[0:14] So we'll do a roll call. [0:38] I don't know if I can see anybody else on my, [0:44] and then I'm Kerry Ashcroft, I'm present. [0:46] Is there anyone else on here that I missed? [0:53] Is Melanie, do you see Melanie on there? [0:54] All right, so I guess Melanie is excused, so Anna is excused and Chris is excused who's working tonight. But we do have a quorum. So one, two, three, four, five of us are here. [1:16] Just taking notes or the minutes. [1:19] All this to do it as we go for you. [1:21] Okay. [1:24] Unless somebody else wants to. [1:26] I think we can all type on this. [1:27] Is there anyone else that wants to? [1:30] Might be fast. [1:31] I can I can do it if you share the document with me. [1:34] Oh, so the document that you're seeing you don't have access to. [1:40] No. [1:41] You should everybody shakes its that agenda. [1:44] Let's see. [2:08] So you can see it. You just can't edit it. Okay. All right. I'll make you editor for just a few minutes then. Okay. Are you should be able to type on it then Rob. So I don't think you added my email to it is what I'm saying. [2:26] But anyone with the link can now edit. So as long as you have the link, you should be able to edit. [2:30] it? I never got the linky there. [2:35] The next one I'll just forward it. [2:39] Thank you. [2:43] And you're sending it then you're good. Yeah. Yeah. [2:45] All right. And then so Melanie, [2:52] Solana, [2:57] Chris, [3:05] and then can you text Melanie and just see if she was planning to come? [3:12] I did ask anyone that wasn't planning to let me know and I didn't hear from her. [3:20] Okay, so we do have a quorum so you can check that. [3:24] And then we did post this on the website and the school website more than 24 hours ahead. [3:34] And also on the Utah public meetings that so we can check both of those. [3:40] And then this is we need to approve the agenda. [3:44] So do I have someone who motion who wants to make a motion to approve this agenda? [3:51] I moved that we approve the agenda. [3:54] Is anyone watching the agenda? [3:57] Michelle second. [3:58] Michelle seconded by Michelle. [4:01] All in favor? [4:03] Say aye. [4:05] Any opposed? [4:08] Any abstentions? [4:11] Okay. All are in favor approving the agenda. [4:13] And so we're also approving the previous minute meeting and minutes and so how the chance to review those I have a motion to approve the previous meeting minutes is there someone that would be willing to do that. [4:31] I will. [4:32] I motion to that we approve the previous meetings agenda. Is there a second? [4:37] I second that. [4:39] Second by Ken and then all in favor say aye. [4:44] Aye. [4:45] Any opposed. [4:48] Any abstentions. [4:49] Okay, so approved by all. [4:51] All right, our discussion items. [4:53] So one thing that has come to our attention. [4:56] And through one of the people that is advising us is that. [5:00] And we have to be prepared to do. [5:04] and possibly have board members do a different type of background check that is a little bit more [5:11] specific and so we're working on getting set up on the BCI [5:18] site and so I worked on that this week and eventually anyone who's an employee [5:26] We will essentially have to go through this BCI background check and then be authorized. [5:38] So I will be reaching out to each of you because you will probably need to do this even [5:43] though you went to the Provo Police Office that is not the same type of background check [5:50] that we need as board members for this school. [5:55] so I'll reach out to you and it will probably need to have a deadline for that like August 31st or [6:00] something like that um so just so you know that's coming and it will be required for all employees [6:08] and then volunteers so we are our volunteers although I haven't bring up the policy I [6:23] hope I can make it [6:24] bigger. So you can see it. There we go. [6:32] Okay. [6:35] So just so you kind of understand it, if you are [6:37] currently a licensed teacher in Utah, you'll skip these instructions below because like I'm [6:43] currently a licensed teacher, Rob's currently a licensed teacher. The background for us is already [6:49] and file of the USBE. [6:51] So we just notified the US, [6:54] we notify the least male-caught community school [6:56] that we already have our background checks on files. [6:59] File for all those coming from another K-12 school [7:02] in Utah with a current FBI rap back subscription [7:05] through the Utah Bureau of Criminal Investigation, [7:09] BCI, and they can submit an authorization to transfer. [7:13] And this is called a rap back. [7:17] So and then those that need to be for fingerprinted will need to take authorization for electronic fingerprints life scan to a life scan location. [7:26] We have two addresses that we can do that in Springville. I'm sure there's somewhere else that this is what we're aware of in the area. [7:34] But you must have an authorization for electronic fingerprints form with you at the time of fingerprinting and that's something that I generate for you. [7:44] So I'll get to get back to you on that with that form and then this is what we'll have for all employees as well. [7:56] And I think this is basically just what I said is that you'll have this authorization that we will fill out and then we'll need some signatures and that's that's what that is. [8:11] So, you go back to agenda, not that. [8:17] When we need this to be done before school starts, is that what you're saying? [8:20] No, we need it to be done like, sorry, I'm trying to find the agenda again now. [8:26] This month, Michelle. [8:28] It's probably within the next few weeks. [8:31] So I'll reach out to you just a little bit. [8:33] Sorry, now I can't find the agenda. [8:48] A lot of things open. [8:50] Oh, this is nothing. [8:51] Usually having more than less, so, but I actually closed about 15 of them earlier today. [8:58] Okay. So trying to think of that needs to. [9:05] So that's just a discussion item because it's required by the state. [9:10] There is a little bit. [9:12] There's one for employees, one