[0:01] There we go.
[0:07] And roll call, I see Mac, Gloria, and that's all I see because everybody else is in the room, who is.
[0:19] Speedy's here, phobia.
[0:24] Shannon. Yeah,
[0:28] correct.
[0:38] Okay. So we still have a quorum. Are there any potential?
[0:42] conflicts of interest?
[0:47] Okay then let's start with the Waldorf verse. The healthy social life is found
[0:52] when in the mirror of each human soul the whole community finds its reflection and when in the
[0:59] community the strength of each one is living.
[1:04] So the first order of business is the vote for a new
[1:08] leadership, which puts me as the chair person. And I'm still laughing at this. Vice chair
[1:16] Smith-Monson, Treasurer Mack Golan, and Secretary Gloria Pack.
[1:26] What am I supposed to say?
[1:28] I do vote for those positions. Second. Thank you. Any? I'll ask for discussion.
[1:40] I'm sorry?
[1:41] rules are we we motion we second and then we discuss and then we go okay is there any discussion
[1:51] okay all in favor hi hi hi hi okay that's it I'm it all right um so in that case I'd like to make
[2:04] a few remarks um the first one is um just my introduction and my goals um I've really only been on the
[2:13] board for a little over a year, but because I worked at
[2:17] Walsuch Waldorf for eight years, I have some institutional
[2:21] knowledge. So that's what got me in the position, I think.
[2:26] One of the things I'd like to do is continue to explore the
[2:30] fundraising ideas that was one of Max Gold's last year. We met
[2:34] informally at the beginning of the month and talked about having
[2:38] a fundraising goal, which we found out was 50,000.
[2:43] And one of the questions I have that I'd like to put to a vote next meeting is, one,
[2:50] should we create a separate committee and who should be on it?
[2:54] We did look at this over the summer, where the original charter said that there should
[3:03] be two to three governing board members, one who serves as a chair.
[3:09] The foundation director, one to two foundation board members, the executive director, a pedagogical
[3:14] director, volunteer and events coordinator or admin assistant and the family council chair.
[3:23] We can choose to have all of these or some of these and this could be an email discussion
[3:28] that we have during the month to kind of figure out what everybody feels would be best.
[3:36] So that's one option. We can also continue to have individual board members create ideas for
[3:45] sustainer events and run them. So Gloria did a wonderful event this spring with yoga and mindfulness
[3:56] illness and that was well attended. I believe that Smithy is going to do a pizza night
[4:03] and Mac is going to do a stargazing night. So these two, like B and C, do not have to
[4:10] be one or the other. We could choose to do both. And then I'm open for any new ideas
[4:16] that we might want to discuss throughout the month. But I think by the next meeting we
[4:20] We should have some idea of where we want to go as a board to work towards this 50,000.
[4:28] Does anyone have any ideas right now?
[4:35] I'd like the idea of having, I think we talked about having a kind of like a one event
[4:47] It would be every year, but it would be as big as the gala or something like that and
[4:56] not as difficult to organize.
[4:59] We talked about it being like a fun run or a walk at Fox Hollow.
[5:07] And I think that would be like a really nice event in the fall or spring, but so this time
[5:16] probably best for the spring.
[5:20] But I kind of like that idea still and we could and I think part
[5:28] of it was like the board members could if if they wanted to could or could try to organize
[5:35] different fundraising ideas for that event like if someone wanted to try to organize a silent auction
[5:40] they could, you know, the understanding that that's a difficult task, but, you know, believing
[5:49] it kind of more open to individual board members, desires, I guess. But on the pizza night,
[5:58] I'm not sure that I know that that's a good fundraising event because it actually will cost
[6:05] some money to have those two. I can't get the piece of free so or I can or I can dig up some
[6:14] well. But I know. Yeah. Okay. I think I think part of it is, you know, if we're each coming up with
[6:21] small events, it should be something that we have, you know, high interest in and motivation and one
[6:28] of the things that happened in the past where people got burnt out. So we definitely want to make this
[6:33] easy, simple, and something that people want to do. And then, you know, I know you had talked about the pizza party and if the pizza is too expensive, we can brainstorm other ideas, or maybe somebody knows a pizza person who's willing to give us a better price on them.
[6:55] So just food for thought and things that we should think about and I think I'll start an
[7:00] email chain throughout the month to kind of get more ideas and then just solidify what
[7:05] we really are going to do for the year by next month.
[7:08] So I'll put that on next month's agenda.
[7:12] Yeah.
[7:13] So how much money do we typically raise at harvest festival?
[7:19] About 17, 16, 17,000.
