[0:02] All right.
[0:05] Okay. And so this training session is going to be focused on what we call the pre and the during meeting steps.
[0:13] So what we're going to be doing is I'm going to be walking you through the steps that you'll take to kind of prepare for the meetings.
[0:23] So these are the steps that you're going to take prior to the start of the meeting.
[0:29] And these steps basically are going to, these steps that you'll take for the meeting are going to,
[0:34] basically make sure that all of your settings are configured correctly so that you can run the video and take the minutes during the meeting.
[0:45] So kind of the prep work.
[0:47] And then I'm going to show you the live cast in cover in the live cast program.
[0:53] As a live press program, basically what it does is it's a multi-purpose application that allows
[0:59] for you to start, stop and pause the live broadcast of the meeting.
[1:04] It also allows for you to start and stop the recording for the meeting.
[1:12] It allows for you to take timestamps, so you're basically bookmarking, win an event, took
[1:19] place and your public can use those bookmarks to kind of find points of interest within the
[1:28] video and then you can also take minutes in this application as well if you're interested.
[1:34] So you can actually go in and you can take notes, motions, discussion notes, those types
[1:42] of things and all of those notes that you take in like the minutes you take during the meeting,
[1:48] those flow back into an HTML minutes template that you can then basically clean up and then
[1:56] when you're ready you can post that to your constituents. Do you have Anna any questions from
[2:05] last time or any questions on our session today? I don't think so not yet. Okay. All right. Excuse me.
[2:15] So where we're going to begin today is I'm going to start with in the peak program, so I'm going to go to apps here and then I'm going to select Agenda PE.
[2:30] Once I select Agenda PE, then of course I land in my Agenda PE or peak program.
[2:38] Okay. And so what I want to show you in here,
[2:43] uh, we're guarding the pre-meeting steps is when you're scheduling an event.
[2:49] So when you're scheduling basically a new meeting in the system, um, a new agenda date,
[2:55] you're going to come up and click on create new and then you're going to select the option which is meeting.
[3:00] Okay. And so when you're filling out this form, so you'll come in and you'll select the meeting body.
[3:08] The location will auto-populate in, but it is edible.
[3:13] Meeting type you've been changed as needed.
[3:15] If it's like a special meeting, you can change that template.
[3:19] You'll populate the date of the meeting here.
[3:21] So this is of course when the meeting is scheduled to take place.
[3:25] You'll enter in the start time, or that will auto fill in.
[3:28] So you just need to change it as needed.
[3:32] And then for the end time, what you want to do,
[3:36] So it looks like your meetings start at eight.
[3:41] If you, what I would do for your end time is,
[3:47] I would kind of think about,
[3:49] okay, how long do my meetings typically last?
[3:51] Like my city council regular meetings,
[3:53] how long do they typically go for?
[3:56] And then add an additional hour.
[3:58] So if they're typically like,
[4:00] let's say an hour, if they go an hour,
[4:02] maybe put your end time as two hours,
[4:05] Because this is how long the encoder is going to live broadcast and record the meeting.
[4:11] It's just like the time that's basically set within the application.
[5:00] Let's say 11, for example, just to give yourself a little bit of extra buffer. Okay. But that's just going to basically, there's a count down timer within the live manager program and we just want to make sure that that doesn't run out.
[5:14] So it's kind of like if we're like on a game show and we have a set challenge, we don't want our time to run out. Same thing is true with the live manager program, we don't want our timer to expire.
[5:25] But we can also extend that timer within the application itself.
[5:30] We have that ability so we do run out of time or find ourselves short on time.
[5:36] We can always extend on the fly during the meeting.
[5:44] And then we have the item solution deadline.
[5:46] So if you want to establish a cut off day and a cut off time for your
[5:51] or drafters you can, and then coming down to advanced settings, many of these advanced
[5:59] settings are going to control the video options, so the live video options and the recording
[6:06] of the meeting.
[6:09] And so what you want to do is just take a look at these and just make sure that they're configured
[6:12] correctly.
[6:15] The first one we have under the media options is the automatically start recording.
[6:20] So, what that means is the live broadcast and or the video will automatically start recording at this time right here.
[6:31] So, basically, the video will start recording and then if you're going to live broadcast, we'll start at this at this time 8pm.
[6:40] If this is unchecked, then you will manually start the recordings. You'll basically push a button and that will start the recording and the live broadcast.
[6:49] If you are wanting to buy broadcaster meetings, so if you're basically wanting to put out a live broadcast
[6:59] to your public where they can watch the meeting as it's happening, you're going to check this box right here.
[7:08] If you're not interested in putting out a live broadcast to your public,
[7:15] you would uncheck that box there.
[7:20] The record event is going to create an archive of the meetings, so you'll have an MP4 video
[7:30] accessible after the meeting that then you can review and you can also then post to your
[7:36] citizens when you're ready.
[7:39] Excuse me, so on upcoming events we want to leave that checkbox checks that's going to put
[7:44] our meetings under that upcoming events section within the view page, which we do want it
[7:50] We do want it there because that's how our public is going to get like the live broadcasts link if our live streaming
[7:56] To get the agenda's a giant of hack it late all that good stuff and then we have
[8:03] The encoder, so this is going to be the encoder that we're using for the meeting
[8:08] You're going to be using this live casting coder and we can actually delete these other encoders as well just so they're not
[8:16] Not causing any confusion
[8:19] Those are your old encoders, and then we have this new one here which you're going to be using.
[8:25] So we just want to make sure that that is selected.
[8:30] Archive folder just needs to match the name and the meaning body, which you're only going to be using grandkids for city council.
[8:36] So it should default to city council.
[8:39] But just make sure it's not set as peak and live cast training.
[8:43] That's after the meeting where the archive will be uploaded to, which archive folder.
[8:48] So, we just want to make sure that it's in city council.
[8:54] Players template, so you can just, it doesn't really matter what you select here, you just have one video player.
[9:00] That video player is what we customized last week, where I showed you how you can add the logo to the video player,
[9:06] that changed the background color, kind of modify those details.
[9:13] Okay, so basically after the archive is uploaded, okay, if it's set to public, then after the archive is uploaded, and the archive status is set to public, then the public will automatically be able to view that video as soon as it gets successfully uploaded from look at his cloud.
[9:35] If you don't want the video automatically being public though, like if you potentially want
[9:42] to be able to make edits to the video before the video is actually posted to the public,
[9:48] you'll leave it as pending here.
[9:53] And then views, and we just want to make sure that we have our view page selected here
[9:59] Did you have a watch window?
[10:01] And then I'm going to go ahead and say, create here.
[10:08] And so once I say create, then that's going to schedule in my meeting. We have a test meeting here on 511. Okay, so now we have our meeting created.
[10:22] Any questions of our Anna?
[10:25] I don't think so.
[10:27] Okay. Now once we create our meeting, then we can see that meeting. So if we go back here to
[10:36] apps and we select Media Manager.
[10:42] We're going to be able to see that meeting showing here.
[10:50] Okay. So we can see that meeting. We can see that it agenda is not published for that
[10:55] set meeting. Okay. But you can see now it's showing under this upcoming events
[11:00] quadrant in Media Manager.
[11:05] We can click on the hyperlink for that test meeting
[11:08] that we just created together.
[11:12] And when we click on the hyperlink for the task meeting,
[11:15] we're able to check out the details and the settings
[11:19] related to that meeting within this tap here.
[11:26] A lot of these settings, we just, we just saw,
[11:30] okay, within the peak system.
[11:32] So, like you, for example, you wanted to modify the event
[11:37] and let's say originally you said,
[11:39] Yes, I want to live broadcast that meeting, but then I decided no, I don't want to live broadcast that meeting, you could simply uncheck that setting here.
[11:50] So within this edit event window, we have the name, this is the name of the meeting.
[11:57] Unlike with peek though, this is an editable field where if you want to change the name, like for example some clients will say like, if they want to indicate if it's like a special meeting or regular meeting.
[12:09] And actually have that shows the the public kind of front and center they would say like city council special meeting.
[12:21] And then the date in the time is going to be the date in the time that the meeting occurs.
[12:26] The duration is going to be the length of the meeting or estimated link of the meeting, which I can change this here.
[12:32] Remember, it's always better to have more time than less time because you can always stop your video whenever the meeting is done.
