[9:36] attendance um for the duration and time

[9:40] the actual event is 12 to 3, but setup

[9:44] will be um at least an hour before and

[9:48] clean up will be an hour after.

[9:50] suggested rooms um presentation room

[9:54] monitors. So we have three spaces that

[9:57] are designated as presentations. There

[10:00] will be live presentations total. So

[10:03] three presentations in each of the

[10:06] spaces. Um suggestion is that there is a

[10:10] commissioner present to help keep the

[10:13] presentations on time and also to do an

[10:18] introduction of the speakers and to

[10:20] welcome the attendees or possibly help

[10:22] them they found themselves in the wrong

[10:25] location maybe indicate where they might

[10:27] be able to go. There will be signage

[10:31] each of the spaces. Um but that is one

[10:33] of the suggestions to have a

[10:35] commissioner present in each of those

[10:37] presentation locations. Um a welcome

[10:41] station as people enter the community

[10:43] center because there are going to be

[10:46] again the three different presentation

[10:48] spaces and the vendor location which is

[10:51] going to be Grand Oak. So, um, located

[10:54] more in the lobby spaces so that you can

[10:57] welcome people as they come in. Um, and

[11:01] also there will be the giveaway of the

[11:04] reusable grocery tote so that uh welcome

[11:08] space can also um allow the

[11:11] commissioners to pass out that giveaway

[11:15] as well. And then the feedback station

[11:18] which will be a specific table that I

[11:21] think we can set up in the lobbying

[11:23] space. And that will have um the survey

[11:28] which the commission indicated they

[11:30] wanted to get feedback from attendees to

[11:33] know what future sections um the

[11:38] attendees might be interested in seeing

[11:41] um in their um uh presentation series

[11:44] that they don't click plus um sometimes

[11:47] after lunch or other sessions that they

[11:49] host. So it could be having that

[11:53] conversation with the attendees or

[11:55] simply having them fill out a basic

[11:57] paper survey that uh we have already um

[12:01] created. So those are some suggested

[12:05] um roles that the commissioners can

[12:07] assist with. All the other setup and

[12:10] things will be handled by city staff um

[12:12] in regards to getting the tables and

[12:14] chairs and signage up. So it's more of

[12:18] being engaged with the attendees that

[12:21] will be coming to the event. So those

[12:24] are suggestions obviously um it can be

[12:27] open to other ideas that the

[12:28] commissioners have but that is what has

[12:31] been put forward. Then on top of and in

[12:34] figuring to give reports I've outlined

[12:37] all of the marketing avenues that the

[12:39] city will be doing. The other suggestion

[12:43] uh is to have the commissioners

[12:45] determine um additional marketing

[12:48] avenues. So whether it is you sharing

[12:51] with your own networks um of neighbors,

[12:54] friends, um hosting on local community

[12:58] boards. So if there are places that you

[13:00] frequent in the area and they have

[13:03] community boards that you're able to put

[13:05] up a flyer, locating those places and

[13:09] city staff can provide you with as many

[13:12] posters or flyers that you may need. um

[13:16] that would assist you in getting that

[13:18] information out. And in talk to clubs,

[13:21] I'm sure there are many um places and

[13:24] events that you may frequent. If they

[13:27] might be so inclined, it might be

[13:30] helpful just to share a heads up that

[13:33] the event is coming and you can bring

[13:36] flowers or posters that help you with

[13:39] the event as well. So like those are

[13:41] just suggestions on takeaways that you

[13:45] should decide upon at the end of our

[13:47] conversation. Um further in if you uh

[13:51] look at the actual report we have all

[13:54] nine slides actually build their full

[13:57] presentation. So that is um over the

[14:02] course of the topics that the standard

[14:05] commission selected there will be

[14:08] presentations which includes an overview

[14:11] nutrition movement um healthy sleeping

[14:15] habits um social connectedness

[14:18] caregiving and then public safety. Um

[14:21] the next pieces um it actually lists the

[14:26] schedule. So who is located in each of

[14:30] those spaces? Those three spaces are

[14:32] this room which is the room, the normal

[14:36] class of the lobby which is the needle

[14:39] room and then the 8 room which is very

[14:43] close to the grand old group. So it has

[14:47] a very nice um I think connection for

[14:50] all of the spaces that were selected.