for volunteers, very similar. [9:16] the fingerprint form that I'll send and then now will any discussion on this [9:23] before we move on to the fiscal policy that we need to talk about. [9:33] All right [9:33] if there's no discussion then we're gonna move on to let's see review and [9:37] approval so actually we do need to approve the BCI background check [9:42] instructions for our new employees and for volunteers so there's someone who [9:47] motions, the approval of the background check. I know that we approve the approval [9:58] of the background check with BSI. And there's someone that seconds that. [10:06] Okay, Michelle [10:07] seconds that. I'll second that. And Ken's also seconds that is there all in favor say aye. [10:17] Any opposed? Any abstentions? All right, so this passes, this will be our official background check information that will go out to employees, volunteers, and others associated with the school. [10:32] The next thing we need to talk about is a fiscal policy that had to be updated just a little bit. [10:42] So that's one of the things we need to go through and then along with this fiscal policy we need to have a three member audit committee that is made that we're going to make that up from our board members. [10:55] And so we'll get to that in just a minute you do we do need three members and [11:02] Okay. So we'll get to that in a minute. And so this, I would like you to spend a little [11:07] bit of time reviewing. So maybe we'll, I'll take like 10 minutes or something and you can [11:12] review it on your own. The link is in there. And so this is foundational governance and [11:18] authority. So like purpose, for authority, administrative authority ethics as it relates [11:22] to our fiscal policy, compliance with laws, record keeping, and you know, all of the things [11:29] that the state requires hotline complaint response and resolution, things like that. [11:36] And then fiscal planning and reporting, what's required by the state for charter school [11:41] and then revenue and asset management is in this section and then spending procurement [11:48] and liabilities. [11:49] So this is where cash disbursement, procurement, all of that, occurred by abilities debt, deposit [11:56] and loan accounts, and signature authority, et cetera, and then our personnel and HR [12:03] expenditures, that kind of stuff. So this is a hot links that will take you directly to it, [12:09] and then down here is where all of this information is. And so this is an important, but what we have [12:17] here has been reviewed by someone who's advising us. So it's not like I just came up with it by myself, [12:26] or something like that. So let's go ahead and take 10 minutes. So it's 719. Let's take to 729 [12:34] and review anything that you'd like to review on here. We can just all mute our cameras and our [12:40] things while we do that. And then we can come back and see if there's any discussion or any question [12:45] related to this. Keeping in mind that we have to have a three-member audit committee and that audit [12:51] committee will be working with the state and you know audits are just part of what's required [12:59] when you're dealing with a school and with taxpayer money. So it's not like with the IRS where [13:05] they just pull people here and there. It's it's in every year we have an audit for our expenditures [13:11] and all of our policies to make sure that we're doing those things correctly and there's a lot of [13:17] things that have to be done correctly. So, all right, 720, so let's get back together for any [13:22] discussion or questions at 7.30. [23:41] If you want to finish up what you're reading and then we can have some discussion about the items. [23:56] One thing I noticed is there is a section in there that says we will participate in a retirement plan for employees. And I think that needs to be edited because we won't be doing that for all employees. And so when we pass this, we'll pass that with, if we pass it, we can pass it with provisional approval with modifications. [24:19] to that section. And then it also says something about employees will be paid on a 12 month schedule and it should we should alter that to say full time employees will be paid on a 12 month schedule, but part time employees may not be paid on a 12 month schedule, they may be paid hourly monthly. [24:41] So, those are the two things I noticed. [24:44] Can you just have it according to their whatever they sign contract? [24:50] And it could be agreed on. Yeah. [24:52] I'm sorry. That's the word I'm looking for. [24:54] We can accept it doesn't say that in this. [24:58] So, we just need to change that slightly. [25:00] So, we could pass this provisionally with those changes. [25:08] One of the things that I can I start and the employee travel it says 45 miles but like [25:18] say if you're going to the great salt lake that makes the employee like you have to pay [25:23] for their meal if they buy a meal say if they stop somewhere and I just thought the 45 [25:32] mile should be a little bit further for just for a meal to be reimbursed to [25:38] software. I'm just gonna keep track of these things in a Google doc and I'll [25:44] make sure that they're not things that have to happen like maybe there's a [25:48] state law related to that and if there is going to go by the 45 miles I don't know [25:53] if there's going to be more trouble. Just because we're school it's getting travel [25:57] places. [26:00] I would just be [26:01] careful. And then the other thing is [26:04] teacher guests was $25, which [26:07] nowadays is my opinion a little low. [26:10] I'm pretty sure that is a state law [26:12] just to say where or it's pretty common [26:16] because where I work, I can't accept [26:18] anything more than $25. [26:21] Okay. [26:21] Yeah, just. I can. Franklin, it's, it can't for the 50. That's what they have in their policies and that I agree. It makes you feel you can actually give a gift that's worth giving. Yeah, okay. I'll ask maybe that is just we can change it. [26:41] Um, so gifts we'd like to