[12:42] Okay, but we don't want to have to worry about adding time during the meeting, and you have up to 16 hours, you're in this pull down list.
[12:55] If it's a reoccurring meeting, you'll set that through peak, okay.
[13:01] You want to set a reoccurring pattern through here, but you have the option and peak.
[13:05] Don't worry about these options here.
[13:09] Media options we looked at also in peak. We have the automatically start recording, which means the video in the broadcast.
[13:17] We'll start at this time here.
[13:21] Broadcast event means we're going to put out a live feed to the public.
[13:25] Record event means that we'll have an archive of the meeting accessible after the conclusion of the meeting.
[13:35] Show on upcoming events is going to post the, it's going to post the meeting under that upcoming event section on the View page, which we do want to there.
[13:49] We want to verify that we have the right encoder selected and we're going to be using this live casting coder.
[13:57] Our player template doesn't matter because we just have one video player template.
[14:03] Again, the template you don't need to worry about, that doesn't impact you.
[14:08] RK folders should just match the name of the meeting body.
[14:12] So if it's city council, it should be a city council.
[14:14] It's planning to be planning, but after we talked about last time,
[14:18] you're just going to be using peak for council, because you just have council meetings.
[14:25] So you'll just make sure that that's not to council.
[14:30] Archive status, so if after the video has been successfully uploaded back to your
[14:36] meaning manager site, if you want the video to be accessible to your public, you
[14:43] just like that. If you want to, if you want to potentially be able to make edits to
[14:50] the video before it's posted to the public, you'll mark it as an ending.
[14:56] Not public is if like let's say you use the encoder.
[15:00] To record, let's say like an internal training or some kind of internal meeting that shouldn't be released to the public. You can market as not public. That way you, like any other staff that's using the system, know that that video should never be released to the public.
[15:20] Then we have views aside, so we just want to make sure that we have our view page selected here.
[15:28] And then if we go ahead and say save changes, that's going to save our changes here.
[15:36] And so any changes that we make are adjusted in real time.
[15:43] So if I go to this admin tab here, under the admin tab, if I click on views,
[15:51] So it's under Ab and Ab and Abuse.
[15:56] If I double click on this view page here,
[15:59] if I double click on your primary view page,
[16:03] you can see we have our meetings here.
[16:06] Okay, and this is the task meeting that we just created,
[16:09] and you can see it reflects that special meeting tag.
[16:14] And we can see that information.
[16:24] So coming back here to our,
[16:28] Actually, I'm going to leave that open because we'll need that later.
[16:33] Coming back here to our Media Manager site.
[16:36] So if I click back here on the home screen.
[16:41] This right here is a task meeting that I created with an agenda for our training today.
[16:48] I created this meeting in peak.
[16:50] And so we can click on click on the details and see the details of that meeting.
[16:59] So we have like those options to decide whether everyone will like broadcast or just record
[17:05] the meeting and then the archive folder.
[17:10] On the agendas tab, what you're going to see on the agendas tab is you'll see the
[17:17] the published agenda hyperlink here. So within this agenda's tab, when you publish from peak,
[17:27] peak will create a hyperlink, and this is the hyperlink to the published agenda.
[17:33] So it will automatically do that for you put that published agenda link here. And then if you
[17:39] want to view the agenda, you can click view agenda. It opens up the agenda in a separate tab.
[17:45] Now,
[17:50] here is basically like a plain text file of our agenda, so the plain text file of our agenda is basically going to be
[18:00] the section headers under the sections. We have the different items here.
[18:09] I click on the plus sign. We can see the items.
[18:13] If you click on the plus sign under item, if there's any attachments, we can see those attachments as well.
[18:21] Okay, so this is just kind of like a note-pad version of our agenda and this, this note-pad version of our agenda is what we're going to use to take our minutes during the meeting.
[18:32] So this note-pad version of the agenda is what we're going to load into live manager and use as a guide to actually take our minutes.
[18:41] Okay.
[18:45] And this also comes when you publish from the peak system. This also comes from from peak. Okay, so whatever you publish your agenda, the system creates this plain text file of the agenda.
[19:04] Comments. That's the next tab over when we click on comments. We're going to get a 404 error.
[19:12] That is normal. Okay, if you don't have what we call the e-comment speak-ups solution installed.
[19:23] E-comment speak up allows for your citizens to engage with your agendas.
[19:27] So, like when you publish an agenda from peak, you can then have citizens make comments on certain agenda items that you accept like comments for, so that's what that's related to is it's an additional cost application that allows for public engagement.
[19:52] Publishing, what this does is the publishing tab allows for you to create what we call a publishing point.
[20:00] A publishing point is a direct, creating a direct link to the live stream of the meeting that you can embed onto your website.
[20:10] So, like, let's say, for example, that for this meeting, you have a couple of hot topics. And so, you want it to embed a link to this meeting directly onto, let's say, your homepage of your website, like, right here.
[20:28] The publishing point allows for you to create that direct link and then gives you the embed code and you can take that embed code and copy and paste it onto your website.
[20:42] On the publishing options to create a publishing point you will click new here.
[20:48] Once you click on new, then you can give your publishing point a name where you can just leave it as the default.
[20:56] And
[21:03] then you can just leave the title and text there and then player template you just have one video player template.
[21:10] So that doesn't matter here.
[21:13] And then if you go ahead and click on Save, that creates the publishing point.
[21:20] If you simply select your publishing point and then hit Edit, that is going to allow for modifications of this publishing point here.
[21:30] okay so you can allow for modifications or changes and
[21:38] then if you select your publishing point
[21:41] and you say get html code this is a direct link to the live stream of the meeting
[21:51] so this is where you could just put like this hyperlink on your homepage of your website right here
[21:59] But if you want to kind of make it a little bit cleaner, what you can do is you can embed this code and I can so we click here.
[22:16] And then this would be the hyperlink so this would be the embedded hyperlink here.
[22:22] And you could just copy that and then paste that onto your website and we created directly to the live stream.
[22:32] That's also just an option you have, not necessarily something that you have to do but you notice it's there as an option.
[22:42] Or you have the ability also to just like with no JavaScript, whatever is most appropriate.
[22:50] And then you would just simply replace the link text here with the link information.
[23:00] And then on the publishing, you can create as many publishing points as do you would like for this meeting, and then the other option, excuse me, is the permissions.
[23:12] So with the permissions tab, this is where you can control what security groups have access to what
[23:19] Um, what's your groups have access to this meeting? Um, you just have, you know,
[23:26] you're admin group and then you're legislative users group. So, um, this isn't really
[23:32] something I think that you need to configure because this is like if you have, you know,
[23:37] we talked about how like big organizations, they have multiple meeting liaisons, right? And they want
[23:44] kind of keep people out of other people's meeting bodies, right? And so that's what this gives you
[23:51] the opportunity to do so here, but it's just going to be like you and maybe one or two other
[23:56] people within this system, I don't think you need to worry about this.
[24:03] Anna, is there any questions I
[24:04] can answer so far? So I do have a question, maybe something we talk about later, but we have a
[24:16] video recording them. They're a way to set them up so they don't, that we can still, I mean,
[24:25] we can still do the agendas and everything, but they aren't going to have a video link with them.
[24:31] So, I didn't know if that was something we needed to talk about. Now or later.
[24:38] I can certainly show you that. So, so you said Anna, you would create those agendas in
[24:45] but they the actual event would not occur in the council table, so you couldn't use the
[24:50] encoder to record them. Is that correct? That's correct, yeah. Okay. So what you're
[24:57] going to do in that case, so any meaning that's not you're not...
[25:00] So if it's a meeting that's happened in the past, you'd have to click go to events and then track it down, you know, track the the meeting down. But let's say, like, for example, like it's like this meeting here, what you're going to do is you're going to come over and click on actions. And you're going to click the option, which is create archive.
[25:28] And then you're just going to say, yes, we're going to create an archive.
[25:37] And then once you say create archive, what you're going to do is you're going to come in here and you're going to change, so this is the basic file properties tap here.
[25:51] This just has the the meeting information.
[25:55] What you're going to do is you're going to change the date to the date of the meeting occurred. So this meeting occurred on 58.
[26:03] So I'm going to go ahead and back that bit, excuse me, back date the meeting to 5-8.
[26:11] I'm going to change the time to the time the meeting occurred.
[26:16] So if this meeting occurred, let's say it 8 p.m.
[26:20] I'm going to change it to 8.