[7:21] Okay.
[7:21] So that's in that number two and Vivian asked for a number right now.
[7:28] Sustainers, I think 32,000 total, but I don't we'd have to go look at what the annual.
[7:34] That's part of the stress plus the standards of 32,000.
[7:36] No, the sustainer's 32,000 on its own, but that might be a total that it's earned since we started it.
[7:43] So on this new platform, I can look that up and then I just wanted to say out loud.
[7:50] Emily and I are going to do a joint letter follow up from Farm to Future and with more of an ask and
[7:58] ideas of how people can support us. So like in kind donations companies that maybe want to sponsor some things like that. So
[8:07] So that's going to all gel in together for me right now until like an annual fund Tuesday giving Tuesday
[8:14] Candace who does all our graphics. She's already on it thinking about it
[8:17] it. So hopefully this year we can even push it more. Yeah, I'm really glad that way. I
[8:26] think $800 total, but that included a $5,000 donation from a company.
[8:35] Yeah, and I remember
[8:36] last year, we also talked about like some companies that we might work for doing a match.
[8:42] And I don't know how that works, but I can look into it. I know that a lot of companies
[8:46] We'll do a match. Yeah, and we even have a special thing set up on donor box so you can look your company up.
[8:53] Okay.
[8:55] All right.
[8:57] So that's food for thought on the continuation of one of max goals.
[9:01] One of my goals is to recruit two new board members a year.
[9:06] Because our school is new, we had all these board members and then they left and then all of a sudden everybody was leaving at the first,
[9:13] You know, a similar times if we have a goal to recruit two new board members a year probably about six months apart as people, you know, go on.
[9:24] I see that you're moving the camera there.
[9:28] We'd like to recruit Kevin Harris right now who's in the room with everybody who would be an awesome board member.
[9:35] I think each chair, I'm sorry, I lost myself, Smitty stopped doing that.
[9:48] So if we do that, we would be able to cycle through board members in a way where people
[9:56] aren't doing, in a way where people aren't doing things that they shouldn't be doing too
[10:01] soon, like being the board chair, right? But you get some knowledge. So my idea is that the first
[10:10] year of any board member should be a year where you just listen, you know, obviously definitely
[10:19] give input, but listen and learn, which means that each person for the first year should at least
[10:28] sit in on the committee once during that year. No one's checking up on you, but just kind
[10:34] of one of those things you should do, because at some point you'll be asked to join a committee,
[10:38] and if you've already been to a committee meeting and you understand how that committee works,
[10:44] you're more likely to do or to join something that you're more interested in.
[10:50] So in order to do that, we, as all the chairs of the committees, need to communicate to the entire
[10:57] board when the meetings are because I don't think we've done that in the past. You're just
[11:01] communicate to the people who are in your meeting. So in general, if you have a meeting, send
[11:08] the meeting invite to all board members so that any of us could join if we wanted to join and see
[11:14] what's going on. So I think that would help for like the future of our board and make a stronger,
[11:21] more intelligent board. The other thing about that would be I talked about deep
[11:27] dives last time we met too, which means that in each meeting a committee would
[11:33] talk a little bit about what they're doing. So I put up the schedule on
[11:38] September it would be finance committee, October policy, then fund raising,
[11:42] foundation, and then it goes back to finance. During the finance ones there are
[11:46] also the ones that Brian meets with us. So I figured that would help out
[11:50] doing that. And this is a brief overview of what your committee does and what
[11:57] you're currently working on. Maybe like five minutes. Does that make sense?
[12:05] Okay.
[12:06] And then I also wanted to remind everybody that there is yearly board trainings
[12:12] and I listed all your board trainings here. They need to be done by April 15th of
[12:18] of next year. So you have some time, but don't leave them all to the end. And I'll just keep on reminding everybody about this.
[12:26] Once you do, they're all on that board spreadsheet. One of the tabs is for board training.
[12:35] So once you do a training, just put the date and your initials next to it and we can get that done.
[12:41] And then we have the annual board meeting calendar so you can write down all the dates that we will be meeting this year.
[12:53] Next, I'd like to approve the meeting minutes from June.
[13:00] Okay. What's the wording again, Max? Sorry.
[13:03] I think you just, you just need to ask for a motion.
[13:06] Okay, I'll let like a motion to approve the June meeting.
[13:10] Four minutes.
[13:12] Well, I don't know if I'm still a board member.
[13:14] Tell us what else to do.
[13:15] I know.
[13:16] I'm going to start over there.
[13:18] I'm going to bring the June for minutes.
[13:23] Well, second.