change to $50 and then meal reimbursements. [26:52] Well, I just think a lot of people do more than like more than 25. [26:56] So then if say if someone gives you a 30, what you're supposed to go and give it back [27:00] and it just seems, I don't know. [27:02] Well, there's a policy like you have to, you have to tell. [27:06] You just disclose it. [27:07] you received it. Yeah. Yeah. But it can't be a substantial amount that sounds like you might be [27:14] okay. So meal reimbursement, what do you think that should be changed to like 60 mile radius or [27:19] 100 mile radius or 100 [27:26] mile radius is like probably two hours. And then and then that's a four-hour [27:33] round trip. You know what it means? So then that would probably plus whatever they're doing. So that [27:38] That would probably be the answer. [27:41] Well, no, they're just saying 45. [27:43] What does things say? [27:44] Sorry, let me find it again. [27:50] Okay. [27:51] I mean, I, it doesn't matter. [27:53] We can have. [27:54] We want. [27:54] You want me to say like 75 miles. [27:58] That's more than 45 miles. [28:00] Because then I said it's only 45 miles. [28:02] That's. [28:02] Yeah, they're just 40 miles. [28:04] That's not round trip. [28:05] Right. [28:05] That's saying 45 miles completely. [28:07] So that's like, even if they were to the point of the mountain and back. [28:10] that or something like that could be 45 miles since someone's had, right? [28:14] Yeah, I don't know. [28:15] Okay, all right, I'm gonna, how about, how do we fill about 75 miles or 100 miles or? [28:25] Yeah, just 100 miles, let's keep it out. [28:27] I'm gonna put 100 miles round trip. [28:31] Yeah, I think 100 miles. [28:33] Okay, got it. [28:34] And then, Ken, was there anything you wanted me to check on? [28:39] Yeah, there was, I was just trying to... [28:41] Well, that's the one I just need to just double check, I [28:55] just want to make sure it's something about short term, short term debt wouldn't be considered a liability. [29:03] And that was in five, six, I believe, just trying to. [29:12] So I just wanted to make sure because usually it just be classified under short term liabilities like on the balance sheet. [29:20] And so I know that it's fluid so maybe that's why but I just that was one thing just that caught my attention. [29:28] So you're going to ask why, yeah, just, yeah, just why wire, wire, you know, maybe I'm reading it wrong, but just I just want to make sure I think it was, sorry, it was 5.9. Sorry. [29:41] Let me. [29:41] Okay. Well, I think you have a meeting with Damon. [29:46] Yes. [29:47] I'll just put these notes in there and you can, if I can't make that meeting, then you can ask. [29:52] Yeah, it was just yeah, it was just 5.9 so like that was that whole section just what if it's less for the year is [30:00] Not like count as a liability, I think it should still be count as a liability until it's paid, but I get, but it's usually just under short term liability. So, you know, I'm not an accountant, but I just, I just found that odd. I'm just going to put such and 5.9 explain and then you can talk with her about it. I did notice on the checks. It said that two people need to sign the checks. And so we probably need to get new checks that have. [30:30] places for two people to find. [30:32] Well, the software that we have, I know, [30:38] we should be able to get, like, [30:42] should be able to print it off the, [30:45] like print off a check. [30:47] So we shouldn't have to buy more checks, [30:48] just the blank paper, [30:49] and then it'll print it off with the, [30:51] the stub and the two things. [30:53] I think we just need to double check on that, [30:55] so we don't buy more checks. [30:57] Okay. We also need to because I did read that it said you should not do handwritten checks [31:03] unless it's like an emergency or something. So if we need to do them through that, we just need [31:08] to get that figured out before the end. Yeah, yeah. And so we can talk to Damon. I'm getting [31:13] that done. And then I'm just a man I should close down all my windows before I started this. [31:20] The other just section 1.3 it just says and I just wanted to confirm this is that it says [31:26] Is the business business business administrator formally reports through the vice chair? Is that correct? [31:35] I don't know if that's what it says. [31:38] That's what I just want. I'm okay with that. I just want to make sure that that's. [31:43] Oh, I think they probably mean, but does it say what they like they report to or they report? [31:51] It says through. It's just port. I think it's through. [31:54] think you know I think you need to change it to 200 miles to go in best [31:59] felt like back that's like okay okay that's for the while he's looking at it [32:05] Terry. 200 miles is a long way that's a long way to go in the salt lake and [32:10] back is that's okay Michelle that's just fine you know what I'll do like one [32:15] 30 because that would be salt lake and back that's not okay yeah like one [32:20] 30. Yeah, I don't know. We if we can do 200, I guess, but that 200 could be like four hours. Yeah, that's that's a long drive for about 130 that way, like if you're on us to say if you're on a field trip, though, like is that Salt Lake. [32:37] Yeah, that means you're that means you're responsible if you're on a field trip, Salt Lake to feed the teachers. [32:43] Yeah, so if it's more than 130 miles, yeah, so I think 130 were safe, so because salt [32:53] likes like 60 miles, right? I don't know. I'll do 150. There we go. Okay. [33:00] Can you read that section [33:02] on the BA? I think that just means that the business assistant reports to the vice chair who then [33:08] reports to the board. Yeah exactly exactly that's that's what it means so it's not I'm not [33:13] his boss and that's not that's I just want to make sure that that's the it's clear you're saying [33:18] clear yeah yeah and we can alter things in the future it possibly but we maybe we just need to [33:26] ask that about that but I think that's fine um yeah