[26:23] And this screen here is, I'd hear some, to 24 hour clock.
[26:32] So just be careful when you're typing the time in here that it is adhering to military time.
[26:42] And then the status you're going to change to public.
[26:47] So the date is going to be the date that the meaning occurred.
[26:51] The time is going to be the time the meaning occurred.
[26:55] And then the status is going to be public.
[26:58] And then you're going to click save properties.
[27:02] And so when we click on Save Properties then, if I go and I refresh my view page here we would see there's my meeting right here.
[27:17] Okay, so it the system pushed that meeting from being an event to an archive.
[27:24] It occurred on Friday, May 8th, 8 p.m., and then if you had created the agendas, the agendas and the packet in peak, you would see those documents also on the same line as the meeting.
[27:42] Okay,
[27:46] and then you can also, I'm not sure how you wanted to tackle the minutes, but for
[27:53] that meeting, you would also be able to click then on, after you can figure these settings,
[28:02] you would be able to go to the minutes tab, and like if you had like a word, document or
[28:08] PDF copy of the minutes. You'll be able to click on this
[28:12] minutes tab here and then click on new.
[28:18] In your document name,
[28:20] you would type like minutes and then you would say upload file and then go
[28:29] ahead and choose that PDF copy of the minutes. So we'll say it's like
[28:34] this right here,
[28:38] took a bit of name, upload the file. And then if we
[28:43] say create document.
[28:51] We've uploaded our minutes here and then to publish
[28:55] sad minutes we would simply select it here and then say publish.
[29:04] And so now if I
[29:05] go back to my view page and I refresh the link to the minutes is now there.
[29:20] Was there additional questions and I could answer on that process?
[29:23] I don't think that's good.
[29:26] Okay.
[29:26] I know it's kind of a weird.
[29:28] It's kind of an awkward process.
[29:31] It's going to a lot of people find.
[30:00] It's going to be a lot of people find so if you need me to go over it again on our next training session, just let me know, because it is kind of a quirky, quirky process, yeah.
[30:14] It should be an odd thing. We don't have it that often, so we have like three meetings a year that happened that way.
[30:21] So are they like retreat meetings?
[30:26] No, we actually have like our department head of
[30:30] valuations take place in like our conference room.
[30:35] Generally because even though they're public,
[30:37] we don't usually have public at them.
[30:39] And so it's easier for us to have it more in a round table.
[30:43] And then a lot of times we'll do in our budget hearing.
[30:45] We try to have it where the all the departments and the
[30:49] can be like around the table together so they can interact easier. So it's just those
[30:57] those three that usually happen but I need it to know how to do that because it does happen
[31:04] throughout the year or so. That makes sense. That makes sense. And you have minutes for those
[31:13] Yeah. And we do audio recording at this point at some point we may end up getting like some kind of video system in those rooms, but we don't
[31:25] in this way because they're not used that often for it. So we can't really justify the cost for that.
[31:33] Do you, Anna, do you also need to upload that in P4 recording? Would you need to upload that to the public as well?
[31:46] If we ever get people to ask what we're able to just send them that portion of it, that doesn't happen that often either so.
[31:58] Oh, they say you can certainly do that.
[31:59] if it's, if it's just kind of available on a request basis, then you can just keep doing that.
[32:07] The other is also an option if you ever wanted to start uploading that in P4 or the audio
[32:13] recordings, excuse me, you could also upload it here. It would just basically, like instead of having a video,
[32:22] right, you would just have like the video link would just be the audio recording.
[32:30] That's good to know that we can do that if we have to.
[32:34] Absolutely, yes, absolutely.
[32:50] So coming back here, so on our home screen.
[32:59] So on the day of the meeting, you know, I would say like an hour or so or 30 minutes before
[33:06] the meeting starts,
[33:10] what you're going to do, just kind of prepare yourself
[33:13] solve and prep yourself for the meeting is we want to go ahead and we want to open up
[33:20] light manager and so to open up light manager we're going to click on actions here and we're
[33:27] going to select the option which is launch event. So it's it's actions and then launch event.
[33:36] And so what that's going to do is that's going to open up the light manager application.
[33:40] So I'm just going to close out some of these tabs here and so the live manager application is what you're going to use to control the live stream and the archive of the meeting and then it also last for you to like we talked about
[33:56] Take your minutes during the meeting and time stamp. Okay
[34:01] Now when you open up live manager what you're basically going to see is you're going to see three main quadrant. So
[34:08] Over on the left hand side, you're going to see a preview of the recording and the live stream.
[34:16] This is our starting button so that we can start the live stream and the recording basically starting the meeting.
[34:23] We hit that when we start the meeting.
[34:25] This is the details of the meeting.
[34:28] This is our timer meeting so that's our countdown timer.
[34:32] Okay, our game show countdown timer.
[34:35] If we need to, we can extend the meeting in 30 minute increments, and we can hit this button as many times as we need, so if we find ourselves.
[34:45] Sorry, writing short on time, we can click extend.
[34:51] In this center section here, this is where we're going to have our agenda.
[34:57] This was the agenda that was created in the peak system.
[35:00] Okay, so this would be our agenda that we created through peak with all of our items, in section headers, and then any respective attachments as well.
[35:13] If we want, excuse me, just to give ourselves a little bit more real estate.
[35:19] We can click hide attachments, and when we click hide attachments, that basically then we'll
[35:26] condense our attachments so that we can't see them, but then if I click show attachments
[35:31] here, that opens up and we can view our attachments again.
[35:38] And then over here on the right hand side, this is where we can go in, we can take our minutes,
[35:44] So we're going to be able to take our attendance, our motions and votes, any discussion
[35:49] notes, add items on the fly, okay, and verify our attendees and speakers.
[36:01] Before we get started with the meeting, we do have the opportunity to actually come into
[36:09] like manager and actually pre-load some minutes, minutes like information in the
[36:18] head of time. So if you kind of have like standard, let's say notes that you
[36:22] add for every single meeting or you have like, you know, your speakers ahead of
[36:29] time, you can actually before even hitting start, you can enter that information
[36:34] into this program.
[36:39] So, for example, let's say for our call for order and a roll call.
[36:43] Oh, you want to close out of that? I don't like I actually need that back. Let me go back.
[36:49] Sorry.
[36:53] You know how you just like get too many tabs open and then yeah, you go pre-be?
[37:00] Yes.
[37:03] But then you close out and soften and you realize you need it.
[37:50] I think we talked a little bit about this, like this right here would be potentially, like, if you knew, like, let's say, for example, like, you know that nobody is going to come and speak at your meeting, for example, like, let's say they have to register to speak at a time, and you know that nobody is coming to speak.
[38:11] You could actually enter this note in before the meeting and so what you could do is write this
[38:20] comments from the general public. If you wanted to enter it that note, you would simply
[38:26] select that item and then come down in this quick note field and you could put that note in.
[38:36] Or if you knew for example, let's say that you knew the mayor was going to lead the
[38:47] pledge of allegiance for the meeting, we could actually enter that note in ahead of time.
[38:55] So under the pledge of allegiance, I can select pledge here, pledge allegiance, and I could
[39:00] enter that note in before the start of the meeting.
[39:04] And the beautiful thing is once you type in that quick note field, if you don't have to click save or anything like that,
[39:12] you can just simply click away from it and the system will accept that note.
[39:20] And then also as well, like if you have items here, you could also pre-load notes under the items themselves.
[39:27] the details of the items are coming from peeks, like the title, if there's a recommended
[39:34] action and then department, that's all information that's coming from the peeks system,
[39:43] so
[39:43] we can kind of scan through here and select, okay, see those details and then enter in a quick
[39:50] note.
[39:57] Also, as well, Anna.
[40:00] I'm sorry, we're kind of jumping around a lot, but on your notes, we talked a little bit about last time under the admin tap here, so under admin we have settings, and under admin in settings, we have this live manager web tab.
[40:22] And what that dies is that allows us to enter in the short hand, a short hand, and then
[40:30] it expands into the statement of tax here.
[40:36] And so like we have pre-built one in CO, which is like the meeting call to order statement.
[40:43] So if I wanted to put that meeting call to order statement, let's say under the call to order.