[13:26] Oh, in favor.
[13:28] Hi.
[13:30] Any against.
[13:33] Okay, then the June board meetings are minutes.
[13:38] are approved. You can move to an option for public participation. Does anyone have anything
[13:45] that they'd like to add?
[13:51] Yes, she has. Sorry. Sorry. What did you say Heather? I'm running
[13:56] Brianna and in, but I just... Oh, she's ready.
[14:03] Yes, she was running late. Is she in? There she
[14:07] Yes, yeah, okay.
[14:13] Okay.
[14:27] Arianna, are you in?
[14:35] Yes, I mean, you're out of mute.
[14:37] She's in the waiting room again.
[14:39] She moved on.
[14:40] Does she show up?
[14:41] I know.
[14:41] She's showing up?
[14:42] Yep.
[14:43] Oh, is she?
[14:44] She is.
[14:45] Oh, maybe there's some.
[14:47] She has another, I don't know, I don't know.
[14:49] Hmm.
[15:01] Are you there, Rianan?
[15:04] Thank you. In the chat.
[15:08] Yes. Okay, great. All right. We are up to the executive
[15:17] director reviews. So Mack and I met with Heather Campbell earlier or last week. And she had
[15:23] very positive review from us as a board and the staff as well. We have a staff, we did
[15:32] the staff survey. And I will be sharing the staff survey with the staff since they were
[15:39] kind enough to complete the survey. I think they need to get the results of the survey.
[15:45] But one of the things I wanted to show you was we ask every year for like one word that
[15:54] describes the school or the executive director. And this was the word bank that came up.
[16:05] The bigger words were collaborative, supportive, warm. This is a big change from last year.
[16:12] It wasn't nearly as positive. So Heather has really done a great job this year in creating
[16:18] having a really good environment where people feel safe and comfortable. That was one of
[16:25] the things that we found about that. And then, we're over to committee discussions which
[16:35] is the same link. Does anybody have any questions about that?
[16:42] Okay. So policy committee.
[16:46] Oh thank you, you know. Mark was saying something.
[16:51] Seconds about this stuff.
[16:55] But stop everything, Mark. Go ahead, say something kind of about Heather.
[17:01] Thank
[17:04] you. Yeah, nice job, Heather.
[17:08] Very much. Sitting on the other side of the chair here is kind of weird too.
[17:13] because how they're going to do this for me. So there we go. All right, policy committee.
[17:22] So there were three policies up for review. I wanted to express appreciation for Conner
[17:34] who is going to be helping out with the policy committee going forward. So he and I are going to figure
[17:41] kind of a time to meet and then open it up to the rest of the board when I won't know when that is. So we've been joining us.
[17:50] The, the three that we have are the attendance policy, the channel abuse and neglect reporting policy and the assessment of student achievement policy.
[18:01] Conor did a lot of updates and I didn't give him enough ahead lead time to kind of gracefully incorporate them.
[18:10] So the changes that we have are kind of fair minimum to meet regulations. His suggestions were more expansive.
[18:18] And so maybe you'll see these three come up again soon.
[18:23] But for now, at least the updates more or less bring us into requirement.
[18:29] The first student really have any significant policy changes.
[18:33] So we just added a kind of design for the executive director for the attendance policy.
[18:39] The attendance policy mostly is just that we're going to track and see reporting or see student attendance.
[18:50] and then reported out to the state as required.
[18:54] Child abuse and neglect reporting doesn't have any updates
[18:57] because it was basically all all procedures.
[19:00] So the policy, I can't over that.
[19:03] The policy is basically,
[19:05] there will be procedures put in place by the administration
[19:08] to keep us in compliance with the regulations.
[19:12] And so most of that is kind of in the procedure camp.
[19:16] So the policy is pretty minimal and it didn't require any changes.
[19:19] There were a lot more changes with the assessment of students' achievements.
[19:22] A lot of it revolving around just kind of clarifications and definitions and then making
[19:29] sure that the reporting requirements from the state are part of the, what expressly written
[19:34] up in the policy.
[19:35] So things like does a report that's due by August 15th that says we've done all of the training
[19:42] and the sign-offs for all of the educators who are involved, etc.
[19:45] So that was just we didn't have explicitly in the policy and we've added it, but we have been doing it all along.
[19:54] So in terms of compliance, we've been in compliance. Now we just have those things that we've been doing in the policy.
[20:09] I'm excited to see how this works out with the first kind of iteration of this specific
[20:15] member popping up.