okay okay and then anything else Ken that you [33:31] wanted to know everything else look good all the other stuff you you would recognize more than I would [33:37] because I'm not in the educational space. [33:39] So, yeah, we'll see because there were a lot of, [33:43] I mean, it's a lot of things in there. [33:45] I think the biggest thing that is anytime we do anything, [33:48] we just need to check back with this [33:51] and see if it's covered somewhere, right? [33:53] So, we're doing something. [33:55] So, so, so, so how do we do this now? [33:59] Do we, do we check on these changes and adopt it next time [34:02] or do we need to have it in place now [34:04] because we're having the funds come. [34:06] And you tell me, Carrie, how do we do that? [34:10] I think we're just a second. [34:10] I think we're going to go ahead and vote on it pending. [34:19] These are the ones. [34:19] Let's vote on it. [34:20] And then we may make changes in the next sport meeting [34:24] if needed. [34:25] So that's not going to have changes. [34:28] Yeah, OK, we can do that. [34:31] There are a couple of things that they're not [34:33] going to matter for a while, like the retirement, the 12 [34:36] month. So we can we can always amend it. Yes. Yeah. I think those are the the two things. [34:43] Reba, did you have anything that you wanted to bring up for us to check on? [34:53] Pasity, did [34:54] you have anything that you want us to bring up to check on? [35:00] No, it looks pretty good to me [35:02] other than the things that they already brought up. Okay. Reba, is there anything you wanted us [35:06] to bring up? [35:11] All right. Let's go back to the wait. Can I just bring something to the board's [35:16] extension. Yes. If you go to above 2.5 policy, yeah, the policy read before 2.5. If you click on [35:27] the financial and HR procedure document, that actually links to a completely different school. [35:36] Yeah, this is based on an advisor from another school. So this is a draft that we're reviewing. [35:45] That's fair. I was just saying it might be confusing because then you click on that and it's completely set of another school, I guess. [35:54] Well, let me let me click on it again, but we may just need to I think it's because this is a draft that will change, but sorry, where was that on what page? [36:06] So right about 2.5. [36:10] Oh [36:14] yeah, so what we need to do is just put in there, just update links because it's a live document, just update links to our own policies. [36:26] That's good. That's good catch from. Thank you so check links and review trying to think that there's anything else on here that something else was highlighted. [36:43] I just just want to make sure that that's the right path. I just that's fine. I'm okay with it. I just wanted to make be clear. It's this what you already brought up or yeah, that's what I brought up. So. [36:55] Yeah, [37:03] we're just fine because I'm working with Damon now. [37:06] Is it? [37:15] Okay, so essentially this is just saying that the school's there and the vice chair will [37:19] work with the businesses and it says may work with the business assistant so it's not [37:24] like they have to the direct business. [37:27] So once we're up and going, the director and the business administrator basically run these [37:34] things day to day and report back to the board, but right now it's, you know, we're doing [37:41] a lot of these things because we have an especially higher people that are being paid in those [37:46] positions. So I think that's the way. Specifically, the director shall have this sole responsibility [37:52] in authority to authorize or approve matters or the following. So yeah, I think we're good there. [38:00] Okay. Okay. As long as we're okay with that. All right. Let me go back to my document. [38:08] Make a note on that. Thanks, Rob. [38:17] So just update links to our policies. Is that correct? Yeah, exactly. So we should have them all. [38:46] I mean, we do have a fiscal policy in place. It's just not this fiscal policy. [38:52] So I guess we have a choice. We can go ahead and pass this contingent on the things that we brought up here. [38:59] or we can wait until our September board meeting [39:02] to pass our updated fiscal policy. [39:05] I think we need to probably pass it [39:09] and then make amendments in September [39:13] would be my signature. [39:15] Yeah, okay, yeah, that's one. [39:21] I mean, we don't have to pass it [39:22] if we don't agree with it. [39:23] I'm not saying you have to pass it [39:24] but we could at least vote on it. [39:26] We can vote on it. [39:27] So moving to our fiscal policy, right here, see, I move that, or I motion that we approve the fiscal policy as written and then make modifications in September if needed. [39:57] Okay. Okay. [40:05] All in favor say aye. Aye. Aye. Any opposed? [40:14] We still have [40:15] Cassidy on. I'm still here. Okay. Is there any opposed? Any abstentions? [40:25] Okay. [40:26] The fiscal policy passes and any changes that need to be made we can amend in [40:32] in September, but as of now, that is the policy. [40:35] All right, establishing a financial audit committee, [40:37] we have to have a minimum of three members. [40:41] So, see page 13 of the fiscal policy. [40:45] So, members of the audit committee [40:47] must complete modules one and two of a training found [40:50] that's right here by August 31st. [40:53] So, and this is like an actual training [40:56] where you have to watch modules [40:57] and maybe take an assessment, things like that. [41:00] It's a big responsibility, but it's a critical responsibility. [41:05] I think we definitely should have the treasurer, but that's just my opinion that is part of this. [41:12] I think that would make sense. [41:14] And then two other members that can commit the time needed for the audit committee. [41:21] So, [41:25] Riva, you're acting as the treasurer right now. [41:28] Are you okay with being part of this audit committee? [41:35] If you're talking, we can't hear you. [41:37] So, all [41:45] right. [41:45] I'm