[40:50] I would simply select call-to-order and then under the quick note field I could type
[40:57] MCO and then it's control and spacebar and you can see it expands into that statement
[41:04] a text there so it's for that one it was MCO all lowercase control spacebar
[41:14] and so those
[41:15] can figure, though, under admin and settings and live manager web, you can enter in the
[41:22] short hand and then it expands into the statement of text here. Okay.
[41:38] Another thing that you
[41:39] can pre-enter ahead of time is let's say for example, like you thought there wasn't public
[41:45] comments, you were going to have any public speakers, but then it was like, oh actually,
[41:50] You had like a last minute speaker sign up, or you have some people interested in signing up to speak.
[41:57] I'm going to go ahead and delete that note.
[42:00] And then what I can do is I can navigate to the speakers tab.
[42:05] And the speakers tab what this does is this allows for you to add public speakers.
[42:11] The benefit to adding public speakers is one.
[42:14] You can manage your public speakers list from here.
[42:19] To you have the ability to keep track of the time for each public speaker and make sure that they're not going over their set time.
[42:29] And then also what the system does is each time you call a speaker it creates a note.
[42:36] It auto creates a note for you.
[42:38] Okay, and so you have the ability then to basically add details of what the public spoke about, okay,
[42:50] or if there's like a staff speaker, you could add that as well.
[42:54] And so to add a speaker, we would click add speaker here.
[42:58] For our speaker name, we would type our speaker name and then indicate whether they're a member of the public, staff member or elected official and then how long we want to give them
[43:11] how long they're allowed to speak for.
[43:17] And then we can go ahead and click, let's say,
[43:19] add another and let's say we want to add, like, George Bush, Jr., I think was the latest one.
[43:27] And then, same thing, remember the public, one minute, and then, we'll add, like, Obama.
[43:38] And then, um, if there's, like, a staff speaker, you could, like, set into that here,
[43:43] elected official and then once we go ahead and say add that's going to add all of our public speakers here okay or our speakers for the item we can reorder our list if we want to like if if we want
[44:11] or we can add additional speakers as we did.
[44:19] We can also verify our attendees as well.
[44:23] So with our attendees list,
[44:24] you're gonna see these are all of your elected officials,
[44:28] or like your council members.
[44:30] And then if anybody is not gonna be voting,
[44:34] you could uncheck them as a voting member,
[44:36] like sometimes with council's,
[44:38] the mayor doesn't vote unless there's an instance of a tie.
[44:41] you could like uncheck the mayor here as a voting member and then you could always
[44:48] you could always add them as a voting member for that one item that they do
[44:53] let's say like an instance need to break a tie
[44:56] and this
[45:00] Let's list right here and this list right here, just as a note, that is going to be generated from our peak system. So if I go to agenda, abstain agenda, PE,
[45:16] that consolidated list is coming from where it says admin. And then city council.
[45:25] And then this members tap here. Right here.
[45:30] Okay, so that's what I can update it when I need to.
[45:34] Yes, yes.
[45:35] Is it so correct?
[45:37] It is correct.
[45:37] We do have an election in November, so we will have a change, but it's still several months away.
[45:43] Oh, beautiful.
[45:46] Does your mayor vote?
[45:48] I'm only in the case of a Thai or a veto.
[45:52] And there is a very specific, like if we're appointing a council member, like say we have one
[45:58] resign in the middle and then we need to appoint, they can vote in that instance also, but that's very rarely.
[46:05] Okay,
[46:08] will they can do it and it make things easier? Is we'll go ahead and uncheck
[46:14] the mayor as a voting member by default. So that way, like when you pull up this list
[46:21] He's unchecked as a voting member, but then in the case where there is a tie, like is that you can bring him back into that vote
[46:29] But that way he would just auto-populate as a non-voting member, so it's like probably 90% of the time if not higher, he's not going to be voting.
[46:38] Yeah,
[46:43] because, yeah, because you saw a five, so somebody's abs, if somebody's absent, then yes, you would have that case where you could have a tie, so I was trying to do like the math.
[46:53] Yeah, yes.
[46:56] Okay, cool.
[46:58] Also, yeah, so it's just in peak, you can use where you can update the list of members here.
[47:11] I think you can do.
[47:12] And some people say, Anna, this is like, this is illegal.
[47:15] We can't do this in our state or our city.
[47:18] But I just want to show you this so that we have it on the recording.
[47:23] If you have an instance where you have like a council member proposed that an item be added to the agenda,
[47:33] Right before the start of the meeting, you can use this plus item option to add that item.
[47:41] And so what you would do is you would click on the section of where we want to add the public
[47:47] here in or wherever we want to add the item.
[47:51] And then if we go ahead and we click plus item here, we would type in the set title of the item.
[48:03] And then we would go ahead and type the actual title.
[48:08] So we could say like, presentation on,
[48:17] and then if it's coming from like a certain department.
[48:22] Or we have a recommendation.
[48:24] We can enter that information in here.
[48:27] And then you can see that that item then gets added under that public hearing section.
[48:35] So it just allows for you to add items right for the start of the meeting
[48:38] that are not part of your agenda because like we wouldn't like 10 minutes before the meeting,
[48:44] we wouldn't have the ability to go back to peak, create that island peak,
[48:48] we published the agenda in the packet, right? We wouldn't have time to do all that,
[48:53] and even some like clients have posting laws where they have to post the agenda like 24 hours before,
[48:59] which would probably violate that, you know about the need, but yeah, sit up, yeah, yeah.
[49:06] We can only do that in emergency situations, and then there's very specific things that qualify as an emergency.
[49:13] Okay, okay.
[49:15] So if it actually was one of them, we had an emergency when they were everything was shutting down.
[49:23] We were having a council meeting, so we actually were able to add something to discuss that at the meeting that night.
[49:28] So, that makes sense. Yeah, that exactly makes sense. For sure. Yeah, that makes sense.
[49:36] Yeah.
[49:41] Yeah, that's a great example of that. Absolutely.
[49:48] And then to Anna, like if you want you can delete something, I just really caution you on deleting
[49:56] things because if you do delete something, the pen will.
[50:01] But if you, like, let's say you created this item in the new realized, what you shouldn't have done that, or you created an error, you can simply select delete here and delete that. So,
[50:24] okay.
[50:29] obvious, obvious for you, so.
[50:33] But yeah, so we can add attendees, our manners, our attendees,
[50:41] before the meeting, we can add speakers, we can add notes ahead of time, and then we can add items.
[50:49] So that's kind of the pre-work that we can do before we start the meeting. Anything else like attendance,
[50:54] motions and boats. We all have to do that actually during the meeting. But Anna, is there any questions
[51:01] that I can answer on the pre-meeting work before we start the meeting? I don't think so.
[51:11] All right. So then to start our production, we're going to come over here and hit start.
[51:26] And then once we hit start, you can see there's like a little bit of a delay. So maybe we want to hit
[51:30] that button 10 seconds before the actual start of the meeting before the gap will come down.
[51:36] But once we hit start, what we're going to see over here is this is going to show us a preview of our live stream and the recording for our meeting.
[51:46] So for live stream and our meetings, we see the preview for the live stream, if we're recording our meeting, this would just be the preview of course for the recording.
[51:55] And so this what this does is like, and it basically allows for you just to check and make sure that everything is running smoothly with the audio and video.
[52:03] So let's say, for example, you have a really tall member of the public who comes and let's
[52:10] say their head is locking the camera.
[52:12] You can then use this preview to be like, oh, actually there's a camera blockage.
[52:18] I need to ask that to send to move to a different spot or maybe you're getting some feedback
[52:26] with your audio, right?
[52:28] You can hear the audio through here.
[52:30] Um, this does have about like a 30 to 45 second delay in between like the actual
[52:39] meeting and what you're seeing here. So it's like watching a sporting event on television.
[52:46] They're typically delay between what's happening in the game and what you're seeing on your
[52:50] television at home. So what I'm getting at is we don't want to use this as our guides take
[52:56] minutes and time stamp because everything is going to be off. You know, by about 30 to 45 seconds.
[53:02] So if you feel like you may, you may inadvertently do that. What you can do is you can close this
[53:09] preview up and then you can always bring it back as needed. But it also just gives you like a little
[53:14] bit more real estate on your screen here.
[53:20] And then if we do find yourself running out of time,
[53:24] Like I said, it's just better to give yourself plenty of time than two little time.
[53:29] But if you do find yourself running out of time, we take send the meeting in 30 minute increments.
[53:37] And we can do that as many times as we need.
