mentioned the fact that they felt that

the food truck prices
[1:26]
were a little high right um I we really
[1:31]
I don't know what we can do with that
[1:33]
but um so those were three things not
[1:37]
enough kid activities and not enough uh
[1:43]
performances and also the pricing of the
[1:46]
food so
[1:50]
um thoughts inputs any additional
[1:55]
comments as far as performances Cityline
[2:00]
jazz band I did like them but I remember
[2:04]
Lisa when you wanted to have we thought
[2:06]
we'd have a DJ and you wanted to get his
[2:09]
playlist um Cityline band probably
[2:12]
should have had a livelier more dancing
[2:15]
kind of playlist right okay I like the
[2:18]
jazzy songs but it should have been more
[2:23]
playful okay so a playlist from them
[2:25]
would have been great or anybody playing
[2:27]
music would be good to have from now on
[2:34]
okay I didn't see any of the kids
[2:36]
activities I didn't go well we only had
[2:40]
um unfortunately only had the um Moon
[2:44]
bouns we were were trying to get art on
[2:48]
the on the rooll through the county but
[2:51]
that fell through because we didn't
[2:55]
um follow up in time and it was
[3:00]
the going back and forth whether we had
[3:02]
the money in the budget and then by the
[3:04]
time
[3:06]
we finally made the
[3:09]
decision um Carol was gone so and it was
[3:14]
too late um so that was one of the
[3:18]
activities that we were going to try to
[3:20]
do
[3:22]
um I'm sorry go ahead I did I did see
[3:26]
there was a moon bounce and then it was
[3:28]
something else like a maze yes so they
[3:32]
were there were two things for the kids
[3:35]
yeah and we're not counting the face
[3:37]
painter because he was charging right
[3:40]
and people thought that he was expensive
[3:42]
I don't I saw some of his work on his
[3:45]
website it wasn't like the normal
[3:48]
drawing of a butterfly on your face kind
[3:50]
of thing you know I thought he did
[3:53]
really extensive characters does anybody
[3:56]
recall that or saw that
[4:00]
he did creative faces but I we're not
[4:03]
counting him as activities for kids of
[4:04]
freebie things because he charged so
[4:07]
right right but let me ask you this so

um people said that he was a little um
[4:14]
the pricing structure but I felt like I
[4:17]
said I don't he was doing actual
[4:19]
characters you know on people's faces so
[4:22]
it's more elaborate um yeah as a
[4:25]
character say that again Brenda a
[4:28]

[4:32]
right so okay any other so a playlist
[4:36]
from the DJ a playlist from any live
[4:39]
entertainment we decide to do going
[4:42]
forward um what about
[4:47]
uh the for kids let's add in some uh
[4:52]
free crafts to make something summer
[4:55]
timey I guess um or some painting little
[4:59]
paint by number of pictures something
[5:01]
small

okay in regards to setup and takeown
[5:15]
yes I had to borrow a uh heavy duty
[5:20]
truck cart from the Red Cross they
[5:22]
happened to have one and I use that for
[5:25]
moving tables and chairs
[5:28]
around um the mayor has thought of maybe
[5:32]
having them bring their own tables and
[5:35]
chairs but I don't know how many people
[5:39]
would be able to do
[5:41]
that you I think if if you're getting a
[5:45]
U-Haul truck or to maybe get some truck
[5:49]
cards with
[5:50]
them and that way we can help people set
[5:53]
up faster and you can also use them to
[5:56]
take them down afterwards okay so let me
[5:58]
make sure I understand you correctly so

even though we were giving tables you're
[6:03]
saying there was a difficulty with
[6:05]
helping
[6:06]
people get the tables and setting up the
[6:09]
tables because we didn't have enough
[6:12]
manpower or carts to help facilitate
[6:16]
that right you you didn't have any truck
[6:19]
carts I mean okay my S team's got a
[6:22]
small one but I don't know if it can
[6:23]
really haul around St that
[6:27]
size um otherwise I was car up and okay
[6:31]
some of the people that you have showing
[6:33]
up um they're not going to be capable of
[6:36]
carrying those big tables around okay
[6:40]
and uh was Public Works not
[6:43]
available I'm sorry what's that was
[6:46]
Public Works not there like was Darnell
[6:49]
or any of his team
[6:51]
there uh they probably were but they
[6:53]
weren't doing anything with that that
[6:55]
was pretty much just me doing that
[6:57]
really I I asked to of the guys who were
[7:01]
sitting at the beginning if they could
[7:03]
bring two chairs to our town tent and
[7:06]
they I mean I don't know who they were
[7:08]
but they kind of like shun ignored me
[7:12]
they didn't help actually Sarah brought
[7:15]
two table h two chairs over for our tent
[7:19]
because she was standing
[7:21]
nearby okay
[7:22]
so okay well that's I I wasn't aware
[7:26]
I I had a I hate using that word assume
[7:31]
because I came I came from these two
[7:34]
just weren't very helpful when I asked
[7:36]
them to if they would please bring two
[7:38]
chairs over they just didn't the Public
[7:42]
Works guys we're not help okay I I don't