going to text Riva and just make sure she's still with us [41:48] and that she can hear. [41:50] She must be having a microphone issues [41:51] because I saw her thing blink on and off her microphone. [41:55] So, all right. [41:56] I'll text her and let her know we need to know this. [41:59] I think it probably also makes sense for Ken to be on the audit committee. [42:08] One more person. [42:11] So either it probably not Michelle just because you have a relationship. [42:15] So I think. [42:20] Can you hear me now? [42:22] Yeah. Are you okay with the audit committee? [42:24] Yeah, okay. Yeah, I have to do it. Okay, so Cassie, would you be willing to be part of the audit committee? [42:34] Yes, I know my problem is that I'm not sure how much time I have right at this very moment to do that training. [42:43] And with between, well, personal stuff that I don't necessarily want to say on here, but I can talk with you after. [42:55] You know what I can be part of the committee for now. And then as we move forward, we know that there'll be some transitions on the board and we'll ask, you know, one of the potential new board members to take that place. [43:11] So right now, by the end of August, we'll put Reba Ken and Carrie and then when we have a [43:18] full board changeover, we'll add one of the new people that, so anyway, let's just do that for now. [43:26] So Ken, Reba, and Carrie, on the audit committee. Okay, um, does this only for board members? [43:36] It's not employees for sure we our advisor has said it's best if we do it this way. So I mean we could get an outside person who isn't a board member and as a community member, but typically it's board members. [43:57] Okay, so the next thing that we need this isn't something we need to pass, right? [44:02] We just need to agree to it. [44:03] Okay, so Reba, Ken and Carrie, if you want to see page 13 of the fiscal policy, so you [44:09] understand the responsibilities and then we need to finish this training that is here linked [44:16] by August 31st, and so we all need to cut that finished, and then now we need to discuss [44:23] an oath of office. [44:23] You need to put your name there, Carrie. [44:26] Oh, sorry. [44:28] Sorry. [44:29] We need to discuss an oath of office for new board members and that includes all of us as well. [44:35] So this is a requirement. [44:38] So we'll need to add this to this code of conduct to our bylaws and then vote on amending our bylaws. [44:45] So we'll do that right now. [44:46] And then we it needs to be read in an official board, meaning and recorded. [44:51] And then we need to sign it. So once we read this, can and less anyone decides they can't uphold this oath of. [45:00] Office, would you mind turning this into a docky sign and sending it out for all of us to signs [45:06] we have to have that on, on our records or whatever. So just that section? Let me open it. [45:15] So I'll read it and then we can talk about it. So of the office, Luis May Alcott Community [45:21] School Governing Board, and I, so in this case, you know, Carrie Ashcraft, do you solemnly [45:27] where or affirm that I will support OBA and defend the Constitution of the United States [45:31] and the Constitution of the State of Utah, and that I will faithfully discharge the duties [45:36] of my office as a member of the governing board of the Luis and May Alcott communities [45:40] school with fidelity. [45:41] I take this obligation freely without any mental reservation or purpose or evasion and I will [45:47] perform the duties of my office to the best of my abilities. [45:50] and then we each would sign prints, so whatever that is, that poll, that, and then our position on the board. [46:04] Where do I find, where do I find that wording? Is it in the, it's linked in our agenda. [46:11] Okay. Okay. Let me pull. Oh, office there it is. Yeah. And then the administered by so like right now, I'm going to ask each of you to, um, well, I think we could do a coral reading and just like read this all together. [46:28] I just read it, so I'll administer it and so I would be administered by me on each of ours can you just put mine in there my board position and then I would sign each of those here, so that makes sense. [46:43] Yeah, so I've downloaded it and I'll put it into so the administered by who's that that's going to be. [46:51] And then board chair, and then I would need to sign everyone's right here, and then even even yours, we don't like I don't switch like am I administered one on yours or how does that work or is it just I don't think so, but if somebody says something we'll all do it again, I think. [47:11] Okay, so do you each want to read this separately or do you want to do a coral reading and read it all together? [47:18] Or a reading. [47:21] Coral reading. [47:22] Okay. [47:23] Does that mean we have to sing it? [47:26] Yeah, you do. [47:30] All right. And so when it comes to the blank to say your name and then we'll stop after my ability. [47:37] so I'll go ahead and just lead us. I will say I do solemnly for or firm that I was [47:51] or okay, they defend the Constitution and the Constitution of the State of Canada. [48:01] And that I will pay fully this charge for these issues. [48:06] Oh, wow. [48:06] Okay, so as a member of the government, I think that we're going to have more and more peace [48:10] and peace in many schools. [48:13] I take this obligation freely, [48:17] We have an event that we mentioned in the reservation. [48:20] Or purpose of a patient. [48:23] And I will perform the duty. [48:26] To the best of my ability. [48:27] The best of my ability. [48:29] Okay, lesson learned should have done that separately. [48:32] But good job. [48:33] All right. [48:34] All right. [48:36] But I will send that to eat everybody on the board [48:39] through DocuSign. [48:41] Each one individually filled out. [48:43] And then. [48:44] And it will have them back. [48:45] So. Okay. And then I guess you send them each to me and then I sign them again. So. Yeah. Yeah. Okay. Yeah. Perfect. Um, okay. So back to our agenda. Um, [49:03] we established