[53:44] And then in the center quadrant here, this is going to be our agenda.
[53:48] So this is what we're going to use to take our minutes.
[53:52] When we're ready to start, so once the gavel comes down basically,
[53:58] What we're going to do is we're going to double click this first item called order and roll call.
[54:04] And so when we double click the item, what happens is that the system, once we started our meeting, we have this time stamp field.
[54:12] And the system applies the time stamp. So the time stamp is basically when this event took place.
[54:18] we're telling the system when the event took place, okay? And so we're to say that the
[54:24] event took place at 10.56 and 11 seconds in the morning, okay?
[54:32] And so we can also obtain
[54:34] that time sent by hitting record here as well. So the other options that double-clicking you
[54:42] could also single-select and hit record, but either way, double-clicking or single-select
[54:52] and hitting record is going to create that timestamp.
[54:59] And then.
[55:00] Okay?
[55:03] And then if you timestamp and I just say, you know, if you timestamp something again, so like we timestamp something once and then we timestamped it again, that basically timestamp that item twice. So we're saying like that we discussed that item or potentially discussed and voted on that item twice that are meeting.
[55:23] Because sometimes like, you know, the council will say,
[55:30] they'll start discussing an item, but maybe they're not ready to vote on that items.
[55:34] You'll time stamp it, but then later on they want to come back and actually vote on that item.
[55:39] That would be an instance where you would time stamp something twice.
[55:42] The first time stamp was just the discussion on the item.
[55:46] This second time stamp was the discussion and the vote on the item.
[55:54] And then we have this note that we actually preloaded and ahead of time and so I could just
[56:03] add the name so I'll just say Anna that you call the meeting to order at 6 p.m. so I'm just updating
[56:10] this note but I already have it preloaded okay and then the next order business we have is the
[56:24] the Pledge of Allegiance. Okay. And then we have this note here. All righty. So I think that
[56:31] note is good. I don't think I need to do anything else like that. So I can move on to the next item.
[56:38] Oh, and a one thing I want to show you here as well. So just kind of while we're going through this.
[56:47] Let me go back. Actually, yeah, let me go to your view page here. So on your view page. So if I refresh
[56:54] the view page, which is the link between your citizens and your peak site.
[57:02] We can see that on the view page here, it says date and progress, and then it says live stream link right here.
[57:12] And so what we can do is to, like, let's say we're both members of the public right now and we're looking at this page.
[57:20] either I can click on this in progress link here or click on view event here and
[57:30] once I click on that that's going to open up. That's going to open up the live
[57:37] stream of the meeting and then I can watch the live stream of the meeting.
[57:42] So like I remember the public let's say I can watch the live stream of the meeting from here
[57:47] and then also see side by side the agenda as well. So this is how you're public. Like if you're
[57:55] if you're wanting an a to livestream your meetings, this is how the public would obtain the live
[58:00] stream. So it's kind of like basically that the updated version of like a cable channel, you know,
[58:07] people, people as much don't have cable channels as we kind of move away from like,
[58:13] like, you know, standard television and more digital technology. This is kind of like the equivalent
[58:18] to that is like watching the live stream through here. Okay.
[58:26] And then they can see the current item
[58:28] as well down here so they can follow the meeting and see the current current item. Okay, but they
[58:35] can get the live stream to the meeting either through here or through here, either one of these options.
[58:42] okay and then also Anna as well just to show you this so if we go back to our medium
[58:52] manager site so if I go under apps here and I click medium manager the other thing I
[58:59] want to point out to you is that your home dashboard you can see it it's a little bit
[59:05] little bit different now because we have the status marked as recording and so we can click
[59:14] on watch here or join. So watch allows for us to open up the live stream of the meeting.
[59:22] So we can this is how like internally we can get the live stream and then join allows for us to connect
[59:28] like manager.
[59:32] And then you also as well under this recently added and pending archives.
[59:40] So I thought I was going to see you have this tag here that says recording and so that's how you
[59:47] know that that meaning is being recorded. Okay.
[59:56] Also in as well. So let me
[1:00:00] So, on the call to order and roll call, the other thing we'll want to do, I'm going to apologize, I got a little bit ahead of myself, is we're going to want to take attendance under this, this section here.
[1:00:20] So basically what we're doing is we're telling the system who is present and who is absent at the meeting.
[1:00:28] And so in order to do that, we're going to click on roll call here.
[1:00:33] And when we click on roll call, this is going to bring up a list of our members including the mayor.
[1:00:41] And we can mark whether they're present, absent, or excused.
[1:00:46] Okay, so if anyone is, let's say, excused or is absent at the meeting, we can mark them accordingly here.
[1:00:59] And then I'm going to go ahead and I'm going to say, record, and that is going to record my attendance.
[1:01:06] Okay, so that's basically what we're doing here Anna is we're basically, we're creating this, this right here.
[1:01:24] And then also as well I did notice that you have a section that says also or like other's present or also present as well
[1:01:34] I assume that's kind of like your your staff members that were present as so you can also
[1:01:41] In your attendance
[1:01:44] In your quick note field you could basically input those those people that were or present
[1:01:52] right here. And then if you record, that's going to record that note. So record is
[1:02:00] basically what we're doing here in it is we're saving, or saving that attendance.
[1:02:06] Okay.
[1:02:09] Okay, so let me ask this. Normally I know who, like the departments that are going to be
[1:02:14] there, but what if we have other people that I don't know about until after the meeting,
[1:02:18] am I able to still add them into the section after the meeting's over and we're done recording?
[1:02:25] Absolutely, yes, yes. So, you can absolutely add additional people through the meeting.
[1:02:32] Absolutely.
[1:02:35] Okay.
[1:02:38] You can also as well, one thing, and I want to note this,
[1:02:43] is any, like, if you make, let's say mistakes, right?
[1:02:46] We spell something wrong in the notes field.
[1:02:49] We mark a mover incorrectly or a second or incorrectly.
[1:02:52] We have the ability to go back at through the meeting and fix that information, okay?
[1:02:59] So this does not want to try to get this, this does not need to be perfect.
[1:03:06] This can be edited after the meeting and none of this information with the exception of the current item is visible to the public.
[1:03:15] So the public's not going to be able to see your notes and you're not going to be able to see your motions or your votes.
[1:03:20] None of that information is publicly accessible at this point.
[1:03:26] So because I think a lot of people they get really nervous because they're like,
[1:03:30] you know, the meetings go so fast that they just have typos, right?
[1:03:34] Like, and I would have the same thing as well, we're human.
[1:03:39] And so I think they get nervous about trying to take minutes during the meeting because they do have those types of mistakes.
[1:03:44] But I think the takeaway is like this is think of this as like a draft copy, like a working copy, not an end or final product.
[1:03:55] Okay.
[1:03:58] Okay.
[1:03:58] Now if somebody comes in, let's say late to your meeting, like you, like let's say like, I'm going to be informal.
[1:04:07] But like let's say Gabby, for example, was absent during the roll call, but then came in, let's say during the approval minutes.
[1:04:17] you have a couple of ways that you can address that. One of the ways you can address that is
[1:04:23] like if you come back up to the original attendance, you could change Gabby from absent to present,
[1:04:30] like you would just update the attendance and then re-record.
[1:04:35] The other, one of the other options
[1:04:37] you have is you could take a second roll call, so wherever Gabby came in, like if Gabby came in
[1:04:47] It would be like a second attempt or during like when you go to take a vote and you'll see this
[1:04:55] Gabby will be automarked as absent for all votes.
[1:05:02] Comments from the general public. So this is up next. We have a couple of public speakers here. I have a total of three. And I see that visual indicator here to navigate to our speakers. We're going to click on our speakers tab here. Now if we had let's say somebody, one of the members of the public says, hey, hey, Anna, I, you know what, I decided I want to speak as well.
[1:05:29] You know, as you call the public comment, you could click on add speaker here and we could go
[1:05:35] how to add that speaker. So let's say Kim Kardashian says that she wants to speak. We'll go
[1:05:42] ahead and add her as well and then I'm going to give her one minute to talk and then we'll go
[1:05:51] ahead and say add and now we've added Kim here. So you can add people on the fly during the meeting
[1:05:57] is what I'm getting at. They don't have to be pre-loaded in before the start of the meeting.
[1:06:06] And then once we're ready to call our first speaker up, we're going to go ahead and call here.