they had on the vest I don't know if
[7:47]
they were under Darnell I have no idea I
[7:50]
just know they were there doing things
[7:53]
okay but they just did
[7:55]
not help me with two chairs so okay

came up and asked could they bring two

chairs over and they just didn't really

just saying just a non nice

but I knew they were working they did

some work right so but to the overall
[8:36]
point um is the setup we definitely need
[8:40]
more manpower more people more you call
[8:43]
them truck

facilitate um you know because it it is
[8:52]
it I mean as a vendor if you have to
[8:54]
carry a
[8:55]
table and you know you don't have the
[8:59]
add additional help that becomes a
[9:01]
problem um but I had assumed that you
[9:04]
know our Public Works team was going to
[9:06]
be there because last year they did help
[9:09]
move tables right Wanda I thought they
[9:12]
they they did yeah they did a lot we but
[9:15]
I think we had a lot more manpower at
[9:16]
the beginning yes and you know and also
[9:19]
as I say that last year we only had the
[9:22]
festival we did not have the parade
[9:25]
right so that also put a strain on re
[9:29]
sources is because people had to go help
[9:32]
over with the parade and make sure the
[9:35]
roads were closed down so um and you
[9:41]
know anything that happen there and the
[9:44]
other thing you have to consider is not
[9:45]
only are
[9:47]
people not likely to be able to set that
[9:51]
stuff up they're not likely to carry
[9:54]
that stuff back to where they got it
[9:55]
from because they just want to pack up
[9:57]
and go home yeah abolutely so that's
[10:01]
part of set up and take
[10:05]
down um so it's either the vendors have
[10:08]
to bring their own stuff or you're GNA
[10:10]
have to have more manpower to help
[10:13]
people set up yeah
[10:16]