[20:18] Yeah, Connor is a new not board member, but board volunteer, which we are also looking
[20:26] for. So just people who might not want to make a full commitment to the board unlike
[20:30] Kevin Harris who wants to make a full commitment to the board or just help out. So anything
[20:38] like that is wonderful. So thank you to Connor for that help. I make a motion to vote on all
[20:46] these changes for the three policies. All in favor? Anyone against? Okay then they move
[21:03] forward.
[21:06] Audit Finance Committee, only one month, so no significant insights. Foundation
[21:13] an update. Oh, I did not get that slide updated. Oh, okay. What would you like to say?
[21:21] We have not had our first meeting of the year yet.
[21:26] Christian A. spoke briefly after our retreat to the first of this month.
[21:34] I was just asking her about harvest festival. The one update that I could provide from
[21:42] Harvest Festival is so foundation is holding Harvest Festival but asking for help from other groups
[21:50] and one of the things that Trisha would like our board told the government board hope is perhaps
[21:57] serving some birthday cake or some kind of recognition of the 10th anniversary of the school and then
[22:05] she also said I think this is amazing Jill is thinking about the possibility of a corn maze and
[22:11] tractor rides at the farm. Oh that sounds wonderful. I can also get a
[22:18] lack of natural horse carriage. She said no pettings in.
[22:23] This car is right. No
[22:25] a carriage ride. Oh okay. Like what? On a miniature horse carriage.
[22:31] But I don't know what liability issues be made.
[22:38] I can't like
[22:40] We don't ask permission anymore, Canberra.
[22:44] That's true.
[22:45] There's a weird thing.
[22:46] Just hang on.
[22:49] Look in it up.
[22:51] What do you need to know vendors by?
[22:54] Is it a horse rider or a horse drawn carriage, Betty?
[22:58] It's a horse.
[23:00] It's a miniature horse drawn carriage.
[23:03] Okay.
[23:04] Okay.
[23:05] I assume for children, right?
[23:07] Yeah, I could pull, I mean, yeah, pull like three kids, three or four kids, Henry, I don't go on it.
[23:12] Yeah, excuse me.
[23:15] That was from New York.
[23:16] Oh, yeah, I read it.
[23:18] Come on.
[23:20] I mean, it's not like.
[23:24] But I might be able to get three of them.
[23:27] Because I have two other people.
[23:30] How do you talk about using the lines called parking lot too?
[23:34] No, I just don't know about this.
[23:37] We were paying ten minutes.
[23:39] Pretty penny for 15 parking spots over there.
[23:41] So we didn't.
[23:42] Yeah.
[23:43] But maybe I don't know if just a thought about location.
[23:48] If we're at the Farmfield anyway.
[23:50] Yes, that's really nice.
[23:52] So also what I see here are like new ideas,
[23:55] which is wonderful.
[23:56] But I think you're looking for help even with the old ideas.
[23:59] You're looking for people, aren't you?
[24:05] I will want to meet in with Trisha and Kourtney more and then give back to everybody on what
[24:10] the specific needs might be.
[24:13] Okay.
[24:14] Get her out.
[24:15] So I reached out to Sarah Gonzalez and she said she was trying to typically willing to
[24:26] Is that if you want me to pursue or someone else, no sir, sorry, maybe, sorry, Sarah
[24:39] Gonzalez is the vendor coordinator for this year, she's committed to that.
[24:45] What I was going to say was the board wanted in some way to sort of bring a spotlight
[24:50] on sustainer, and that's a really nice role for them to have during the harvest festival.
[24:56] Last year, when you all did it, it just seemed a little, it was a little isolated.
[25:05] It didn't really tie in with anything else that was related to the harvest festival.
[25:11] So as I was thinking about what the board could potentially help with having sort of all
[25:20] of the sustainer materials, but also being the place where maybe you're handing out some
[25:26] 10th anniversary, 10th birthday thing, like birthday cake or something like that, then
[25:32] people would want to come to you and talk about, you might get more traffic for sustainers
[25:40] if you're giving out birthday cake.
[25:42] So that's where that was going, so Vivian not necessarily something new, but sort of trying
[25:47] to figure out how to how to make the sustainer pitch by the board more enticing at the harvest festival.
[25:57] You can. Yeah, that's us. Minotaur, it becomes a stinger. Nope. That's it.
[26:04] I think that's a great point, Trisha. Like, we did struggle a bit last year.
[26:11] It's signing people up and even talking to people.
[26:15] So we need to find a way to, I think cake is a great idea to draw it, and then we can think about if we want to just keep with the mugs and we have some journals.
[26:26] I don't think we have a ton of them.