our audit committee. [49:07] That's our oath of office anytime anyone new comes in from now on. [49:11] went on their first board meeting, they would then do that on their own. I mean, we would all [49:18] witness them doing that. So I need to, okay. And then with someone, I motion that we add the [49:30] code of the oath of office to our bylaws and amend them to be included. [49:43] opposed to our bylaws and then the bylaws. [49:48] I second. [49:49] Reba's second is there all in favor? [49:53] I. [49:54] I. [49:55] I. [49:56] Any opposed. [49:58] Any abstentions? [50:00] Okay. [50:01] And those board members that are not present and. [50:05] They'll need to take this oath of office in the next board meeting. [50:09] So just we'll need to make sure we've added note to the next one. [50:17] Hey, that's past and then we'll make sure if you can put a note in there, [50:22] we're all about amending our bylaws so that we amend those. [50:27] All right, updates on building and land. [50:31] Do you want to do that, Ken? [50:34] Yeah, we're just, well, where do you want me to start? [50:37] the land where, you know, we're describing the two parcels as Plan A and Plan B. Plan A seems [50:46] to be going okay. [50:50] We are just working through some things with the city waiting on a traffic [50:55] study that they've asked us to update with their traffic study numbers as well. So that's being [51:01] worked on. Hopefully that'll be back the end of this week. And then we're just waiting on [51:05] Um, uh, really the main thing for the, is the, the traffic, the, the power, I'm just waiting on an estimate for that question. [51:17] Which one is considered a, which one is considered B? [51:21] The original side of the plan B, yeah, we won't talk about the actual locations in an opening, yeah, but, but the original, the original side of the plan B. [51:31] And then the other side, okay, the second side is plan B. [51:36] That's what I want to know. Thank you. [51:37] Yeah. [51:40] And so that's how we're doing it. [51:44] And what else? [51:46] And then what else do you want me to say about the building? [51:50] We're still working. [51:51] Hopefully I love the designs and things fairly down by this week. [51:56] You think carrier next week or two? [51:59] Yeah, I think this week the building will be pretty much complete in terms of the design. [52:05] And then probably the whole barn that has a couple classrooms and the lunchroom gym and storage areas and things like that, possibly a stage, but that might have to come later. [52:18] That will be finished probably a little bit further in the future, but the building is pretty much nailed down. [52:25] And the site plan is pretty much nailed down, so it's kind of where we're at. [52:37] Yeah, I don't know. That's we're we're a little bit in limbo. So, you know, hopefully in our next board meeting, we'll, we'll have more to report on that one. [52:47] So okay, [52:51] any questions before we move on to the update on curriculum materials, stuff like that. [52:59] Okay, so this is where we're on the curriculum materials as I have requested materials from the great minds to review. [53:09] and so I've been reviewing literacy while ELA and math materials and I would [53:20] recommend the Great Minds Curriculum for a couple of reasons and the first [53:26] reason is they actually do a lot of connections to place-based education like [53:31] one of the culminating projects is like for this like watershed in oceans is [53:37] take kids out to a local watershed area like the Utah Lake or the proper river or something [53:45] would be for us. So it does do a good job incorporating indoor outdoor education and then the [53:52] other thing I really like about it is that it's thematic. So for example, the one I was just reading [54:01] through how the theme was like waterways or something like that. But then in the waterways [54:09] for ELA, it incorporates informational text, poetry, not- Oh, no, you're good. Thank [54:17] you. Thank you. Sorry, someone is just at my door. And it incorporates all of the interdisciplinary [54:27] disciplinary focus. There's an interdisciplinary focus, and that is a big part of what we do with [54:32] play space education. What it doesn't do, and this would be another program, so ELA, I don't know if [54:39] you're familiar, is separate from literacy. So it's an aspect of literacy, but it's not like teaching [54:46] children that don't know how to read, how to read. That's a different program, and that usually happens in [54:51] like K12 and then you kind of move on to more of like an ELA with literacy support in [55:00] third grade and then third grade is a really important benchmark year for literacy. [55:06] So that's my recommendation is that we go for our core subjects with great minds math. [55:14] It's called eureka math and great minds ELA and then I will be looking for another [55:21] program for early years literacy and this is basically like in the morning core classes [55:29] or you know in the half day core classes before they go out and do a lot of their play [55:34] space education curriculum which is that's what I you know we I will work on designing [55:41] that but that's separate from this so anyway anyway any questions on that curriculum and then [55:49] And I have a couple things to mention about music as well. [55:52] The one question I have, so with the great minds and then I think that's great. [55:58] So then you look at that curriculum and then try and tie it into the play space. [56:02] Is that why you're going to try and create your play space curriculum on is trying to tie [56:08] it back to that or is it there will be there will be some crossover but it there will be [56:16] some crossover. [56:17] Yeah. [56:17] So what we're doing and what's in our whatever it's our state charter authority approval is we [56:30] there's we have four themes for four years that re that rotate we could adjust that and then with [56:38] so for example i think it's the first year but i can't remember it's like mountains valleys deserts [56:44] and waterways