this was your first time at the event

am it's like I it was a struggle for me

because the information was not getting

back to us soon enough so being my first

time doing this with the church chch
[11:29]
this was my first out the box thing and
[11:33]
I felt I was very stressed because it's
[11:35]
like I couldn't give them the
[11:37]
information that they were asking for
[11:40]
like how many
[11:41]
volunteers um you know a lot of the
[11:44]
information you know we didn't know and
[11:48]
like I asked the choir I asked them kind
[11:50]
of like at the last minute but they were
[11:52]
okay with it you know but it's just the
[11:55]
planning like if if we knew better and
[11:59]
also the day of the event if if I really
[12:03]
hadn't known I would have we would have
[12:05]
asked for more volunteers from the
[12:07]
church because just getting into the
[12:10]
event it was it was a lot to me for
[12:13]
Brenda and the police officer just to be
[12:17]
there by themselves so I think if we
[12:19]
could have helped with volunteers more
[12:22]
volunteers if we knew but as far as our
[12:25]
table getting the tables and chairs
[12:26]
there was not a problem we brought a
[12:28]
table
[12:29]
and we were also showing where the other
[12:32]
tables were so we just got our table and
[12:36]
chair you know and um but um for me I'm
[12:40]
just being honest the the you know just
[12:43]
getting it together never I have never
[12:46]
been to the Maro day and so I wanted to
[12:50]
make this a good event for us to and to
[12:52]
see what it was all about and it's just
[12:55]
like I I just need more information CU
[12:58]
like I was out of town and I ended up
[13:01]
flying back home because I was just so
[13:03]
uncomfortable with the way things was I
[13:06]
just wanted to make sure that what we
[13:08]
were doing that you know we had it all
[13:11]
together and I I feel like at the end
[13:15]
everything flowed like you said you know
[13:18]
but again I wanted to be in this meeting
[13:22]
because I was like we needed more
[13:24]
volunteers because I feel like you were
[13:27]
killing the ones that were there and
[13:29]
it's like the um I could have put it out
[13:32]
to the church and said we need
[13:35]
volunteers to help with set up this that
[13:37]
and the third you know but I really
[13:40]
would it not would it being my first
[13:41]
time I wasn't sure and I I tried to say
[13:45]
in my Lane I don't want to overstep
[13:47]
anyone but Lisa for you I felt
[13:49]
comfortable with every time I sent you a
[13:52]
sidebar question you know because you
[13:54]
know I have many questions every time I
[13:56]
sent you a email you responded and like
[13:59]
that it didn't even matter what time of
[14:01]
night it was you responded and so that
[14:03]
helped me you know it brought my anxiety
[14:06]
down a little bit you know like I said
[14:09]
this being my first rodeo but now like
[14:12]
we as a team we just had a meeting a
[14:16]
couple weeks ago to talk about on our
[14:19]
Point ourside what we think we could
[14:21]
have did better or whatever and to like
[14:24]
start planning now like right now for
[14:28]
next year okay
[14:30]
so okay okay well that's that's good
[14:34]
um thank you for that feedback um but
[14:37]
going back to you had said something
[14:39]
about I know Brenda did vendor check in
[14:43]
was and you you thought that was a
[14:47]
little discombobulated or just not
[14:50]
flowing
[14:51]
correctly can I share a little bit on
[14:54]
that yeah sure go ahead so at the
[14:56]
beginning so Brenda was there at her
[14:59]
spot for the check-in so we were getting
[15:01]
ready to do all of that and then it got
[15:03]
it got started the mother daughter um
[15:06]
Duo were with me for vendor placement
[15:09]
and so then we get a call on the radio
[15:11]
you know I don't know how many minutes
[15:13]
later saying Brenda needed some more
[15:15]
help there because they were all lined
[15:17]
up and just ready to get in I even had a
[15:20]
couple of
[15:22]
vendors make a note to tell me that
[15:25]
there were still cones blocking the way
[15:28]
that may have been with not having
[15:29]
enough more manpower I don't and I don't
[15:31]
know where the coms were but anyway the
[15:33]
mother daughter Duo I sent them I told
[15:35]
them go help Brenda she needs help down
[15:37]
there to get them through up to us okay
[15:40]
and So eventually they came back to me
[15:43]
but after Brenda got them through in
[15:45]
flowing then it was on to placement so
[15:49]
were there okay thank you so were there
[15:51]
people Brenda that had
[15:53]
arrived really early and were were they
[15:57]
just waiting to get into the f area or
[15:59]
was just the backup because of checking
[16:02]
in it was excuse me can you hear me it
[16:04]
was a backup more or less okay I was by
[16:08]
myself until I called Wanda said look
[16:10]
hey I need some help here so after what
[16:14]
was the the chief he also helped as well
[16:17]
to help bring did were you checking
[16:19]
people in with Kyle's phone through the
[16:21]
Eventbrite app you did right that for a
[16:25]
minute and then I had to go to the list
[16:27]
because some of the things weren't on
[16:28]
there right there were a couple people
[16:30]
that weren't right okay excuse yeah I
[16:34]
was checking them off on the list and
[16:35]
also Nina I don't know what her
[16:37]
daughter's name she was also checking
[16:39]
off on the on on the list as well okay
[16:42]
so we got everybody checked in I it got
[16:46]
it got a little busy there for a minute
[16:48]
till they came to help because I was by
[16:50]
myself once they started flowing after
[16:52]
the checking then I had the backup for
[16:54]
placement but we kept we kept them
[16:56]
moving as fast as we could
[16:59]
right right right okay so we need to
[17:01]
kind of iron out the the check-in
[17:04]
process well one it obviously it's the
[17:07]
resources right it's not having enough
[17:10]
people um let me ask you this Cheryl are
[17:13]
is your do you received the eblast from
[17:16]
the town with with regards to the town
[17:20]
event and the request for volunteers did
[17:23]
are you on that eblast or no I'm not
[17:27]
sure if I'm on that or not um but I know
[17:31]
I do get emails from the town um like
[17:34]
for the next event that's coming up we
[17:37]
we're already working on
[17:39]
that okay um didn't want you guys to see
[17:43]
my like that but yeah I do get emails
[17:46]
from them from stuff that's coming up
[17:48]
and plus I get your um emails so we try
[17:52]
we're trying very hard just to stay on
[17:54]
top of everything that we see that comes
[17:57]
from you guys so if we want to be a part
[17:59]
of it we can um you know let you know
[18:02]
yeah okay and the reason why I'm asking
[18:05]
that question is um you know we had I'm
[18:09]
on the email list I know there was
[18:10]
emails going around about volunteers and
[18:14]
then still you know about the festival
[18:16]
and pointing everybody to the website
[18:19]
right so I have made a comment uh from
[18:23]
last year
[18:25]
that I know personally well not
[18:28]
personally but in my opinion I should
[18:30]
say that um emails can get lost into
[18:34]
your junk email right and a lot of that
[18:38]
I think might have
[18:40]
happened it could have happened in this
[18:42]
particular case with this event because
[18:45]
last year I would send out
[18:47]
emails and people would say oh I didn't
[18:49]
get that oh it was in my my spam or my
[18:52]
junk folder right so I had made a
[18:55]
recommendation either we set up some
[18:58]
type of
[18:59]
texting um I'm really talking about the
[19:02]
vendors and the nonprofits the people
[19:04]
that are wanting to come and showcase
[19:07]
their product or service that we would
[19:09]
be able to text people or actually call
[19:12]
people and leave a a a robo call right
[19:17]
um whether we're going to have a meeting
[19:19]
about the vendor setup or whether you
[19:22]
know um there's been a change in the
[19:25]
time or whatnot like you know not in
[19:28]
something like an emergency alert but I
[19:31]
mean some people are better with
[19:32]
checking their emails or they're just
[19:34]
overwhelmed with emails and they respond
[19:38]
better to text or phone calls that's my
[19:41]
point so
[19:43]
um but I it but to your bigger point the
[19:46]
communication could have been a little
[19:48]
bit more um
[19:51]
proactive on on our part okay um and
[19:55]
then the resources not having enough
[19:58]
volunteers
[20:00]
okay
[20:01]
um I felt like that maybe the um the
[20:06]
responses as far as the vendors and
[20:08]
whatnot was like what was holding up on
[20:12]
you know getting some
[20:14]
stuff um finalized because you weren't
[20:17]
really sure you know so um but on our
[20:22]
part all we needed to know that was that
[20:24]
we were in yeah you know so I I mean for
[20:28]
the planning for it being the first year
[20:31]
again like I said we already had a
[20:33]
meeting and we're like um like November
[20:37]
December we're going to be planning what
[20:40]
we're going to do and you know to be a
[20:43]
part of it because it it was good the
[20:46]
one thing for me I didn't get a chance
[20:49]
to go around to all of the vendors and
[20:51]
stuff because you know we had a table so
[20:53]
you try to make sure that your table is
[20:55]
covered but from what I could see in the
[20:58]
parade I mean I really enjoyed it okay I
[21:01]
mean I had a good day I don't know about
[21:03]
anybody else but I had a good day but I
[21:06]
did really feel sorry for Brenda when I
[21:08]
got there I wanted to get out the truck
[21:09]
and help her yeah yeah well you know um
[21:15]
I mean it's it's series of events happen
[21:19]
we I I honestly thought that we you know
[21:23]
as I look back on with your feedback one
[21:26]
we had our vendor meeting really late
[21:29]
right we and also we had extended the
[21:31]
registration time beyond our time to
[21:36]
really
[21:38]
um we we probably should have closed the
[21:43]
the event down a little sooner and we
[21:47]
didn't I mean we were looking to get a
[21:48]
lot of people but also with that with
[21:51]
the limited resources that impacts how
[21:53]
you can service your vendors right so um
[21:58]
the week before we thought we were going
[22:00]
to have the administrator and John the
[22:03]
town clerk so that's with two people
[22:05]
that that were definitely taken off and
[22:08]
then I wasn't going to be there from the
[22:10]
beginning um because this was a change
[22:13]
in the date from last year so I'm just
[22:16]
giving you some insight as to why
[22:19]
things you know well
[22:23]
Lisa Lis I can say that practically
[22:26]
every vendor
[22:28]
who came through for placement still
[22:30]
needed to be
[22:32]
told um a number of certain things yeah
[22:35]
three certain things yeah I mean I know
[22:38]
all of them didn't make the meeting
[22:41]
didn't read their material but
[22:43]
practically every vendor I had to tell
[22:44]
them just to keep them moving and get
[22:46]
them in a place off the street they did
[22:49]
a very good job with unpacking and
[22:51]
getting their car off the street so that
[22:52]
went well okay yeah and I just think I
[22:57]
well not I think I know last year we had
[22:59]
more than one vendor
[23:01]
call we we we had like two at least two
[23:04]
or three right but we had also cut off
[23:08]
the registration beforehand
[23:11]
so um okay that's good feedback anything
[23:15]
else anyone um this this was my first
[23:19]
maror day I've never did it before okay
[23:22]
um so I worked at the Town tent um
[23:27]
overall I think it went well I mean once
[23:29]
um the only thing I heard I I heard the
[23:32]
mayor say that the parade which I didn't
[23:35]
see because I was working a tent yeah
[23:38]
that there weren't that
[23:39]
many mayor Franklin was saying that she
[23:42]
noticed this year the attendance to the
[23:46]
parade has dropped from past years yeah
[23:50]
she was saying that not many people have
[23:52]
been coming out to the parades I guess
[23:55]
in the past years it's been dwindling
[23:58]
yeah
[23:59]