[1:06:11] Once I click call, I'm going to go ahead and start George's time here.
[1:06:17] And so this timer is kind of like a stopwatch, right? It just allows for you to monitor
[1:06:25] how long that person is speaking for. And we can change the time to three, one minute, three minutes, five minutes or plus 30 seconds.
[1:06:38] And then if like George Bush has done speaking early, we can hit stop, but I do want to show you this here these different colors. So if somebody's time gets under 30 seconds,
[1:06:50] It's that status is going to change to yellow. And then once the timer gets under five seconds,
[1:07:00] it will change to a red color. So we can look at that here. I want to show you that just so you
[1:07:08] can see that. So now so then that's when you could start saying like kind of waving your hand
[1:07:15] like, hey, times up.
[1:07:20] And then if we hit stop here, we're going to go ahead and click on un-pull,
[1:07:26] and then we'll go ahead and dress our next speaker Will Smith and go ahead and start his time.
[1:07:34] Now, Anna, we do have the beautiful thing with the speakers is that we do have
[1:07:39] these quick notes that are auto-generated by the system. So it notes like who
[1:07:46] Who is speaking? Okay, and um, you know kind of creates a note like George was called to speak. Well, so this is called to speak so it's called to speak, but if I click on
[1:07:59] Bill Smith's note
[1:08:01] And I type actually what he spoke about like as the timers rolling.
[1:08:23] So I type it a little note there if I go back to my main speakers tab and I click on speakers here.
[1:08:31] you can see like undies his time. It like undies him and his time and then him being called as a
[1:08:39] speaker. So what I would do is if you want to use this speaker's feature here, when somebody is talking,
[1:08:48] maybe hand write some notes about what they're talking about, or you can use the video you can
[1:08:53] the video after the meeting and use that as a guide to to note what they spoke about.
[1:09:05] So I'm going to go ahead and delete him because he's already spoken and then you'll just
[1:09:10] continue to call your speakers up one by one and we'll stop, uncall, start at the time and you
[1:09:25] for calling speakers, and then,
[1:09:32] oh, let me go ahead and don't call her.
[1:09:35] Okay. And so you can see now we've got these four notes. And so after the meeting we
[1:09:41] could go in and we could type in what Obama spoke about, or what Kim Kardashian spoke
[1:09:46] about, we'd be able to use the video as a guide, or like I said, if you want to hand
[1:09:51] some notes,
[1:09:54] can write some notes during the meeting, what these person got up and talked about.
[1:09:58] You could do that as well.
[1:10:00] But just remember that like any minutes that you don't get to capture any motions of votes and everything like that, you're going to have the video recording and so you can watch the video.
[1:10:09] I'm use that as an aid right to help build a minutes after the meeting or add information after the meeting.
[1:10:24] And then we'll go to the the next order of business we have is the
[1:10:31] We have the city council regular meeting approval minutes and so what you can do Anna is some people will time stamp
[1:10:40] the section header
[1:10:42] and then they'll time stamp each item
[1:10:47] Some people don't find it's necessary to create a time stamp on the header. They only find it necessary to time stamp each
[1:10:53] item because really like the discussion is mainly for each item versus like the header, so
[1:11:02] you can do either one. I'll show you kind of both ways but I did timestamp the header for this
[1:11:08] and then timestamp the item. Also as a general note, like any items that have been timestamped
[1:11:15] are going to show this dark black ink, the clock will be in a dark black ink, anything has it
[1:11:21] time stamp would be in a lighter gray, a lighter gray, so.
[1:11:29] And then for this item, so let's
[1:11:35] say they discussed the minutes and they say everything looks good on, looks good on the minutes
[1:11:42] and already to go ahead and take a vote. We can go ahead to take a vote, we're going to click
[1:11:48] on motion and vote here. You're going to select your mover and select your seconder.
[1:11:54] We have four people here Anna because our mayor is marked as non-voting and then we have
[1:12:01] and I apologize I'm being very informal, but I'll remember her first name, Gabby, is Mark
[1:12:07] is absent.
[1:12:13] You also have the ability to proceed with no seconder because sometimes Anna, so I was just
[1:12:19] trying to sometimes they just have a mover but no seconder or they could have a situation
[1:12:24] with a mover, but not a seconder. So you have that scenario, or you have if the motion dies,
[1:12:35] you can also fail for lack of seconds.
[1:12:41] Motion two, so this is where you can select the motion on
[1:12:46] the floor. I would say probably like, I'm going to go to a limit, probably say 90 is per side of your
[1:12:52] are either going to be like to approve or to adopt, but you have these other ones here as
[1:12:58] necessary. Like if the item gets continued or postponed or some scenario like that, you can select that here.
[1:13:08] This is the motion on the floor. The motion on the floor is that's going to carry in the suggested
[1:13:15] action that was entered in the piece of some, but this is like the motion on the floor. This is
[1:13:21] what we're motioning to approve or to adopt or to event.
[1:13:26] And so I could type, for example, like city council,
[1:13:34] regular minutes with adjustments.
[1:13:41] So this is the mace of the motion on the floor.
[1:13:44] You can enter in a quick note,
[1:13:47] and then if we go ahead and say record,
[1:13:49] that's going to record our motion there.
[1:13:55] And then to actually take the vote, we're going to
[1:13:58] simply say go to vote.
[1:14:01] And so we can mark our members as yes, no recuse and abstain.
[1:14:09] I'm going to
[1:14:09] say everybody voted yes because minutes typically aren't controversial. I say that it's not always
[1:14:16] true but usually minutes are pretty like cotton dry generally. So I'm going to say everybody voted yes.
[1:14:23] If you do have a situation and where you don't have a majority vote,
[1:14:28] so like the system by default is going to calculate the majority vote.
[1:15:00] This is going to say that vote failed, okay? But sometimes we have non-missordy votes where we have to have a certain number of people, right? That vote, yes, for the item to get it to pass, okay? So we can, if we do an encounter scenario where it is a non-missordy vote, we can select from the stop-down here.
[1:15:22] Then we can go ahead and say, record, and we can see that that vote did end up passing here, okay? So we have that that vote in the dot path.
[1:15:35] Then we can tackle our next approval minutes items, so I'm going to go ahead and double click.
[1:15:42] And then I'm going to go ahead and say motion and vote.
[1:15:46] So we'll say the mayor calls for a mover.
[1:15:49] Floor as is the mover calls for a seconder.
[1:15:52] Hansen's our seconder.
[1:15:54] Our motion on the floor is to approve these minutes.
[1:15:58] And so if you don't enter anything in it in the motion text,
[1:16:02] The system will just basically place the title in as the motion text, but like I said, sometimes the motion changes from the title, okay, sometimes it like gets kind of the language gets a little bit changed during the meeting.
[1:16:18] But we'll just say like the motion text is the title and we'll go ahead and say record and so that's going to record our motion and then if we say go to vote we're going to select yes no reviews and of staying and then I'm going to go ahead and say everyone voted yes again we'll just keep things really simple okay and we'll go ahead and say yes and then we're going to go ahead and say record
[1:16:46] And so we'll go ahead and record that motion that it did end up passing, let me just turn this off here for just a moment.
[1:17:07] Our vote passage was the majority and then our vote did end up passing.
[1:17:12] Any questions so far, Anna?
[1:17:15] No, I don't think so.
[1:17:17] Beautiful.
[1:17:19] All right, so we have a public hearing.
[1:17:21] Um, so actually we have a two-bob of carrying items, so I'm going to go ahead this for this scenario.
[1:17:28] I'm just going to time stamp the section the item here. Okay.
[1:17:35] And I could even, um,
[1:17:41] I could even, like, if there's speakers from the Sacred Circle healthcare tribe,
[1:17:49] I could even use, for example, like for this public hearing, I could even use this speaker's tab and add those people as a speaker.
[1:17:59] If I wanted to, like, if during public hearings, each speaker has, like, a set time, you could actually add them as a speaker here as well.
[1:18:09] So you could also use the public hearings, the speakers tap for public hearings, and then call that speaker.
[1:18:24] And then once we're done, we can go ahead and hear a stop, and I'm going to go ahead and un-call.
[1:18:29] But you can, on this presentation, you know, this isn't like an item, right, that we would, we would vote on Anna, but you could put a note in here if you wanted to add a note.
[1:18:39] Um,
[1:19:02] but I could just take that note in there, and then we can move on to our second presentation here, so a double click.