[26:27] No, but as someone signed up, like you gave them a piece of cake, they sign up for being a saunter.
[26:33] Oh, here's a journal for that.
[26:35] Do it that today.
[26:36] Yeah, I was just going to say do we want to come up with a new swag item because we had the mugs and then we had the socks like should there be a new item each year?
[26:48] We had four new members.
[26:50] We had a lot of mugs.
[26:53] Go back to mugs because we didn't give them that last year.
[26:56] I don't know.
[27:00] Everyone think on that.
[27:02] Yeah, and I also think, oh, photo booths. That's a good idea too. I'm wondering if whatever we do,
[27:10] if it's cake or whatever, rather than board members signing up for a bunch of different things,
[27:15] maybe all board members are there because we might have a lot of people coming for cake,
[27:20] so we need all of us to be talking in one location. So that might be a better way of having us
[27:28] work that section of the harvest festival. But again, food for thought. Will we
[27:35] have another board meeting before the harvest festival? No, right? One more.
[27:41] One more? I'm not sure the dates. Yeah, what's the harvest festival date? October 10th.
[27:51] October 10th and the next board meeting. We'll have a September. Yeah, so the thing is
[27:55] two, I will not be at the September board meeting. I'm really sorry. My first one I have
[28:02] to go zoom last minute. And now I have a trip to Southeast Asia plan for the entire month
[28:08] of September. But it's something that we can discuss. I can help make the agenda for
[28:13] that. And we could figure out how to handle all that. But I will be back for the harvest
[28:18] festival.
[28:19] Okay,
[28:24] anything else on that?
[28:29] Okay, the last slide was the results from the EC review and then back
[28:39] here, we're at the executive director report.
[28:46] So just real quick, I did look at sustainer and since April 2024, we've raised $33,000.
[28:55] Nice. Okay.
[28:57] Okay.
[28:57] Recurring monthly donations.
[28:58] So that's not one annual amount.
[29:01] It's probably about 20,000 is my guess annual.
[29:12] Okay.
[29:14] So we're at that weird time of year for enrollment where people haven't told us they're not coming back.
[29:21] And so we figured that out as we go through these first couple of weeks of the school.
[29:25] So our goal is to be at 680, but we're right now at 672.
[29:30] And so we're talking about some strategies to work on that that we haven't really landed on yet
[29:37] It's always tricky at this time of year people don't really believe the school they chose yet for the year
[29:43] So we'll have to
[29:45] We'll have to just see Kara's work. She's in Hawaii right now, but she's still working on enrollment from there
[29:52] Because that's what we do
[29:57] Yeah, for the budget
[30:00] That's just a budget. The 690 is our max.
[30:04] And we are we've reopened enrollment for the hybrid program as well. And we had about seven students on that wait list and about one or two took it up. It's really a lower uptake at this time of year, even for the homeschool group. But we will we can keep looking toward that. We have until October 1st that we're we're going to be plugging away enrollment.
[30:27] So we'll continue with that.
[30:31] and so we had our Waldorf training this summer for two weeks and Kevin I don't
[30:37] know if you know but we started a Waldorf teacher training so everyone who I
[30:44] know right it's about time we have people here who can teach yeah so it's
[30:49] exciting we're doing our own Waldorf certification pilot program it's not
[30:54] accredited right now but we're looking at maybe some avenues toward that if it feels
[30:58] like it's successful. And we're hopeful that maybe we'll pull in some teachers from another school
[31:04] that's down in Utah County. We'll see. We had a few people, quite a few, I don't know, five to ten
[31:12] people from out of state who came for the two week training this summer. So that was really exciting.
[31:17] Yeah. No, but it was, yeah. We did not send as many people to Colorado for training this year.
[31:27] So that was a savings which then we invested and all in people and I think that's a good way to spend our money.
[31:35] Yeah.
[31:38] The POC met a couple of times for anyone who doesn't know that's our pedagogical administrative council.
[31:44] Those are our teacher leaders and our administrative team.
[31:47] We had a couple day long meetings so we could really work through a bunch of items that hadn't been on the agenda for a while.
