serve at one one at a time so for
[15:08] something that is a larger project um
[15:11] the and again the idea is so that you
[15:14] can focus on that particular work or
[15:17] project um you can only serve it on one
[15:21] and also it has to do with the brown
[15:23] neck so that there isn't mixing um
[15:25] because again sometimes
[15:27] conversations um can uh mix on other
[15:31] topics that might be uh what the
[15:33] commission talks about as a whole so
[15:36] again for the ad hoc it should be
[15:38] specific and that's why they
[15:39] specifically call out that you can only
[15:41] serve on one at a
[15:44] time
[15:46] um specifically it has to uh be members
[15:51] of the commission only that can be
[15:54] appointed to an ad hoc subcommittee less
[15:57] than a quorum of the commission so three
[16:01] and defined purpose and time frame and
[16:03] less than one year and it will
[16:06] automatically terminate so as soon as
[16:08] you complete your task and provide a
[16:11] final report out to the commission there
[16:13] is no need for a formal action as soon
[16:15] as that project is completed that ad hoc
[16:18] subcommittee has completed their task
[16:21] and uh the commission doesn't need to do
[16:23] a formal action to dissolve
[16:25] it um and obviously as uh mentioned
[16:29] before shouldn't be reestablished or
[16:31] renewed for continuing on the same topic
[16:34] unless it's maybe slightly larger
[16:37] slightly nuanced um as we kind of talked
[16:40] about uh with cherco and maybe different
[16:42] components that are going to go forward
[16:44] in different
[16:46] years
[16:48] um so an example of one that was formed
[16:53] there was our age friendly task force
[16:55] and um commissioner buckolz commissioner
[16:58] Cohen and uh former commissioner
[17:00] O'Reilly they were the ad hoc
[17:02] subcommittee that was a part of the agef
[17:05] friendly task
[17:07] force now we get to the fun part that
[17:09] was slightly updated and I think there
[17:11] was some excitement here we are able to
[17:14] do what's called working pairs so unlike
[17:18] ad hoc subcommittees which does require
[17:20] a formal approval um by the commission
[17:24] and you will notice that um the specific
[17:27] wording in some of the agenda topics if
[17:31] there is a potential to form an ad hoc
[17:33] subcommittee that is going to be listed
[17:35] you don't have to but we have to let the
[17:38] public know that we might potentially
[17:40] form an ad hoc
[17:42] subcommittee the intent behind the
[17:44] working pairs is that in order to
[17:46] accomplish these larger um goals there
[17:50] are smaller things as an ex and I'll use
[17:53] the health there as an example um such
[17:56] something like maybe creating a flyer or
[18:00] contacting vendors or maybe looking for
[18:04] businesses that might be willing to do
[18:06] donations or to think about um you know
[18:10] maybe Workshop topics that might be
[18:12] presented these are all smaller tasks
[18:16] under the bigger planning of the event
[18:19] which is the senior commission health
[18:21] fair um working pairs so it could be two
[18:25] or single so it's two or one um and and
[18:29] you can do as many working pairs as you
[18:32] need to then work on those smaller tasks
[18:36] that build into that larger um project
[18:40] or task um and so again it can be one or
[18:45] two
[18:46] Commissioners um you can similar to ad
[18:49] hoc you can still meet outside you don't
[18:52] have to um it doesn't require an agenda
[18:56] or posting or anything like that and
[18:59] then you can um at the next commission
[19:01] meeting provide an update or report
[19:04] these uh vendors were contacted we
[19:06] created um these uh flyers or marketing
[19:10] pieces um that is an example um the
[19:16] commission can take action if needed or
[19:18] they can simply receive the update or
[19:21] report so
[19:24] yes is there the same restriction and
[19:27] limitations on the number of working
[19:30] pairs that you could be you could be
[19:32] joining as a commissioner you can join
[19:34] as many working pairs as need yep so yep
[19:37] slightly different ad hoc only one
[19:40] working pairs you may do as many as you
[19:42] need to and what's the relationship
[19:44] between working Pairs and ad hoc y
[19:47] getting there okay yep um so the working
[19:51] group um or working pairs um are
[19:54] designed to allow Commissioners to work
[19:56] in a flexible manner respond to requests