you know it is
[24:04]
a you mean to watch it to watch the
[24:08]
parade yeah I guess like most of the
[24:11]
people were over on our street where the
[24:13]
vendors were oh um once once the
[24:16]
afternoon rolled around it seemed to
[24:19]
pick up crowds and it to me it it looked
[24:21]
like the event was a success so okay so
[24:25]
let me make sure how I'm interpreting we
[24:28]
had more
[24:29]
vendors but not enough Spectators for
[24:32]
the parade is that basically what you're
[24:34]
saying yeah it's
[24:37]
yes she was saying that the crowds that
[24:40]
used to come out and watch for the
[24:42]
parade parade is a lot
[24:45]
smaller yeah so yeah that'll be yeah
[24:50]
people might not be into parades like
[24:53]
used to
[24:55]
be I don't know it was a very hot day
[24:58]
they probably was waiting until you know
[25:00]
later on to come out to see the vendors
[25:02]
and things there wasn't that many people
[25:04]
looking at the parade yeah so I had one
[25:08]
I had one comment about uh they somebody
[25:11]
thought told me that they thought it
[25:13]
should be shorter yes shorter I thought
[25:16]
it was already short as it was that was
[25:19]
a comment I got that I heard well
[25:21]
because the the festival ran from 11 to
[25:25]
almost
[25:26]
three right right
[25:28]
was well actually two we kind of credit
[25:31]
short I think yeah well so then to that
[25:34]
person's point you know it could have
[25:35]
been
[25:36]
shorter
[25:38]
um okay well that's all of this is great
[25:42]
feedback um I will say I did briefly
[25:45]
talk to Mayor
[25:48]
and the resources and the
[25:52]
volunteer is if we don't have enough
[25:55]
volunteers even going forward like for
[25:57]
movie night
[25:58]
which we need to select a movie for um
[26:02]
we may have to cancel events you know
[26:05]
they did cancel the county fair because
[26:07]
they don't have enough people
[26:08]
volunteering right so it's you know I
[26:12]
think not a all people are stepping up
[26:15]
to volunteer people want to get paid
[26:17]