[31:55] and lots of things to get going for the start of the year, including identifying who is the
[32:00] team lead for which group of upgrade teachers or specialty teams. So that's all been worked on
[32:07] and I think worked out. It's tricky to schedule to make sure everyone has time to meet together
[32:14] in the week. It's a really hard thing in a school. We had the farm to future event. Thank you all for
[32:20] coming. It was beautiful and just really fun. It was great. It was nice to have Emily and her
[32:28] family around for a little bit too. And then she's planning, we're planning to do that follow-up
[32:35] letter. And then we'll just see how that goes. A new parent orientation was really well attended,
[32:41] as usual. We had to meet the teacher night. And the most exciting thing is that the road expansion
[32:48] is done and so while it's not perfect still for drop off and pick up it is
[32:53] available at least and Shannon how's it going drop off and pick up Janne? Do you
[32:59] like to comment on that? I guess not that great. I don't think it's any slower than
[33:08] past players it's just if we could find any ways to move it along because this is
[33:15] the first year that I've timed it a few times. Yeah, from the point we get in line to the point
[33:20] that our kids are out of the car out of just 10 minutes and when you're sitting there in line and
[33:28] you've stopped for the third time and there's a car that stops for the third time and you're sitting
[33:33] there watching their first break or just very slowly make it out of the car with all the people behind
[33:38] just a little painful. Well, you're taking down to the meeting, you can't be too early. Yeah, that's
[33:45] stressful. Do we know of any schools that do this successfully? Because I worked at another school
[33:50] and it was awful also, whenever I've got to Utah. Like, is there any school that knows how to do this?
[33:56] Can we emulate that? Well, obviously many come in. It's actually because I pick up my niece at her
[34:03] school too and I just think it's school as a professor. We're actually the least chaotic.
[34:08] Yes. I would say schools have experience. Wow. That's slow. Yeah. Okay. So, I think
[34:14] like that first graders. That looks like we could just look for students. Slow is safer than chaotic.
[34:20] Let's just let's call that a win. It could be dangerous. Yeah. So important aspect of the school.
[34:32] and yeah, we're thinking on different ideas, but one is just being more assertive and smile.
[34:39] When we're out there, it's actually hard to be that person, like you're saying to her.
[34:48] And you can't see if the kids are in the car, so it's hard to know if their child is even in there,
[34:52] and if they've let them out or not, and they're supposed to, and then you're like, please don't do that.
[34:56] Yeah, but good morning. And Ramy and Theo, by the way, are always at the very, they follow all the way up.
[35:05] He's so good. I just want you to know, Lewis, if you should get a cookie or something.
[35:11] Okay, so we'll keep working on that. And construction update, we are all of our designs and everything got submitted today for the final permit through the state board of education.
[35:24] I believe I keep thinking we've done that already, but we haven't done that one yet. So that's the final final so all the information is getting sent out to the contractors who are then getting it out to the subcontractors and then we'll get what's called the GMP.
[35:41] key.
[35:44] What is it? What is it Vivian GMP? It's the greatest, the maximum amount. So yeah,
[35:52] I forgot what the maximum price is going to be. The maximum price is going to be of
[35:56] the project. So finally, we'll get like a real number that will sort of do not exceed.
[36:02] Is that what it's like a automatic seed case? Like that. Yeah. It's a GMP and I'd never know
[36:08] all their acronyms, but I'll learn them. So, um, so that's happening. Um, and they think
[36:14] it will start around September 14th or 21st in that window with the breaking ground out
[36:19] there on the new gym and the new classrooms. So, and then the the field is gone.
[36:27] So prison's gone at least. Uh, Shannon was telling us her son's calling it's the prison yard.
[36:35] and there's a big fence around there right now. So that's, I heard it's muddy too because
[36:43] the spreadler system keeps going on. We've got a lot of stuff in here. Yes, they're going
[36:47] to regrade it. Thank you. I should have known. I'm the greatest something guaranteed maximum
[36:55] price GMP. We sent out our staff exit survey, which we always have to do by law for any staff who
[37:04] are not returning. It was sent to 10 people, which are both full-time and part-time. Two people
[37:09] responded with about what you can imagine, both were people who were not invited back to this school.
[37:20] nothing egregious at all. I'm just not happy with this. Upcoming events we
[37:26] have back to school evening on September 1st and very excited that we're
[37:30] going to have another print newsletter available to go out that night. We
[37:34] might even have a little flyer about attendance and the importance there of the
[37:40] Catherine's helping with Liz Bevin. I am in touch with her to see when she can come
[37:45] back and visit with us. I keep looking up there to see them. That's weird because they can't see me.
[37:52] And I'm ready. Liz Bevin wants to come back. I've asked her if she can come back for the board
[37:58] meaning on the 23rd so that she could come sit and speak with all of you again and then have her stay
[38:03] through the 25th, which is our all staff faculty meeting and have everyone be able to hear from her
[38:09] and ask her questions. So hopefully that'll be a nice bookend on her review that she's done on
[38:14] our school.
[38:18] Priorities and proof attendance, that's a big one. We're going to work on that again.