[20:00] or projects um or directions and to help
[20:03] move projects on the work plan forward
[20:07] no limit to the amount of working pairs
[20:09] a commissioner can participate in at one
[20:12] time so here's the difference ad hoc
[20:15] subcommittee it's really it's more
[20:17] formal bigger project focused on a
[20:21] project work plan development and the
[20:23] example I provided the senior commission
[20:26] healthare there's going to be need to be
[20:28] one larger ad hoc that kind of oversees
[20:32] that planning of the
[20:34] event uh working pairs informal it's a
[20:38] component of the larger project so an
[20:42] example would be completing uh
[20:44] completing a flyer for the event or
[20:47] contacting vendors um some of those
[20:50] other examples I gave so formal versus
[20:52] informal and again a working pair is a
[20:55] component of the larger um product
[20:58] project and
[21:00] or there potentially could be um but
[21:04] that's where um we're all come in so if
[21:07] there is ever a question I can help
[21:09] distinguish between what should be
[21:11] between the
[21:14] two
[21:16] yes my question really had to do with if
[21:19] you're in the ad hoc and you need you
[21:23] want to be more you need more help than
[21:25] those three people the working pair can
[21:27] be in or out of the one person from the be
[21:32] working pair with one person from
[21:34] outside of
[21:35] the okay that's where the flexibility is
[21:38] going to be really helpful
[21:42] yes
[21:45] y all right so Liaisons um this is just
[21:50] an example so there may be other outside
[21:53] boards or groups um that maybe have
[21:56] similar interests that um this
[21:59] commission may want information or to
[22:01] collaborate with um if you want to
[22:04] assign a particular commissioner to
[22:07] maybe attend outside meetings or to work
[22:10] with a specific group or to get
[22:13] information um you can absolutely assign
[22:16] an individual commissioner to attend or
[22:19] bring back
[22:21] information um so basically to be a leaz
[22:24] to that particular group um as a
[22:29] the liaison to that specific uh group
[22:32] should bring back information to the
[22:34] full commission at the um Regular uh
[22:37] commission meetings and if something is
[22:41] discussed by the senior commission and
[22:43] then that Leon should then take the same
[22:46] position that the commission has to
[22:48] share that with the group that they are
[22:50] liaisoning with and so the example that
[22:53] I'm going to provide and I know uh chair
[22:56] Cohen you just attended the meeting
[22:58] earlier today but we did officially
[23:00] appoint uh chair Cohen as our liaison um
[23:05] to sourcewise um so that is an example
[23:09] of that sourcewise being an outside
[23:11] group that we the senior commission has
[23:14] assigned someone to
[23:17] attend sourcewise is uh it the name of
[23:22] that group has changed slightly but it
[23:25] is uh within Santa Clara County um and
[23:28] many different agencies and cities have
[23:31] members that come together and they have
[23:34] actually different um even different I
[23:38] would call them subcommittees that have
[23:40] different topics that they look at um
[23:45] it's it's countywide and it's it has
[23:49] different cities represented there and
[23:51] also um different legislative areas are
[23:55] represented yes and also different um
[23:59] communities of
[24:00] Interest either based on ethnicity or
[24:03] other things that are specifically
[24:06] needed to be worked on and it's not only
[24:08] working with the elderly but it's
[24:09] working with disabilities those are two
[24:12] major
[24:14] areas and if you're interested I can
[24:17] share um just basic information
[24:20] obviously our commission liaison is uh
[24:23] chair Cohen but I can share uh the link
[24:26] and some basic information about that
[24:28] particular group with the rest of the
[24:30] commission as well so that you have some
[24:32] background in
[24:34] that um our Council Lea on so ours um
[24:38] has not yet been um assigned yet because
[24:40] council member um Lee in uh did uh end
[24:44] her term in December of 2024 so we will
[24:48] find out soon who our new Council
[24:50] liaison will be um at least from uh the
[24:53] city of Los Altos I believe town of Los
[24:56] Altos Hills um count member Tyson I
[24:59] believe is still assigned that may
[25:01] change in the upcoming calendar year but