[14:52] And each of those I've included um the

[14:57] setup the speaker time which is roughly

[15:00] 30 minutes for the presentation 10

[15:03] minutes for question and answers at the

[15:06] end and then it does allow time for the

[15:10] speaker to clean up their things and it

[15:14] also provides uh transition time for

[15:16] attendees. So if they are planning to go

[15:19] to multiple presentations

[15:21] or in between time if they wanted to do

[15:24] a quick walk to the vendor area they

[15:27] could visit a few then go to another

[15:31] session and it allows some breathing

[15:33] room in between the presentations so

[15:36] that they have the ability to uh engage

[15:40] in all of the elements that you have for

[15:42] the event.

[15:44] Um then the final part is a listing of

[15:48] the vendors which have been secured so

[15:52] far and there there's a wide range of

[15:55] vendors that have uh been asked to

[15:58] participate.

[15:59] So and the final part marketing that the

[16:03] city plans to do. We do have a free

[16:07] flyer and a poster. all of this. Um, and

[16:11] I can show you a sample of what that is

[16:13] going to look like. We will be placing

[16:16] A-frame signage around the community

[16:18] center and also down at Grant Park,

[16:21] which is our satellite um, adult 50 plus

[16:24] site. We will have a granny which the

[16:27] location the commission selected was the

[16:29] San Antonio Alamino site and that will

[16:32] be basically noticed through the event

[16:36] week. And then we also will be doing new

[16:40] town fire events leading up to the

[16:43] event. We will be doing social media

[16:46] posts. There will there will be an ad on

[16:49] the uh community center monitors um

[16:52] starting mid August uh or uh soon um

[16:56] August. Um there will be a website

[16:59] listing both for the event itself which

[17:02] will have additional detail on the event

[17:05] in addition to listing on the parks and

[17:08] recreation calendar and the city's

[17:11] general calendar as well on the website.

[17:15] And we've also included um the uh

[17:18] electronic newsletters that are being

[17:20] sent out by parks and recreation as sort

[17:23] of another weekly newsletter through the

[17:25] city manager. So all of those I elements

[17:29] the city has already taken care of. Uh

[25:23] my experience with events is that even

[25:27] if they are confirmed

[25:29] there will sometimes be no shows the day

[25:33] of the event. So although this is the

[25:37] list that has been confirmed to date and

[25:40] so if there are additional um now

[25:44] obviously we can't go more than 25

[25:48] that the space can um will be a little

[25:53] tight but it can accommodate and we're

[25:56] well below that we're um I think um I

[25:59] did not do the count but I think 2020

[26:03] And so we have space

[26:07] and if more come up absolutely um you

[26:11] just would not go above the curtain. Um

[26:14] but knowing um and in my experience you

[26:17] just have to be flexible. Um in some of

[26:19] the events that we've had um I will say

[29:03] nutrition and we tried to get vendors

[29:05] who were doing things related to that.

[29:07] For example, I found a person who

[29:10] handles mobility and so talks about

[29:12] wheelchairs, talks about um sending you

[29:17] know mobility devices to people who need

[29:19] it. uh he uh we also contacted the

[29:25] hospital and we have a nutritionist

[29:28] coming from there to talk similar kind

[29:30] of thing. Chris went to several vendors

[29:33] in the care um this the

[29:38] assistant assisted assisted living

[29:41] facilities

[29:43] all of those. So our vendor selection

[29:45] was based on

[29:47] RF.

[29:53] So the government people

[29:55] are very much

[29:57] subject to

[29:58] >> right and also what the county provides

[30:01] for example if it's information from

[30:03] fire or emergency services that what the

[30:06] county provides don't also have these

[30:09] invited colleagues who who can give us

[30:22] science demonst demonstrations they give

[30:24] the dive side exercise classes here and

[30:27] so when we heard about this they

[30:28] approach

[30:42] some of our other city facilities as

[31:02] Park. So there is representation of

[31:05] classes that are available throughout

[31:08] the city. But on top of that, that is

[31:10] just a a very very small selection.

[31:14] There are other classes like Tai Chi, um

[31:18] yoga. There are some other classes that

[31:21] the city offers. Now, obviously, you

[31:24] couldn't offer a a large number of

[31:28] demonstrations. There were some specific

[31:30] uh time slots. So, obviously those

[31:33] classes we will include information

[31:35] because we do have our uh fall and

[31:38] winter activity guide. Um so, that

[31:41] encompasses everything that our

[31:43] department offers. What's the exercise?