or something like that or it might be like mountains and valleys deserts, waterways and [56:48] something else. And so each quarter we're focusing on those things and then the next year it's [56:55] something else and something else and something else. And so there are a lot of ways that we can [57:02] tie into the grape mines curriculum, but there may be some things where you know we take it in a [57:09] little bit different direction. But what I like about the Great Minds is it's such a high level [57:13] versus like core knowledge, which is a good program, but it's what Nibbo and a lot of other [57:21] districts use. It's more like history-focused or something, so they might have a module on like [57:29] ancient Greece, right? Well, it's hard to do a lot of things just with ancient Greece, but if you [57:36] have a higher level like oceans and waterways then you could still talk about like Odysseus in the [57:45] Odyssey but yet you're not so linked to like the Greeks and so that's why I think it in a lot [57:52] of ways it's better. It also ties in like art and music and poetry and math and science in a way [58:00] that I don't think core knowledge necessarily always does, so that's why I like it. [58:06] I do have some materials you're welcome to review them, but I've got to send them back [58:11] probably in a week or two. So, and then the other thing I wanted to mention is so the curriculum [58:18] for place-based education, that's something that I've done for quite a while, and I have a template [58:23] for it, but that's something that I'm probably doing more as we can talk about that in another [58:30] meeting. So that I've actually hired someone that will do, well, I don't know, not through [58:38] the school, but I've personally hired someone that will do the whole design so that when [58:47] they're given to the teachers and things like that, it's a very well developed design. [58:53] I'm trying to think what the name is, what is that called when people design graphic design? [59:00] I've hired someone to do some graphic design, so they'll take what I've created and then [59:05] kind of make it publishable quality. [59:09] And then the last thing is I'd really like to use what's called, I'm not sure if I'm pronouncing [59:17] this correctly. [59:17] I think it's Kodei or Coldplay music because anyone heard of that, I'm going to see if I can look it up really quick, but I just probably stop sharing my screen. [59:30] Kodei, I think it's Kodei. [59:33] So Kodei music, I could be pronouncing it wrong. It's essentially using a lot of like movement and outdoors in music. [59:44] So I had a parent reach out to me and kind of talk to me about it, and then I did a bunch of research on it. [59:51] And there's actually quite a few experts in the area that are related to like BYU and music students that know this method. [59:59] and then I... [1:00:00] Former teacher that I worked with is an expert. So that's a direction I'd like to go with music, but it might be something you want to look into just so you have a little bit of background on it. I can send you some information. And then when it comes to art, I'll also obviously do art and design inside, but I think we really want to focus on doing art and design outsides as well. So like playing air, you know, just doing a lot of of creation things like that outside. [1:00:29] And with natural landscapes and with natural products so that we're typing tying in the place-based education across all of the concepts. [1:00:40] So that's something I've been working on and if anyone has any questions or ideas, we can talk about that for a little bit as well. [1:00:53] All right, sounds like no one's worried about curriculum, so we'll move on. [1:00:57] If you could just send us stuff and appreciate that, that would be great. [1:01:00] And I would say you could even like Google great minds and there's some examples on there, [1:01:06] but I'll send you the music. [1:01:07] Okay. [1:01:08] Just try looking it up and I don't think I'm wanting it. [1:01:12] Okay. [1:01:12] Yeah. [1:01:12] I can send that to you. [1:01:15] Updating. [1:01:16] But that sounds wonderful. [1:01:17] I think it. [1:01:18] I think it'll be good. [1:01:20] Okay. [1:01:20] And then update on marketing. [1:01:22] Um, so we're, I just got an update today on our numbers. Let me pull that up really fast. [1:01:33] So [1:01:39] we're at 888. So almost 900 earlier today on the students and 436 of coming from 436 families. [1:01:51] and my goal, I would really love to be at, I mean, do these numbers really fast. [1:02:01] You'd go with another 600? [1:02:03] No, I'd like to be at 1056 by the end of August, which is 168 students. [1:02:18] So that's my goal by the end of August. I think with our activity tomorrow we can really make a huge push towards that, which is why I'm a little concerned, you know, we've invested in this activity that we have tomorrow. [1:02:39] I think we need to find a way to not require people to sign up, but take a book, but strongly [1:02:46] encourage it. [1:02:48] I don't know. [1:02:48] I just don't want it to be like, oh, take a book and they don't care, you know, at all [1:02:52] about the school or something like that. [1:02:54] Or show me your interest list or whatever, like, do they get an email when they sign up? [1:03:00] Yeah. [1:03:01] So maybe show us your, your, your, your on our list. [1:03:04] Well, we talked about that in our activities meeting [1:03:08] right before this and the parents, [1:03:10] which I understand the parents that are on that meeting [1:03:13] are like, it might be kind of a turn off to be like take a book, [1:03:17] but you've got to sign up for the list. [1:03:19] I think there's got to be some kind of a happy middle there, [1:03:22] though, so that it's not like that. [1:03:24] What's working for us at the, you know, [1:03:29] like at these farmers markets is just basically [1:03:33] get them excited and say yeah if you go on sign up you'll get updates like they [1:03:37] want no more about school sign up and you'll get updates regular updates