[25:03] I will keep the commission
[25:06] informed used to
[25:12] be yeah council member Lee but uh her
[25:15] term ended um in December so I don't
[25:18] believe that with the the seating of um
[25:21] the new commissioner or a council member
[25:24] which is uh council member Larry Lang um
[25:28] he was seated in December and so I
[25:31] believe Council still has to determine
[25:33] the assignments um of the commissions so
[25:37] I will keep the commission up I know you
[25:39] said to me I'm really interested in the
[25:41] seniors ah ah
[25:45] okay yep so we will see uh which council
[25:48] member is assigned I will keep you
[25:54] updated um and then for Council Liaisons
[25:58] um the intent is that they shouldn't
[26:00] direct guide or influence um other
[26:04] advisory bodies but um again the
[26:07] commission if there obviously if there
[26:08] are questions um that's where Council
[26:11] Liaisons could potentially be uh helpful
[26:14] obviously that is my role as well too to
[26:17] provide information as
[26:19] well um conflicts of interests um so
[26:22] this is just a basic overview um and
[26:25] we'll talk about perceived or or
[26:28] incompatible activities so um perceived
[26:32] conflict of interest is an interest for
[26:35] a
[26:36] commissioner um that may arise from
[26:39] personal personal relationships
[26:41] Financial interests um serving on bodies
[26:45] or boards that have shared or
[26:47] overlapping subject matter jurisdiction
[26:50] as those under the jurisdiction of the
[26:52] commission so if there is ever any
[26:56] question that is where my role comes in
[26:59] so if you are ever unsure you can always
[27:01] reach out to me directly and then I can
[27:04] work with our city clerk and if
[27:06] necessary we can obviously pose um a
[27:09] question or get clarification from our
[27:11] City attorney as well um but if there is
[27:15] ever a question as I mentioned notify me
[27:18] um as the staff liaison um you can uh
[27:22] indicate what you think might be a
[27:24] conflict of interest and then we can
[27:26] work with City staff or the City
[27:29] attorney to help work through
[27:33] that um this is and again this
[27:36] information is uh at least the uh
[27:41] PowerPoint um that is uh on the website
[27:45] and if you do want an individual copy it
[27:47] was included in the packet but if you do
[27:49] need um so that you want if you want to
[27:51] review this later you can as
[27:54] well um ultimately it is is the
[27:58] responsibility of the commun uh
[28:00] commission uh member to identify or uh
[28:04] come forward let us know if there might
[28:07] be something that uh needs to be looked
[28:09] into further um and as I mentioned um
[28:13] you could work through myself um if that
[28:16] question needs to be posed to the City
[28:20] attorney this is just basic information
[28:23] our commission doesn't really deal with
[28:25] this particular topic very much but
[28:28] since this is an update for all
[28:30] commissions there are some commissions
[28:32] that this is very relevant or um happens
[28:35] to come up with many of the uh topics or
[28:37] projects that they discuss it's squa
[28:40] which is the California Environmental
[28:42] Quality act um there are a variety of
[28:45] different things under that this is just
[28:47] basic information if you want more
[28:50] detailed information or if you're
[28:52] curious for more information there are
[28:54] some additional slides which for some of
[28:57] the commissions that this is not
[28:58] directly related to um those slides were
[29:02] pulled out but if you're curious and
[29:03] what more information I'm happy to send
[29:05] you those um those slides um but if
[29:09] there are specific questions on this the
[29:11] best person um to reach out to is uh the
[29:16] deputy director deputy director for
[29:19] development
[29:22] services that is everything and again
[29:25] part of the reason why I wanted this to
[29:27] come first is because leading into the
[29:30] conversation on the work plan uh I
[29:34] thought the clarification between the ad
[29:36] hoc subcommittee and the working pairs
[29:39] would be helpful as we start to look at
[29:42] what those projects um will be uh that
[29:46] you would like to work on for this
[29:48] upcoming term year and then potentially
[29:51] looking at who might be assigned as an
[29:53] ad hoc subcommittee or potentially a
[29:56] working PA as well