[1:19:10] Oh, sorry, and you've a question back.
[1:19:13] So on a public hearing note, sometimes we do vote on him. We can vote if we need to.
[1:19:19] You can, yes, did you, did you happen to vote on this one?
[1:19:23] No, most of our presentations we don't, but for public hearing, we actually do have some public hearings that
[1:19:30] actually have a motion with them. So I just needed to know that we can do that.
[1:19:37] Yes, yes. So we could so far, let's say we voted on five B here, this public hearing. What you
[1:19:45] would do is you just be able to come up here and hit motion and vote. You'd be able to pick your
[1:19:52] over, pick your seconder.
[1:19:56] Motion to you. I'm going to see if it's probably a
[1:19:59] good prouver adopt.
[1:20:00] And then if you go ahead and say go to vote. Then we can choose how each of our members voted. So I'm going to say three people voted. Yes.
[1:20:10] We're going to go ahead and say that true, julio, truly, oh. How do you say it?
[1:20:19] For heal. True, true, true, true, true, heal. To heal. Yeah. Okay, to heal.
[1:20:24] I mean, so I'm Robert it's like, well, I don't know, I feel so informal to you.
[1:20:33] I'm impressed that you can say that, because that's kind of hard to say.
[1:20:38] So that's really impressive to say that.
[1:20:41] Yeah, true, true Leo.
[1:20:44] I'm going to get it.
[1:20:47] But we'll say Robert of saying, like, due to a conflict of interest or something like that,
[1:20:52] And then we'll go ahead and say record.
[1:21:02] And you can even as well, Anna,
[1:21:04] like if you want to note why Robert obtained or accused,
[1:21:09] oh, I'm starting to type your name.
[1:21:13] You can see that's why it's harder than you think
[1:21:15] to type during the meeting.
[1:21:17] It's like, it is very hard.
[1:21:20] Yeah,
[1:21:22] start typing your name, Robert.
[1:21:30] So I guess, Anna, though, like,
[1:21:32] if you don't get a chance to add a note,
[1:21:34] you don't get a chance to add a motion or a vote.
[1:21:37] Anything I'm doing in this window here,
[1:21:41] you can also do after the meeting as well.
[1:21:45] Okay.
[1:21:51] Office, it looks like, is the next order of business
[1:21:55] so we can select that.
[1:21:58] And then it looks like we have this presentation here.
[1:22:04] Now, if we're presentations Anna,
[1:22:06] do you typically vote on those?
[1:22:08] These presentations?
[1:22:09] Yeah, no. It's usually just information that's provided to that. So, by usually various groups,
[1:22:16] this one was a youth group that presented awards to some of their members.
[1:22:22] So, you just
[1:22:23] probably add like a note. Yeah.
[1:22:37] Okay. So, coming up, we have the consent calendar next. So,
[1:22:42] if the consent calendar, it's going to be a little bit different than the individual items,
[1:22:50] Because, you know, a consent calendar is basically one block, though, or the idea is one block,
[1:22:56] though on any items a cylinder consent, you know, with the exception, of course, that items can be
[1:23:02] pulled right and voted on with an individual vote, but like the overall goal for consent is to vote
[1:23:09] on all of the items under consent.
[1:23:13] And so what you're going to do to take the consent vote is rather than time stamping each
[1:23:20] of these items, you're going to come and you're going to double click on the consent calendar
[1:23:27] section adder.
[1:23:29] Okay, so you're actually going to be voting on the section header line that says consent
[1:23:34] calendar.
[1:23:34] And then let's say that, for example, I know there's only two items here, and let's say that
[1:23:44] item 8B gets pulled.
[1:23:55] So the council discusses the consent, but ultimately item 8B was pulled.
[1:24:05] Oh, from consent.
[1:24:09] And then after item 8B gets pulled, the council moves into the motion and vote
[1:24:15] consent. So what we're going to do is we're going to click on motion and vote here. We're
[1:24:21] going to go ahead and select our mover and select our seconder
[1:24:28] to heal up. Proceed with no
[1:24:31] seconder or felt for lack of second is also an option. The motion on the floor is to approve
[1:24:37] the consent calendar and we're going to go ahead and capture that motion and hit forward. And just
[1:24:43] because we're taking a motion about on the consent calendar section header,
[1:24:51] the motion gets
[1:24:53] put under the section itself,
[1:24:59] and then,
[1:25:01] We'll say everybody voted yes for the consent calendar, and then it was a majority vote, so we're going to go ahead and record that vote.
[1:25:12] Okay.
[1:25:15] So we'll say our main consent, you know, items, right, our items with the exception of
[1:25:21] 8B ended up passing, okay, or so our main consent vote passed. Now, item 8B was pulled and voted
[1:25:30] on separately, okay. And so what I'm going to do is when I'm ready to approach the vote for item 8B,
[1:25:40] I'm going to simply double click it,
[1:25:44] double click item may be, and then I'm going to go ahead and click on motion and vote.
[1:25:51] And I'm going to go ahead and move and second the item.
[1:25:57] So this is just creating the vote for item 8B.
[1:26:00] We'll say we'll spice things up here and we'll say that the item is going to need to be postponed because the council didn't have enough information for the item.
[1:26:11] item. So we'll go ahead select postpone and then we're going to go ahead and record that motion and then we'll go ahead and say go to vote and I'm going to go ahead and say mark all yes here our vote passage was the majority and then we'll go ahead and say record
[1:26:35] and you can see there's basically under item A B there's like a motion and then a vote and then
[1:26:43] and this is the motion in the vote for the entire consent agenda.
[1:26:50] You can also, as well, Anna, I just put a note that item 8B was pulled from the
[1:26:56] consent calendar under the main section line, but if you wanted to, you could also put a note
[1:27:03] under that specific item
[1:27:20] and just type a note in there.
[1:27:24] So, you can actually put the note under the item itself or under the master consent calendar
[1:27:29] line.
[1:27:34] And you're just going to continue on with your agenda.
[1:27:41] So under new business, we'll go ahead and we'll double click.
[1:27:46] And we'll go ahead and tackle this item 9A.
[1:27:50] So we'll say the council discusses it.
[1:27:53] Then we're ready to motion and vote.
[1:27:56] Now let's say, for example, that for this item,
[1:27:59] There was a mover, but we did not obtain a seconder, we were not able to get a seconder
[1:28:07] for the item.
[1:28:09] Now the motion on the floor was to approve the item, but in this scenario we did not get
[1:28:15] a seconder.
[1:28:17] I'm going to go ahead and record that motion, but you can see we can't go to the boat, because
[1:28:24] we're saying this item failed for a lack of second.
[1:28:31] Now let's say though for example there's
[1:28:34] a remotion on the floor. There's an amendment to amendments this item to see if you can get
[1:28:40] the item to pass to obtain a second or as well.
[1:28:46] If there is an amendment to the item you would
[1:28:49] simply select the title of the item and then what you would do is when the council is ready to
[1:28:57] motion on the item, you would click motion and vote. Now let's say for this scenario for the
[1:29:04] second motion, we did get a seconder, say Hanson was our seconder, our motion of floor was
[1:29:12] to amend, so we're going to select the option of amend here and then we'll go ahead and say
[1:29:20] record.
[1:29:24] Then we're going to go ahead and click go to vote and we're going to say everybody voted
[1:30:00] So we'll go ahead and record that vote.
[1:30:05] Okay? Now, if you want to know Anna kind of what the amendment was, you have, you have kind of two options.
[1:30:15] You can note the amendment information on the title of the item within this quick notes field, so you could type what the amendment was.
[1:30:30] what you could do is the amendment information could also go where it's as motion to amend.
[1:30:40] The amendment information could also go in this motion text field here.
[1:30:56] So you have kind of two options for where to place that amendment text either within the quick note field or within the motion text.
[1:31:05] Okay,
[1:31:10] now another scenario might encounter like some people call these like friendly amendments or amended motions
[1:31:16] I've heard them call it some different things, but another scenario you could run into Anna, um,
[1:31:24] is like let's say, for example, so we'll go ahead and timestamp item 9b
[1:31:30] And let's say, for example, that there was a proposition for a motion, so we'll go ahead and say motion vote here.
[1:31:41] And then we'll select our mover and our seconder.
[1:31:47] Let's see, our motion was to approve, and then we'll go ahead and record that motion.