and [1:03:41] that should be enough encouragement you know get a book and just say look we [1:03:46] really appreciate it if if you're not on our list to sign up on our list that would [1:03:50] really help us out whether or not you're wanting to go to the school you know [1:03:53] mean just just okay to phrase it that way is like they're doing you a favor as [1:03:57] we're doing them a favor and see what happens I agree we'll just need to make [1:04:02] make sure then that, you know, Michelle, I sense you are going to be there and I'm kind [1:04:07] of going to be ending out because I have some other meetings tomorrow that we're actually [1:04:12] saying now. I just don't want us to get so busy with the science activities, which [1:04:17] are going to be great and the book activities that we forget to say, oh, by the way, you [1:04:22] know, you know, we need to do this. So, Cassidy, are you able to come at all? [1:04:34] I was talking [1:04:35] but I was muted. [1:04:37] Where in what time? [1:04:40] It's at the [1:04:41] all abilities park in Spanish. [1:04:43] 10 to 2. [1:04:45] You wouldn't have to come for the whole time, but [1:04:47] a lot of people are coming in just to help. [1:04:50] I need. [1:04:52] I have patients all day tomorrow. [1:04:54] Okay, until about 3 o'clock. [1:04:56] I'm sorry. I didn't know it was the middle of the day. [1:04:59] No, no, you're fine. [1:05:00] And Melanie, you're working too, right? [1:05:04] Is Melanie here? [1:05:05] Yeah. [1:05:07] Sorry. I'm working with my dad. Open heart, maximum. I don't know. Yeah. Yeah. Otherwise. I would [1:05:16] start. No worries. No worries. OK. [1:05:22] OK. What about you? I guess I'm supported by my life in this [1:05:27] tomorrow. [1:05:34] That's great. I'm going to be there at 915. We'll see you there. Okay, [1:05:39] perfect. I think [1:05:40] that's that'll be helpful. So just if you're not, if you don't know, our activities committee is [1:05:45] planned activity at the all abilities park and Spanish fork tomorrow that we've been publicizing [1:05:51] on social media for the last few weeks and it's from tended to Rob and I have done this [1:06:02] activity with Alpine School District before one of the activities and so Rob and Michelle [1:06:07] are going to be doing a watershed experiment or activity and things like that and then [1:06:14] my son-in-law and some other people are going to be doing a microscope activity and then we'll [1:06:20] have a book reading and a book give away and we've got quite a few books and we're hoping that [1:06:28] this is you know a big event in terms of pushing us. I would love to end tomorrow with 168 more [1:06:36] people on our interest list and then we would have beat our goal by about two weeks so anyway that's [1:06:44] That's where we're at with that. [1:06:48] See what else? [1:06:49] People did seem excited about it, but I talked to one Monday. [1:06:53] What about you, Rob? [1:06:53] Did people seem like they're interested in coming to it tomorrow? [1:06:58] Yeah, they were saying they actually [1:07:00] knew about it. [1:07:01] They brought it up to some of them, brought it up to our attention. [1:07:04] Even someone brought up the time that was missed reported. [1:07:10] So there's awareness and excitement. [1:07:13] And then some people stopped by and said, oh, we're going to the science in the park. [1:07:17] And then others took the flyer and we're excited after we told them. [1:07:22] Yeah. [1:07:23] And I had a new person sign up for our group family [1:07:33] and community group. [1:07:35] All right. [1:07:35] So I think I've done the chair report. [1:07:38] I mean, does this all of these things are basically where we're at? [1:07:43] We don't have a financial report tonight because we don't have one generated and didn't [1:07:49] need one, but going forward, we [1:07:56] will be reviewing a financial report in each of our board meetings. [1:08:02] So just expect that in September. [1:08:06] And we'll decide if that's going to be communicated to the treasurer before or if somebody else [1:08:13] can as the finance committee person is going to be doing that. [1:08:18] But anyway, you should both be very familiar with the with the report probably for before we go into the meeting. So we'll try to get that to you like a week ahead. [1:08:30] I was talking today about that today. That was be great. [1:08:38] I think we did our committee reports. We reported on where we were out with marketing. [1:08:43] I don't know why that popped up reported on where we are with the curriculum and the community [1:08:51] connections. [1:08:52] So even though this says none, we had some, but we already covered it. [1:08:57] I think those are the only other actions we already did all of our actions needed for the [1:09:03] fiscal policy. [1:09:05] Does anyone have anything else to bring up for our next meeting that we can put on the [1:09:12] agenda or need to put on the agenda okay [1:09:20] we did pretty good we did an hour and [1:09:22] 15 minutes you know we did a lot of things tonight so thank you appreciate [1:09:27] you all coming and then I'm our next board meeting and this will be an [1:09:33] important one so if you could put it on your schedule is Tuesday September 8th from [1:09:39] from 7 to 8.30 p.m. [1:09:43] So anyway, that's our next meeting. [1:09:46] If for some reason you're not going to be able to be there, [1:09:49] we'll just make sure and let me know because we might have. [1:09:52] We have quite a few things that we're going to need to pass [1:09:55] in the next few months that our advisor is helping us with so. [1:10:00] Okay, do I have a motion to adjourn the meeting? [1:10:04] I'm moving in the meeting. [1:10:08] High second. [1:10:09] All in favor of adjourning the meeting? [1:10:14] Hi. [1:10:15] Hi. [1:10:16] Any opposed? [1:10:18] Any abstentions? [1:10:19] Okay. [1:10:21] This meeting is now adjourned at 817 PM on Tuesday, [1:10:31] August 11th. [1:10:35] So. Okay. Okay. All right. Thank you. Appreciate it. [1:10:40] Yeah. See you everybody. Thank you. See you. Yeah. Bye.