[34:57] reps are not specifically ready until
[35:01] that Thursday when it is posted so it's
[35:05] not it's not going to be um I would say
[35:09] always that we're going to be able to do
[35:11] ahead ahead of that time if it is
[35:13] feasible we can possibly do that um but
[35:17] the deadlines that staff is required to
[35:20] follow is at least 72 a minimum of 72
[35:24] hours um
[35:30] documents that you sent out it was 121
[35:32] pages and to get it late Thursday I

[36:49] um what staff has to follow is that it
[36:53] should be consistent for all the
[36:55] commissions and I don't know if I would
[36:58] be able to again change what is at least
[37:03] the deadlines which is what all the
[37:06] commissions usually fall so that's a
[37:09] question that I can pose but I don't I
[37:13] don't see policy-wise that changing
[37:15] unless they maybe change that for all
[37:17] the commissions because that's what is
[37:20] required for all of the commission that
[37:22] it's posted um at least 72 hours in
[37:26] advance um but again I can ask what is
[37:33] possible AC theard

[37:47] this is a this is a document that lovely

[45:22] the suggestion from staff is to select
[45:26] um either some working pairs or an ad
[45:29] hoc subcommittee so that um the planning
[45:34] um so uh as commissioner bassi brought
[45:37] up um potentially coming up with uh or
[45:40] contacting vendors um and then looking
[45:44] um some of the conversations that the
[45:46] commission had previously was um maybe
[45:50] doing some workshops or presentations on
[45:53] a variety of different Health topics um
[45:56] and then maybe to have um other
[45:59] components uh besides just having the
[46:02] vendors available um as information and
[46:06] what I shared in November um we did have
[46:09] an event down at Grant um on October
[46:12] 16th all of those vendors we have
[46:14] contacts for so we can start with that
[46:18] list of vendors um and so we can uh
[46:21] staff can pass that on to whichever
[46:24] working pair or ad hoc committee
[46:27] um and then that uh contact can then start with some
[46:32] of those vendors but the first step
[46:35] would be to either select a working pair
[46:37] or an individual that would be willing
[46:39] to um do some of that work what's the
[46:42] time that you're thinking for the
[46:46] September so the actual event is 12 to
[46:51] 3 yeah so the actual event would be 12:
[46:55] to 3 and then obviously there would be
[46:58] um setup and so we would have the room
[47:02] as soon as 10 o'clock which is after
[47:05] jazzer size um in the morning so we

[50:16] have two senior events in October which
[50:18] would' be nice to get the senior commiss
[50:20] date picked out for your oober do you
[50:22] have a date picked out what is it uh the
[50:25] 17th

[50:29] close right so that's where I wanted to
[50:32] that in before you go it's good to bring

[50:39] flexibility yeah um so with the health
[50:42] fair um for the ad hoc committee's uh
[50:45] consideration um both dates are booked

[51:03] November's meeting was the uh September

[54:16] which was emergency preparedness so as

[54:21] term which started in October and the
[54:24] term is listed on top October 24 through
[54:28] September

[54:32] transportation so we did hear feedback
[54:35] about the road runners project and
[54:37] initially the commission um wanted to
[54:41] write um a letter um after I checked in
[54:45] with additional City staff because the
[54:48] senior commission is only an advisory
[54:50] body um the an official letter should
[54:53] only come from city council so I believe
[54:56] individual Commissioners did write um
[54:59] letters to um in regards to the um end
[55:02] of the Roadrunner program so we switched
[55:05] a little bit um slightly on that topic
[55:09] and then um social participation I did
[55:12] list this one as completed because that
[55:14] was something that um former
[55:16] commissioner ngau and uh commissioner
[55:18] Olsen had worked on um and that was just
[55:21] in regards to collaborating with staff
[55:23] on some of the um participation in
[55:26] program programs and activities we're
[55:28] going to um switch slightly and then we
[55:31] do have the larger project which is to
[55:33] host a health fair um and that was
[55:36] something that commission indicated
[55:38] interest in so I will update that
[55:40] according to the ad hoc committee that
[55:42] was just formed um and we'll add some
[55:44] notes onto that but the work plan is
[55:48] open for the commission to discuss what
[55:51] other projects you would like to work on
[55:55] um and the only reminder that I will put
[55:57] is that this should the hope is that we
[56:00] accomplish it within this term year so
[56:03] something that uh or at least the comp
[56:06] component that's listed is something
[56:09] that we can achieve by September of this
[56:12] year so within the next nine months um
[56:15] so that is the only piece um and then I
[56:19] will turn it back over to the commission
[56:20] so that you can discuss um you do not
[56:24] have to have projects under all of the
[56:28] goals um that would be I think a little
[56:31] bit too much so I I think um according
[56:34] to what the commission would like to
[56:36] focus on um maybe two to three um maybe
[56:40] four depending on the size of the test
[56:43] um but that would be just a suggestion
[56:46] um from staff so I will turn it over to