[38:25] For me and for the board is to update the strategic plan. We have a strategic plan that's
[38:30] pretty old and finished. I think the end date of on is like 2027, so I think we should just kind of
[38:36] reset and look at things from here moving forward. It's nice because a lot of things we've had as
[38:42] priorities are being done. So that's great. There's no high school still though. So you might want to figure out if we want that on the long term plan or not.
[38:58] So the church needs to sell their land first. Then we can do it.
[39:06] staff concerns, human resources, Vivian sending out this survey, I put the PSD community
[39:12] report in here for all of you to look at if you'd like.
[39:16] Angela Mars, the one who started that last year, puts it together every week.
[39:19] It's beautiful.
[39:24] Yep, still, we're still doing last-minute tweaks of the schedule.
[39:29] It's been really great.
[39:30] I don't know if you guys remember, but I hired Shannon Demiko last year.
[39:34] as the administrative assistant is kind of an experiment to see if that would be helpful and
[39:39] it's proven to be wonderful. She's helping a lot, she's really tech, she's really good photographer
[39:45] personal so we get her photos and then she's been great at helping with the inventory and the furniture
[39:52] and helping Sue manage the requests, the many, many requests for the facility and so she just kind
[39:59] of jumps into each thing and marketing. She helps a lot with any of the visuals that we've
[40:04] from producing and things like that.
[40:06] So that feels like a successful experiment.
[40:13] Discipline report, it's not so great this year, unfortunately.
[40:18] And it felt like it last year,
[40:19] we had a lot more in school suspensions.
[40:22] We had 29 students in school suspensions last year.
[40:28] We really are pushing hard to do in school suspension
[40:31] if we can because sometimes we just get to that point
[40:34] with the behavior that we have to separate them
[40:36] from their class. And so we try to find things for them to do around the school buddy classes,
[40:43] projects, things like that. And no, we can't always do that. So sometimes there are out-of-school
[40:49] suspensions and there were 23. And then physical restraints and holds were up and mostly it was for
[40:55] three specific students. There were 16 conducted. There's a new state law. It's pretty rigorous.
[41:04] And we have to report to the state any time we do a physical restraint or a hold on a student, that includes transporting them so if you think hold them on the shoulder and move them because they're needing to get into a safe space, that then goes in these records as well now.
[41:21] So, um, but we did, we had a, we had three students in particular who had pretty, pretty severe physical aggression in the spring.
[41:33] Um, do any of these increases, um, do they reflect trends, do they affect insurance rates, what, what's, no, that's a great question.
[41:45] and I haven't seen that yet,
[41:46] but that could very well be with the new reporting
[41:48] being that's required.
[41:50] I haven't heard a scene that any increases
[41:52] because of it or the report so.
[41:56] No, to the state though, so feasibly they could
[42:00] solicit the numbers.
[42:02] All of our many staff who are safety care trained,
[42:06] which is a really rigorous training.
[42:08] They have to do every year and then get recertified every year
[42:11] And they have very strict reporting measures that they have to follow as well so and it's the last resort. It's never anything anyone wants to do but it's a matter of the child being safe and the children that the safety of themselves and the children around them or the adults.
[42:32] Did you learn a total explanation as to why it was such a subject in the last year?
[42:43] Um,
[42:50] I mean, is it because of COVID cancer?
[42:54] I mean, one is in that grade.
[42:58] One of them is in that grade.
[43:00] And there's just three kids with some serious two with serious trauma.
[43:05] and one with a series disability that is known to be explosive, that that's part of the syndrome
[43:12] and the parents choose us. So the 16-hole transport that restraints war for three kids? Three kids.
[43:21] Yeah, I wanted you to know that because it wasn't as if... What about the suspensions? Those are...
[43:27] those are different, 29 students and 23 students. Oh, I,
[43:37] we could try to extrapolate data a little
[43:40] more to see which students in particular we had two classes in particular last year. It's just
[43:48] this increase in meanness. Like we actually had bullying investigations that produced the result
[43:57] bullying. And so then what do you do? So we had, it was, yeah, it was just, it was a different year
[44:07] for sure, and I don't know if there was an influx of students that created that or if it was
[44:11] these couple of classes that really struggled and not quite a few of those students actually left
[44:16] this year, so that's part of our enrollment issue. And we're kind of okay with that.
[44:22] But yeah, I could try and look at it and dissect it a little more.
[44:30] Also, I just want to say our staff reported way better last year.
[44:34] So I think there's a variable there in the fidelity of the reporting in our educator's handbook system.
[44:41] We had, we went from like 400 reports to a thousand something last year.