[1:31:55] Now let's say though like sometimes the council right they don't move forward with the vote on the first motion that they like make a friendly amendment and then they want a remotion again.
[1:32:07] So if that's a case where like you have a motion but you don't vote on that motion to create a second motion what you would do is click on the title of the item.
[1:32:17] And then to create that second motion and vote, we would click on motion and vote here, select the mover and select the seconder, and then we'll go ahead and say the motion was to amend.
[1:32:35] And then we'll go ahead and record that motion and then this time we'll say go to vote, so we'll actually vote on the second motion and
[1:32:54] then we'll go ahead and record.
[1:32:56] Okay. Now let's say the council says, oh, we want to go back and vote on the first motion.
[1:33:04] So to go on that first motion, we would simply select it here. Select the line that has
[1:33:10] the first motion information. And then if we say go to votes, we'll say that I'm probably
[1:33:21] not Anna, really following Robert's rules of order, but I just want to kind of walk you through
[1:33:25] scenario. So we'll say that that motion did back to us. And then we'll go ahead and record.
[1:33:35] And so you can see that this motion here to approve did end up passing.
[1:33:41] Okay.
[1:33:46] And then
[1:33:47] we're coming down here at Department reports. We could type notes in here,
[1:33:55] communication. So these probably would just be like notes. For example, I assume
[1:34:06] There's kind of looking to see what you have here.
[1:34:12] Oh, you've got a lot of notes.
[1:34:14] That was a budget meeting, so there was a lot of note on that one.
[1:34:18] Oh, wow.
[1:34:19] It wasn't usually like that.
[1:34:24] I was like, well, you typed a lot of notes in.
[1:34:28] That one for the budget, we do that.
[1:34:29] And one's aren't like that.
[1:34:31] Oh, okay.
[1:34:34] That makes sense.
[1:34:36] That makes sense.
[1:34:38] Yeah, I'm feeling like you've got a lot of notes here.
[1:34:40] But yeah, this is something you can certainly put in a large body of text, like this for your notes, if you need to.
[1:34:49] I don't know if I can read your budget needs.
[1:34:55] Yeah, so you can just like for communications, you could put a note in here.
[1:35:00] To say that for this item, we didn't get an opportunity to do the motion info. We just timestamped it. So I'm going to show you how to complete a motion and vote after the meeting.
[1:35:11] Comments from the general public and then the date of the next meeting. So it looks like you vote to adjourn. Yeah, you adjourn your meetings. So for your adjournment, you can actually vote.
[1:35:29] on this so you would just be able to click motion and vote. Select your mover to turn the
[1:35:35] meetings like the seconder. Motion two is to adopt it looks like the adjournment. Go ahead and
[1:35:42] record and then we'll take a two vote. We'll say everybody Vias was ready to turn the meeting
[1:35:48] and go ahead and record.
[1:35:52] And then then we have this notice here. That's just for the
[1:35:59] agenda. Now let's say vote like, for example, so they voted to adjourn the meeting, oh shoot,
[1:36:06] I wanted to show you this. Say they voted to adjourn the meeting, but then like, let's say you
[1:36:11] went into closed session. For example, like, let's say you had a closed session after and then you
[1:36:15] were going to come back out of closed session. What you can do is there's also the ability to
[1:36:20] click pause here. So like if you go into intermission or you go your council wants to break
[1:36:28] for like a sack break you know they want to get their door dash orders for the night or
[1:36:34] they need a restroom break. What you can do is you can click on pause and when you click on pause
[1:36:40] it says live stream will show a pause screen and the pause portion of the recording will not be included
[1:36:46] in the archive video. And so if we pause the meeting, basically what's that saying is that we're
[1:36:51] not live broadcasting and recording that portion of the meeting until we click on this resume
[1:36:58] button. What also happens is that if a member of the community is watching the live stream of the
[1:37:05] meeting, they're going to see a message and that's going to pop up here shortly, just basically saying
[1:37:11] that the live stream has been paused by the organizer
[1:37:15] and will resume momentarily.
[1:37:20] So we'll be able to see that message here in just a moment.
[1:37:27] Yep, so the live, the video stream for this meeting
[1:37:29] has been paused by the organizer and will resume
[1:37:31] once they return or views the meeting agenda
[1:37:34] for more information.
[1:37:36] And so once we're ready to hit resume the meeting,
[1:37:39] we'll just hit resume here.
[1:37:40] that will start the live broadcast up again and then there's also a note that says
[1:37:48] meaning when into recess meeting reconvened and then we're going to go ahead and
[1:37:53] in-darmating and so once we end our meeting the live stream and the recording
[1:37:58] will both end if you run this meeting again a separate archive will be created so
[1:38:04] Just make sure that you truly are intending to end the meeting, that you, you know, if you inadvertently click it, you can click cancel here, but that does cut both the live broadcast and the recording cuts both.
[1:38:20] So, then if we go ahead and we say end,
[1:38:25] there's a little bit of a delay here,
[1:38:31] but then you can see it's starting to.
[1:38:35] And then if I click return to home page, we're going to see that that meeting is now in the process of uploading, okay, under recently added and pending archives.
[1:38:48] It's in the uploading status.
[1:38:50] And once the meeting is successfully uploaded, then you're going to be able to edit the video as needed.
[1:38:56] Okay, so typically what clients will do in it is that they'll like the meetings are in the evening
[1:39:02] So they'll click end and then the next day if they need to trim the video or edit any of the time stamps
[1:39:09] They'll come in the next morning and make those adjustments
[1:39:13] And that's what we're gonna talk about on our final training session is how to make edits to the video and then clean up the minutes
[1:39:23] after the meeting, you know, if there's any of the spellings, any errors, or any information
[1:39:28] we didn't get to add during the meeting, we can do clean up after the fact. Okay. Okay.
[1:39:37] Yeah, and that is, that is the live manager program kind of in a nutshell. What questions
[1:39:44] can I answer? I don't think anything, I think that was pretty, pretty self-explanatory.
[1:39:58] And you know, one of the things I reckon.
[1:40:00] Basic calls are brought away productions. You know, they don't just get up on stage, right? And try to run the production, right? They don't, they don't try to just act in the production without practising verse, right? They have rehearsals and things like that.
[1:40:17] That's the way I like to associate live manager as well. I always typically recommend a customer's to practice before trying to use live manager during the meeting just because
[1:40:29] meetings can be very intense, and there's a lot of like time pressure, okay, and so I would recommend
[1:40:37] running at least a couple of practice meetings before trying to take light manager live so that you get more comfortable and you get that practice
[1:40:46] before trying to, you know, fully go live with the application.
[1:40:54] And if you also enter to, the other thing with live managers, you can kind of peaceful the
[1:40:59] application.
[1:41:00] Like, some people just use it to control their video, like control starting and stopping
[1:41:07] the video.
[1:41:08] Some people use it to do the video and time stamp and then some people use it to do the video,
[1:41:13] time stamp and take minutes.
[1:41:15] So it's really preferential what you want to use like manager for, you can use kind of like the minimal features of the application or you can use it to its full potential.
[1:41:27] It's really just dependent upon the client and kind of what roles they have at the meetings right and kind of what they're expected to do with the meetings.
[1:41:36] Because some people say like we just don't have time to take minutes during the meeting and then like that's totally fine.
[1:41:40] I show you, you know, all the features, but if you don't want to use them, that is totally fine.
[1:41:46] You know, some people just say the only thing we're going to do is just use it to video stream.
[1:41:51] And I'm like, that's completely fine. And then they do their minutes, all of their minutes after the meeting.
[1:41:56] So it's really preferential in what you want to use the application for.
[1:42:02] So. All right. Anything else, Anna, I can help you with today. I know that was a lot of information.
[1:42:11] Um, no, I don't think so. Not today.
[1:42:13] Okay. It was good. Yeah. Awesome.
[1:42:16] What we have training scheduled for a week from Wednesday. So I will talk to you a week from Wednesday.
[1:42:23] If you have any questions though, you have my email. Um, and then yeah, is there anything
[1:42:29] though, Anna? I'll second help you with before we end? Um, no, I think that's good for today.
[1:42:35] Okay. All right. We'll have a fantastic rest of your Monday and I will talk to you next week.
[1:42:40] Okay, you too. Bye-bye.
[1:42:42] Thanks, Anna. Take care. Bye-bye.