[57:45] idea what adult 50 plus thank you um and
[57:49] be able to really cohere all of these
[57:53] groups together and be able to get
[57:57] 50 plus and be able to make it really
[58:01] marketed get all decades involved and
[58:06] started back again so the I since April
[58:10] was not available um May through October
[58:14] the third Friday is CL 55 and we already
[58:18] have the rooms um reserved so that's all
[58:22] set so tagging on with them the thought
[58:25] would be be to have a bigger event on um
[58:29] October and have it be Halloween scen
[58:34] and so to work with all those groups
[58:38] make it a bigger event have a band have
[58:42] it more inclusive have tickets available
[58:46] we'll figure out the details but then
[58:49] that's a
[58:50] um we're really promoting something for
[58:54] the seniors
[58:56] getting it out there even and offering
[58:58] things for younger Generations that are
[59:01] still
[59:02] seniors the senior
[59:05] deniers um and then that's will fast
[59:09] forward to start the Spring Fling in
[59:12] 2026 so that way you have the contacts
[59:16] the emails you've got the flow going
[59:19] it's the third Friday it'll start the M
[59:21] before Club 55 so it' be in April um um
[59:27] 17th and that way again we have
[59:31] something that we are offering
[59:34] seniors um in our location and the
[59:37] senior commission is um listening to
[59:42] the listening to our our residents and
[59:46] offering we at a reasonable price and
[59:49] fun and
[59:51] community and what was the date again
[59:54] April so I'm proposing to head that up
[59:59] whether it's an ad hoc or

[1:00:09] this all happen how it all happened is I
[1:00:12] wanted to do spring sling again thinking

[1:00:23] another way I've helped out with Club 55
[1:00:27] and the reason that that started to give
[1:00:30] you a little history there came from the
[1:00:33] first time that we had that the senior
[1:00:37] commission had done the
[1:00:40] a
[1:00:42] um survey out there
[1:00:46] and really what the people wanted
[1:00:50] the the uh respondents they really
[1:00:54] wanted to get together and have a drink
[1:00:55] and socialized so Club 55 started back
[1:00:59] in
[1:01:00] 2010 and it was downtown and it was at
[1:01:05] the costume Bank in the back and then
[1:01:09] it's expanded and so since we had the
[1:01:11] new community center they're working
[1:01:13] with the city and the city has been
[1:01:16] supporting them instead of tagging on to
[1:01:19] first Friday they've made it the third
[1:01:21] Friday so
[1:01:24] to um
[1:01:27] make it I I was so my thought was oh
[1:01:32] there's a Spring Fling I did not know
[1:01:34] that it's sto because of
[1:01:35] Co started Club 55 well it didn't happen
[1:01:41] true but it's it's going now and it has
[1:01:44] been all last year and so it's where I'm
[1:01:48] thinking this is just an easy way so you
[1:01:51] surveyed people and you determined that
[1:01:54] there was an interest in and
[1:01:56] this there are 85 people that have come
[1:02:01] to 100 people um at the last one couple
[1:02:05] months yeah so that's with that's with
[1:02:08] the help of the city but it's the
[1:02:11] thought is also to reach out to the
[1:02:15] community the seniors the 50 plus I
[1:02:21] had invited my CLE ball group so we had
[1:02:24] about 10 people from there so it's a
[1:02:26] matter of getting the word out making it
[1:02:29] fun making it accessible making it
[1:02:32] something
[1:02:34] that uh for everybody so it's not just
[1:02:37] sitting around and talking per se just
[1:02:41] you have a way to then
[1:02:44] intermingle understand the other
[1:02:46] generations and you it's not we and them
[1:02:50] it's an us it becomes an us so you have
[1:02:53] a way that
[1:02:57] the different age groups have a reason
[1:02:59] to get together they get to know each
[1:03:01] other and then we
[1:03:03] become um acquaintances those outs
[1:03:07] become smaller and so I have a question

[1:03:18] Spring Fling to be combined with the uh
[1:03:20] with October so won't happen it won't

[1:09:30] draft based upon um that

[1:09:42] correct the responsibility to make sure
[1:09:45] that the subcommittees have their
[1:09:48] contact information for each other I

[1:09:55] the commission has um information the

[1:10:00] information um so that's um actually
[1:10:04] those are the only items for
[1:10:06] consideration so um if we're okay to

[1:10:18] commission members but we got the final
[1:10:21] approval from AARP so we are fully
[1:10:23] approved for our action plan um it was
[1:10:27] approved and forwarded uh or approved by
[1:10:29] city council November 12th and it took
[1:10:31] about a month um we got the final
[1:10:33] approval from AARP mid December so I'm
[1:10:37] happy to report that the action plan was
[1:10:39] approved as submitted so the final was
[1:10:42] included in your um which I will provide
[1:10:46] um print outs so um I will reach out to
[1:10:49] you commissioner um Thompson um just in
[1:10:52] regards to how to uh best to get that to
[1:10:55] you