[31:51] demonstration. So that um it information

[31:55] about the importance of movement in the

[1:11:19] excursions from the adult 50 plus

[1:11:22] program. We're going to Half Moon Bay

[1:11:24] Farmer John's pumpkin farm uh for an

[1:11:27] experience uh some fall farm fun

[1:11:30] uh in October. Then we have a more local

[1:11:33] meetup at the Lyola Fire Station for a

[1:11:36] behind thescenes tour of your local fire

[1:11:39] station. More details are on these

[1:11:41] flyers and of course you can always pick

[1:11:43] up the latest iteration of the program

[1:11:45] brochure that's available at the 50 plus

[1:11:47] centers.

[1:11:49] >> But Chris, I have a question for you. Um

[1:11:51] for these um events, are you taking a

[1:11:55] bus?

[1:11:56] >> Good question. Yeah. So um the mini trip

[1:12:00] there is a fee and the fee is included

[1:12:03] of the it's a kind of a luxury

[1:12:07] comfortable bus coach service that

[1:12:09] includes transportation. The local fire

[1:12:12] department uh does not have a bus. But

[1:12:15] uh when you take a bus and you go to the

[1:12:18] internet who might go to job, um will

[1:12:22] there be somebody there who um have some

[1:12:27] CPR training or anything involved

[1:12:30] similar to that? You have some of that.

[1:12:34] >> Yeah, all of the staff. We we do have

[1:12:36] access to basic first aid, basic uh

[1:12:39] supporting of care. We we have emergency

[1:12:41] phones we keep with us at all times. Um,

[1:12:46] and of course just basic uh sort of

[1:12:49] hosting support of keeping an eye on the

[1:12:52] group and helping with

[1:12:56] moving around through space safely.

[1:12:58] >> People bring like wheelchairs or

[1:13:01] rollings.

[1:13:04] >> The bus I can I can get you some more

[1:13:06] information about the the bus. I would

[1:13:09] um off the top of my head I I've seen

[1:13:11] buses that do have a lift. The bus that

[1:13:14] we typically ride does not include

[1:13:16] doesn't have a lift.

[1:13:23] you know, drive your own car and be

[1:13:25] there.

[1:13:25] >> Yeah, with prior communication, anything

[1:13:28] is possible. Yeah, definitely.

[1:13:51] annual hoown um that will be held on

[1:13:55] September 6th over at the Westwind Barn.

[1:14:03] going to be live bluegrass music. Uh

[1:14:06] there's going to be a horse show hosted

[1:14:08] by Victoria D equestrian. There's going

[1:14:10] to be a barbecue food truck, an ice

[1:14:12] cream truck, and um some fun activities.

[1:15:01] Registration for Los Altos residents

[1:15:04] will actually begin next Monday on um

[1:15:08] August 8th. I I might be saying the date

[1:15:12] wrong. Next Monday

[1:15:14] and then the following Monday after that

[1:15:16] it opens to everyone. So if you have not

[1:15:20] and hopefully you have gotten the um

[1:15:24] your activity guide in the mail. Uh we

[1:15:27] did uh mail that out to all of the

[1:15:29] residents as well. But if you have young

[1:15:31] viewers, we do have some available for

[1:15:34] pick up here at the summer as well too.

[1:15:37] additionalformational one of the

[1:15:38] highlight.

[1:16:00] representative for source wise. Um, our

[1:16:04] plan is to actually bring that back and

[1:16:06] then we can add it as a future agenda

[1:16:08] item. Um, to make that selection in

[1:16:11] October once the new commissioners are

[1:16:15] seated, we thought that would make the

[1:16:17] most sense timing wise. Um, so we will

[1:16:20] plan to agendaize them for the October

[1:16:22] meeting. source wise

[1:16:24] >> source wise and it used to be called the

[1:16:27] council for aging. Um I I might be

[1:16:32] mixing up a few of the words there but

[1:16:34] it is representative in Santa Clara

[1:16:37] County. So there are a number of cities

[1:16:39] and other agencies within the county

[1:16:42] that serve on this board. They have a

[1:16:44] number of sub committees that um talk

[1:16:47] about a few different topics as well. Um

[1:16:51] the only caveat I will put is that it

[1:16:53] makes for a long Monday. Their meetings

[1:16:56] are the first Monday of the month from

[1:16:59] 12 to 2 virtually and then we go right

[1:17:02] into our senior commission meeting. So

[1:17:05] um it is a u commitment um because I

[1:17:09] believe they do meet once a month I

[1:17:12] believe. So um more information uh will

[1:17:15] be included once we uh make that uh have

[1:17:18] the discussion to maybe make a selection

[1:17:20] in October.