[44:45] So, but suspensions and out of school and out of school are pretty well-tracked every year.
[44:57] Another question? Now that's a big one.
[45:03] And now we're hoping that we have just put so many people through training that everyone in the school has prepared. That means nothing will happen and it'll be fine. Yes.
[45:15] We have really creative solutions to any of these children are actually being worked with pretty heavily. And very much focused on this year as far as safety plans and what we're going to do for them. We have safety care training coming up. Yep.
[45:31] You'll have another 10 or there's 10 more people that you need to make.
[45:36] But there's also, I guess, not just like Holt, it's all of the work up until that moon
[45:42] as well, which is just great, like preventative, and I'm not to escalate.
[45:48] Okay, human sexuality and maturation curriculum committee, we need you to vote and approve that.
[45:58] We have a bunch of different teachers, also who are parents.
[46:03] If anyone else here wants to be in it, I offered it.
[46:07] Smitty, you accepted.
[46:09] Last year Vivian joined social worker.
[46:13] Admin, our school nurse.
[46:16] And then the documentation is here that we actually what will review the policies
[46:22] and then the curriculum that we use.
[46:25] And then employment of relatives, disclosure, it's always a fun one at our school and
[46:32] I did.
[46:32] I told you about my husband has been hired as a special ed teacher who specializes in
[46:37] behavior.
[46:40] Yeah, fully trained, yeah, it's kind of nice actually.
[46:48] So, yeah, he was all part of that beefing up that entire system.
[46:58] And then a site specific license for Stacy Trevino.
[47:02] She is a part day kindergarten teacher.
[47:05] She has taught in the grades at her school for I think a year and then taught in special
[47:10] ed as well.
[47:10] She had an associate educator license and then went and taught in the preschool and so that educator let that AEL has now expired and so to get her back in this year we want to do a site specific license through the school while she gets on boarded for her licensure or she'll do early childhood Waldorf training but she's also interested in moving into the grades eventually maybe so she's wonderful. She's been working for Trisha for a little while.
[47:41] Okay, so we need to vote on that and the maturation committee members, correct?
[47:47] Yes.
[47:48] Okay, so I make a motion to approve the maturation committee members.
[47:57] Second map.
[47:59] Everyone in favor?
[48:01] Hi.
[48:03] Hi.
[48:05] Anyone against?
[48:08] Okay, and then approve for a site-specific license
[48:13] for Stacy Trevino. I make a motion for that. All in
[48:25] favor? Aye. Aye. Anyone
[48:29] against?
[48:32] Okay. Those are the only two we had to vote on, right? Heather? Yes.
[48:38] Here's the last one in the minutes. In the minutes. I'm sorry? Yes. That's all
[48:46] need to better. Okay.
[48:51] Anything else other? I think I have anything right now.
[48:57] Okay. Is it planned? Would you prefer that we talk about that in future meetings or to have
[49:04] separate meetings to assess the plan? Yeah, I mean it might be nice to have a separate meeting.
[49:13] I don't strategize. I was planning on putting something together and then maybe I could
[49:19] pull people together after that. And then we can hash it out. Pretty simple, the current
[49:26] one. And what's that for specifically because I'm going to add that to the action items?
[49:31] The school's strategic plan. Okay. The last one was from 2023.
[49:43] And Heather, you're going
[49:45] to kind of start that. Yeah, I'll draft something up and then ask you all for a meeting.
[49:51] Okay, a working meeting. We can do that right technically. Yeah.
[49:58] Right. Um,
[50:02] do we need a closed session for anything today?
[50:07] Do not.
[50:10] Okay. Then, um, I've just added
[50:14] this to the bottom. I'm going to put it on all the agenda. It's just a review of action items.
[50:20] So Gloria, you're going to need to send the new leadership information so that we can update the website.
[50:26] I don't know who is in charge of the website. Does anybody know that?
[50:30] And it's the awareness can update.
[50:32] Okay. Do you have a person?
[50:33] You ever eat back?
[50:34] Yeah. I do.
[50:35] Okay. I can send that to her.
[50:37] Okay. And then Heather, you'll work on getting us all together for this school strategic plan meeting.
[50:46] Is there anything else than
[50:51] I motion to a journal in our meeting?
[51:03] It's a very quiet today, or maybe it's just because I'm over here and not in space.
[51:10] Many seconded.
[51:11] Okay.
[51:12] Thank you.
[51:13] Perfect.
[51:14] I guess you could stop the recording now and we could all say goodbye.
[51:18] but I just wanted to say a quick thank you to Kevin for joining us.