to just tell you that because I hear
[26:29]
everything you're saying about the
[26:30]
resources the
[26:32]
volunteer and we appreciate the feedback

and so um okay so in regards go ahead in
[26:42]
regards to um Bend replacement are they
[26:45]
supposed to know ahead of time where to
[26:47]
set up their table they don't know the
[26:50]
spot that they were they will be
[26:52]
receiving so um we do instruct them how
[26:57]
to ENT enter the festival area right and
[27:01]
that they have to be placed by the
[27:04]
vendor Placer which is Wanda um because
[27:08]
you know she does review the list of
[27:10]
vendors so you're not going to have two
[27:12]
people that are selling the same
[27:15]
product you know they're not going to be
[27:17]
sitting by them by by each other so um
[27:20]
so she's very mindful of that so they
[27:22]
don't know where they'll be uh placed
[27:25]
but they we did go over how to enter the
[27:27]
festival
[27:28]
area um and you know the requirement of
[27:31]
what you needed in order to enter so
[27:35]
um and they are told that their space is
[27:38]
a parking their placement is in a
[27:40]
parking space that is their space yeah
[27:44]
how was it um because this year we had
[27:48]
over
[27:50]
30 last year we only had 15 about 15 20
[27:54]
people how was the placement with the
[27:57]
additional vendors Wanda it went up to
[28:02]
on the Darnell's chance
[28:04]
entrance um yeah we had vendors on both
[28:08]
sides not a lot on the building side got
[28:12]
it but they were stretched around both
[28:14]
corners and then of course we had the
[28:17]
they ended at the um for Elm Street
[28:21]
uhhuh not not at quite the end but they
[28:24]
were in that area Okay the post it was
[28:28]
good placement okay were they tight were
[28:30]
they like really no they weren't they
[28:33]
weren't tight tight together like one on
[28:35]
top of each other T over 10 so okay they
[28:38]
had a little space okay and what did you
[28:41]
all think as volunteers the parking at
[28:44]
the the cab parking garage how did that

understand about Trunk or Treat it's

like 10 times more people than even for

marble day because it's kids it's tons

their parents

pretty and so what I have uh some

actually vendors will come and give out
[45:51]
candy and then promote their business um

church would want do as well um you

don't have to give out candy but you you
